Preparing the Workforce for AI

Hi there. I have to roll out Microsofts AI features when they get released. I need help with a Change Management and Adoption plan. This is new tech that is extremely expensive so the investment alone is going to drive my manager nuts. So I have to be prepared to get these people working and using the tools. How do I that for 5500 users? Then, after the fact, how do I ensure I measure the success through analytics etc. I need a template plan and step by step guide on how to manage all of this in Admin Centre. We are talking about rolling out all these technologies - the full Microsoft Product Suite of Products, all of them in one go! We are part of Private Previews at the moment but it is such a select view people. Help!

  • We will be preparing all that and more for you to download from the Adoption Hub Ben mentioned below. While I agree in some cases with Terence the why is laid out in those materials. You can in fact "do AI" from a productivity standpoint for sure. The whole point of Copilot is that has simple task oriented improvements to your day to day work. Stay tuned. We'll also cover all of that new content in our Champions call.

    Outside of that, Microsoft have been publishing a lot of Copilot content on their YouTube channel that demonstrate how it works in different applications. These will be great for generating buzz: Microsoft 365 - YouTube

    The first question I'd have is what exactly is the change? You can't just "do AI", you have to have a clear view of what is changing, why it's changing and what the success measure of each change is. Change managers are not responsible for defining this. I'd go so far as saying that your only job at this stage is to get the project team to answer the questions above in detail otherwise you can't know what you're supposed to do.

    As for the number of users; the answer for scaling any change is to experiment (pilot), assess, learn lessons and repeat until you actually know that the tech is going to live up to it's promise. Then you start training up champions in every department who can be the bridge between the project and their team.

    There's a lot that goes into maximising the chances for successful change. If you haven't done a change management course like the Prosci practitioner course I'd recommend doing that ASAP, they are being run remotely worldwide so you should be able to find a course running next week... and the cost of the course will be drop in the ocean compared to this project budget.

    If you're really stuck you can hire in certified change management experts to support you.
