Feature Deep Dive: Open in App

OneDrive is excited to launch the Open in App feature, a game-changer for those who prefer working directly in native applications.


Until now, only Word, PowerPoint, and Excel files could be opened in their native desktop applications; other file types like PDFs, JPEGs, or MP4s would open in a preview mode where you would be able to view but not edit the file. We’ve heard your feedback around wanting a more seamless workflow, directly accessing and editing all of your files in their dedicated apps, not just Word, PowerPoint, and Excel. Open in App makes this possible.


Now, while working with OneDrive or SharePoint in a browser, or the latest version of Teams, you can open files directly in their native applications. You can edit as needed, and then be assured that your changes will be saved right back to the cloud, maintaining a smooth and efficient workflow.


Effortlessly open and edit files in their native apps

Using the new Open in App experience is simple. Imagine you’re in your favorite browser, using your Microsoft work or school account. In the My files view in OneDrive or a SharePoint document library, right-click on a file, then select Open > Open in app. The file will open in its native app, directly from your browser. You get the benefit of full functionality, allowing you to access the complete set of features and tools that the application offers.

Using Open in App in Microsoft Teams

This seamless experience isn’t just for your browser. It also works with the latest version of Teams. To open your OneDrive files in their native apps from Teams, navigate to the My files view, right-click on a file and select Open > Open in app.

To open your teams’ shared files in their native apps from Teams, navigate to a channel, select the Files pivot, right-click on a file and select Open > Open in app.

Choosing default apps

If there is a default app available to open the file, then the Open in app option automatically chooses that app to open your file. When a default app is not configured, the system will ask you to select a default app, giving you the flexibility to configure specific default apps for different file types. Once opened, you can make and save changes to a file in the desktop app, and any changes you save will sync back to OneDrive or SharePoint.

Availability and requirements

Open in app is currently rolling out to work and school accounts on Windows and macOS devices that have the OneDrive sync client installed. If the sync client is installed but not running, selecting Open in app will start the client. You will also need to have the desired native desktop applications installed on your PC or Mac. For SharePoint sites, you will need to enable Offline Client AvailabilityThis feature is not yet available for personal accounts or on other operating systems. Learn more.

    According to Microsoft 365 Roadmap the rollout should be completed by now. However, in our tenant on our (Windows 10) clients I can't utilize the new "Open in app" feature. When trying to open a PDF document I get this message (sorry for German language). However, when I try the same on a different machine against my CDX demo tenant I can use the feature without (!) having to synchronize the cloud location before. In addition, when I test with my corporate (Windows 10) client against this CDX demo tenant it also DOESN'T work. So, is there any hidden setting/prerequiste on client side? Because my CDX demo tenant works with "any" Windows client but our corporate clients fails with the same tenant.

     

    By the way: of course, we do have a quite recent version of the OneDrive Sync Client installed on our corporate client (24.010.0114.0001). So, what is our problem here? What am I missing?

    kaylangan would this improvement include adding a key for commandBarProps (library command bar formatting JSON) and an action for customRowActions (row formatting JSON)?

    If not, could you comment on the likelihood of these two?

     

    When I read about the above article I expected to find it in the Command bar customization syntax reference,  because it's pretty extensive and contains just about everything else.

    tee-c I think the article is crystal clear in that regard. The article clearly states the following: "Now, while working with OneDrive or SharePoint in a browser, or the latest version of Teams, you can open files directly in their native applications.

    @kaylangan For clarity, this is OneDrive online, not the OneDrive app for Windows, that has this feature.

    I think when writing these articles, you (and everyone else in Microsoft) need to use correct terminology so as to not confuse some readers.

  • GrizNasty Great idea! We don't currently have support for ISVs/developers to invoke this command. We will look to add it in the future. Thanks for the feedback!

  • I see a few issues so far detailed here.

    • "Save as" from desktop app to make a copy is not sync'ed back in the original file's folder.
      • Software that saves their file by deleting original file and saving a new one with the same name (which should be the same as overwriting) are therefore not saved back to the cloud (e.g. CaseWare).
    • Annoying security prompt every time open in app is used.
    • In SharePoint and Teams, the setting that allows files to open in desktop app by default still only applies to Office files.
    • New one: file shared from OneDrive won't work with Open in App:

    kaylangan Is it possible for ISVs/developers to use the "Open in App" functionality programmatically?  Any instructions/samples you can share would be greatly appreciated!
