Microsoft 365 Archive, Enhanced Version Controls, and Microsoft 365 Backup For Scaled Storage Mgmt.

With more than two billion files created in Microsoft 365 every day, organizations require robust, reliable, and performant data management solutions. Organizations are moving data outside of the Microsoft 365 trust boundary to try and achieve their business continuity goals. However, this large data movement is proving impractical to reach those goals while maintaining strict security and compliance adherence. We now have several new solutions to help organizations meet their data management challenges in a secure and efficient manner.

 

Microsoft 365 Archive (now generally available) and newly enhanced version controls (now in public preview) give customers a way to store or trim away inactive data as part of a proper data lifecycle management journey, keeping their data secure and relevant in the age of AI in a cost-effective manner. Microsoft 365 Backup (now in public preview) provides unparalleled performant recovery for their critical active data to maintain business continuity at otherwise unachievable speeds. Microsoft 365 Backup Storage (in public preview soon) gives developers a way to provide end customers with the same benefits of the native Backup solution through their own integrated application.

 

Microsoft 365 Archive – generally available

 

Start using Microsoft 365 Archive today. Moving content into this lower-cost SharePoint storage tier gives you the following benefits:

 

• Ultra-fast archiving in a matter of minutes, regardless of the amount of data stored.
• Seamless integration with Purview to provide a rich end-to-end archive, security, and compliance solution without the need to manage the security and compliance of your data in multiple systems.
• Retained admin-level search indexes. End-user search indexes are coming soon.
• Rich lossless metadata fidelity in both the standard and Archive storage tiers.
• Easy Copilot relevance scoping and oversharing protection, since archived content is currently ignored by Copilot. You can take the time you need to apply appropriate labels to your inactive data or clean it up completely.

 

Archiving and reactivating content in SharePoint is simple and straightforward. When archiving a few sites use the site-picker in the SharePoint admin center. For large-scale archiving, leverage PowerShell scripts or custom applications.

 

In addition to standalone control of the Archive feature, you can also configure policies in SharePoint Advanced Management’s site lifecycle management feature to automate archiving activities. SharePoint Advanced Management includes default workflows that prompt site owners to verify whether a site is still in use, no longer active, or ready for deletion prior to moving it to an archived state.

 

Today, you can archive a site in its entirety, with file level archiving coming later. This is great for scenarios where a project is self-contained in a site, where you want to move inactive files out of a site and into a properly labeled archived site, or where you are migrating currently inactive content from another location into SharePoint.

Enhanced Version controls – public preview

 

Improve your version history limits and save on SharePoint Document Library costs. Version history is a critical part of SharePoint’s built-in data protection, but some of these versions grow less valuable from a restore perspective over time.

 

We’ve recently launched into public preview new time-based and intelligent automatic trimming capabilities to give admins and content owners a way to reduce the storage footprint consumed by low value file versions while retaining appropriate recoverability.

 

Previously, document library owners could set only count-based version limits at the library level. We’re now introducing:


• Automatic version limits that intelligently prune versions for you based on factors such as age and restore probability to offer the best storage usage versus recoverability optimization.
• Time-based manual settings that couple with count limits if extended recoverability is not a priority for your organization.

 

Admins can put these settings in place at the library, site, or tenant level.

Microsoft 365 Backup – public preview

 

Microsoft 365 Backup provides true business continuity peace of mind in the face of growing ransomware and user or admin-driven content destruction events. It provides recovery of your OneDrive, SharePoint, and Exchange Online data at unprecedented speeds for large volumes of data within the Microsoft 365 trust boundary. This offering is currently in public preview and will be generally available in the early part of next quarter.

 

Remember, you’re only truly backed up if you can recover quickly at scale—something the Microsoft 365 Backup platform can uniquely offer.

Microsoft 365 Backup Storage – public preview, June 1

 

Microsoft 365 Backup Storage is a platform that enables 3rd party software vendors to provide the same exceptional recovery capabilities as the native Microsoft 365 Backup application, but through their integrated backup applications.

 

If you are a developer looking to build on top of this platform, we will have details in early June.

 

With Microsoft 365 Archive, version controls, Microsoft 365 Backup and Microsoft 365 Backup Storage, customers will be able to achieve their data management, security, compliance, and business continuity goals without having to move data outside the M365 trust boundary.

    Very glad for this feature and very dissapointed at the same time.

    We can´t archive sharepoint connected channels sites. This is a huge problem with this feature, because is normal use teams channels and their associated sites.

    It is very important you implement this use case.

    SharePoint Online Intelligent Versioning Rolling Out

    The deployment of intelligent versioning to SharePoint Online worldwide is proceeding. Intelligent versioning is all about reducing the amount of storage quota consumed by file edits. It's a great idea, but it has one downside for many Microsoft 365 tenants: retention policies and labels stop SharePoint removing unwanted versions.     BradGussin Do we have any feature type of matrix yet and/or comparison to other “co-opetition” such as CommVault or in general?

  • SteveB glad to hear this will be useful for your organization. We're targeting GA for a couple of months from now, but would like to see some usage feedback during the preview as always.

    Can't wait for "enhanced version controls" to go GA, how long will it be in preview? This is what was missing, we couldn't reduce storage consumption for active sites with archiving and can't deploy similar information management policies to clean up old versions on mass like new feature can.
