Introducing New Capabilities for File Viewer in Microsoft 365

Today we’re happy to introduce performance, collaboration and interactivity upgrades to the file viewer in Microsoft 365. The file viewer in Microsoft 365 opens by default when you access non-Office files from OneDrive, SharePoint, or Teams. It’s especially handy for previewing files without having to download them and for viewing files without needing the specific app for that file type installed on your device. Whether it's a PDF, a video, a CAD drawing, or a Photoshop file, you can easily open it with the file viewer and see a high-fidelity rendering of its contents. File viewer supports over 300 file types and also allows for some basic image editing and file annotation. Let’s take a look at what’s new in file viewer.

File viewer enhancements

The file viewer is both a convenient way to view your files, and also a powerful tool that allows you to work with them directly. The updated user interface is more intuitive, easier to navigate, and more suitable for the growing number of functionalities we will bring to file viewer in the future. Today we are rolling out a number of new capabilities within file viewer, including:


Performance improvements: Your files now display up to 2 times more quickly than the previous version.


Copilot:
Use Copilot right in file viewer to get file summaries, answer questions about file content, and extract information This seamless integration of Copilot enhances your file experience and helps you get the most out of your files. 1


People view:
See a list of people who have access to the file by tapping the people images.


Favorites:
Add the file to your favorites list by tapping the star icon.


Open in app:
There may be times when you need to fully interact with a file. In those instances, you can quickly open files in their native applications by using the “Open in app” option. When you’re done working with that file in its native app, you can save it and the changes will sync back to OneDrive. The open in app feature which is now accessible in file viewer.


PDF page removal and merging:
Remove pages from PDFs and merge multiple PDFs into one.2


Annotations:
Mark up and draw on a number of file types such as .ai, .dwg, .epub, .pdf, .rtf, and .tiff. Once done you can hide or display the annotations by selecting the annotations icon.2


eSignatures:
Securely request electronic signatures directly in file viewer.2

 

Copilot will soon be accessible in file viewer to use for images, videos and documents.

 

The file viewer in Microsoft 365 can display and scroll through over 300 different file types.

 


These updates bring you a more efficient, interactive, and intelligent file experience. The file viewer enhancements are now rolling out worldwide to OneDrive for work, and SharePoint customers, including GCC customers. Later this year, file viewer in Teams will also receive these improvements.

    I hope you all have a nice day


    I give you some context, in my company we use PowerApps custom forms for some automation, the way to call this form is to click on the details panel and then edit all, in the new version of the file viewer this option to call the form does not work, you click on edit all and simply does nothing, I have already met with the development team of SharePoint and power apps which have not been able to give me a solution to date.

    I would be very happy to know that I am not the only one with this problem, I will be happy to give you more details about this annoying problem.

    Hi all,

     

    I just opened a ticket as well. We have many reports of users not being able to preview PDF files in the browser. After some searching I came across this notification in the SharePoint admin center. For us it is intermittent per user and even browser. Some users have no issue with any browser and when when there is no issue the background is white. I had issues with Edge and Firefox, both opened with a blank black background, but Chrome worked and opened with a white background. Hopefully this can be resolve soon as our helpdesk will be flooded with tickets.

    We’ve identified and resolved an issue with the search and filter functionality that was affecting the file viewer. The solution has been deployed, and we would like to ensure that it has resolved the issue on your end. Please let us know if you are still experiencing any problems.

  • FloKling describes the situation perfectly.

    The update has broken SharePoint usability, it is a terrible retrograde step.

    We use pretty simple pdf lists for our invoice approval system and this system is now broken. We could accept the  preview change but the filtering and views being broken is really poor.

    Hi all,

     

    I have opened up a support ticket as well, for its slowness and not retaining the list's sort and filtering when toggling with the arrow buttons.  It's been open for over a month with no resolution yet.   I also posted on a community forum, and while there were little replies in the beginning, I'm now receiving multiple replies almost daily.  This is impacting more users and we need it resolved.   Thanks!

    This may be a new feature, but it's not a good one in my opinion. A person can no longer navigate from one PDF to another using the arrows in the top right or easily see the info as before. I'm adding a comment in order to help escalate the need for support on this issue as I'm unable contact support directly.

    emvaleri  This update breaks SharePoint pdf editing features as noted above by FloKling . Our business is suffering greatly due to this. We have opened a support ticket on this and have yet to get any information.

    emvaleri Since rollout of the new File Viewer, which is very slowly rolling out user by user over the last week, we are experiencing critical disruptions in our business processes.

     

    Microsoft has initiated the rollout of the new "File Viewer in Microsoft 365" within our M365 tenant. This change is reflected visually by the background color of the File Viewer transitioning from white to black.

    In a standard "All Documents" view in SharePoint Online, users can normally preview files using the breadcrumb menu and the "Preview" function. Navigating through files in the File Viewer operates smoothly under these circumstances.

     

    However, when users, who have the new File Viewer activated, operate within more complex document library views (e.g., views where files are displayed without folders), a critical issue arises:

    • Users are unable to navigate through all files in the document library via the File Viewer.
    • After previewing the second or third file, the File Viewer hangs.
    • The browser’s URL field exhibits continuous switching between URLs of two files, refreshing every second.
    • This behavior makes the browser unusable.
    • Eventually, users are expelled from SharePoint due to excessive server activity, triggering SharePoint's throttle functions.

    This disruption in the ability to preview and scroll through files in document libraries impacts a critical business process, specifically the editing of file metadata in sequence.

     

    Steps Taken to Contain the Issue:

    1. Browser Change: Attempted accessing SharePoint using different browsers (e.g., Chrome, Edge, Firefox).
    2. Different Document Libraries: Tested the functionality in various document libraries to rule out specific library issues.
    3. Permission Adjustments: Granted full permission levels to users experiencing the issue to check for any permission-related discrepancies.

    Please advise. We were so far not able to escalate the support ticket. The reported problem within "Service Health" in the admin-area has been closed without any finds. We can narrow the incident down to the new file viewer, since users with still the old file viewer do not experience these problems.
