We have been gradually updating the Forms data sync to Excel to a new solution since August, and we're excited to announce that it’s now fully available in group forms, no matter created through Forms, SharePoint or Teams, as well as for personal forms created through Forms and OneDrive. Let’s take a look at how it works!
Create Forms survey from SharePoint and OneDrive
You can now create a form directly from SharePoint or OneDrive by adding a Forms survey, and it will automatically use the new data sync solution. For personal forms, you can start from OneDrive. For collaborative forms involving your team, start from SharePoint to keep everyone up-to-date.

You can also create a form from a Teams channel. There are two ways to do it: you can either go to the 'Files' tab in the tab bar to add a Forms survey or click the '+' icon to add a Forms tab.

No matter where you start creating the form - whether in SharePoint, OneDrive, or Teams - you’ll be redirected to Forms to create the survey and send it out.

When getting enough responses, you can go to the result page to view the data in Excel. If you created the form in OneDrive, the Excel file will be generated there. For group forms created from a Teams channel or SharePoint, the Excel file will be generated in the corresponding SharePoint file library.

The new data sync solution also supports syncing edited responses. When respondents modify their answers, the changes will be updated in the Excel file.

Q: What should I do with the existing automatic work flow?
This update has been very frustrating. Excel not updating until it is opened has broken several of my PowerBI and PowerAutomate functions and the fix of going back to the old way of updating is less than helpful.
Well... as clearly stated in previous blog post "With the new syncing solution, you must open the Excel app to receive new responses. Otherwise, they will not sync to the workbook." so my workflow to use Microsoft Power BI to retrieve form's data from the Excel Online file on predefined in Power BI service schedule is broken. To use Power Automate fix is not an option for me. So, I wrote a simple PowerShell script that periodically opens Excel Online file in browser, waits for it to update and then closes. The script opens supplied URL(s) every 6 hours just before Power BI scheduled data source update. Now I run the script from always signed-in user account on Windows Server that is always online and see my Power BI reports get automatically updated.
You can try the script on your local machine and leave it powered on or find a dedicated Windows machines for this task.
The background synch is no longer working after updating to this new version. Why is this feature removed? Having to manually open worksheets to get it to synch ruins a lot of automated solutions.
Can you help clarify two points regarding the flow you shared?
If I use the flow to add rows to the Excel file connected to the form, when I open the file, the sync seems to ignore the added rows and creates duplicate rows. Is this expected behaviour, or is there a way to prevent it?
When selecting rows to add, I found a "submission field" but can't find a "start field." Could you explain how to locate or create the correct expression for the start field?
On a separate note, I noticed your blog post from August 27th has received consistent negative feedback in the comments. It’s clear the new system has disrupted many workflows and feels like a significant downgrade from the previous version. Can you share an update on when these issues might be addressed or improved? The primary concern is the need to open the Excel file manually to sync form data. Is there any plan to introduce a flow that enables automatic syncing, or perhaps a way to ensure the data syncs seamlessly without requiring the file to be opened like it did before?
Like hundreds in the comment section and probably thousands out there I am frustrated too with this change. This definitely looks like step backwards. What used to an automated thing now requires us to manual open the excel. For someone like me this also means I will no longer be able to seamlessly connect the form responses (saved in excel) to be used in other flows within power automate. This is such a bad move
Seriously, this new sync is two steps back. Microsoft has actively made it way worse. What should happen automatically in the background now requires you to open the worksheet. Ridiculous
So Microsoft released an update that "syncs" Forms data with Excel (something that already existed, but let’s ignore that for now), where the sync only happens after opening the Excel file to "refresh" the data. Am I the only one who sees this as a step backward, at least from a user/customer perspective? What used to be an automatic feature in Forms now requires me to set up an automation flow in Power Automate to perform this task. Sorry, but this was an intelligently dumb idea.

This update has been very frustrating. Excel not updating until it is opened has broken several of my PowerBI and PowerAutomate functions and the fix of going back to the old way of updating is less than helpful.

Well... as clearly stated in previous blog post \"With the new syncing solution, you must open the Excel app to receive new responses. Otherwise, they will not sync to the workbook.\" so my workflow to use Microsoft Power BI to retrieve form's data from the Excel Online file on predefined in Power BI service schedule is broken. To use Power Automate fix is not an option for me. So, I wrote a simple PowerShell script that periodically opens Excel Online file in browser, waits for it to update and then closes. The script opens supplied URL(s) every 6 hours just before Power BI scheduled data source update. Now I run the script from always signed-in user account on Windows Server that is always online and see my Power BI reports get automatically updated.
You can try the script on your local machine and leave it powered on or find a dedicated Windows machines for this task.

The background synch is no longer working after updating to this new version. Why is this feature removed? Having to manually open worksheets to get it to synch ruins a lot of automated solutions.

If I use the flow to add rows to the Excel file connected to the form, when I open the file, the sync seems to ignore the added rows and creates duplicate rows. Is this expected behaviour, or is there a way to prevent it?
When selecting rows to add, I found a \"submission field\" but can't find a \"start field.\" Could you explain how to locate or create the correct expression for the start field?
On a separate note, I noticed your blog post from August 27th has received consistent negative feedback in the comments. It’s clear the new system has disrupted many workflows and feels like a significant downgrade from the previous version. Can you share an update on when these issues might be addressed or improved? The primary concern is the need to open the Excel file manually to sync form data. Is there any plan to introduce a flow that enables automatic syncing, or perhaps a way to ensure the data syncs seamlessly without requiring the file to be opened like it did before?

Like hundreds in the comment section and probably thousands out there I am frustrated too with this change. This definitely looks like step backwards. What used to an automated thing now requires us to manual open the excel. For someone like me this also means I will no longer be able to seamlessly connect the form responses (saved in excel) to be used in other flows within power automate. This is such a bad move

So Microsoft released an update that \"syncs\" Forms data with Excel (something that already existed, but let’s ignore that for now), where the sync only happens after opening the Excel file to \"refresh\" the data. Am I the only one who sees this as a step backward, at least from a user/customer perspective? What used to be an automatic feature in Forms now requires me to set up an automation flow in Power Automate to perform this task. Sorry, but this was an intelligently dumb idea.

I have the same problem... I tried the following solution but it did not work for me:
Wrote an Office script to refresh the Excel Online workbook
Set up a Power-Automate flow to call the \"refresh script\" to update the MS Forms connection
Unfortunately this did not work for me. The workbook is updated but new responses are not added to the spreadsheet.
The synchronisation only works when I open the workbook manually. Is there any known automated solution?
