Copilot Chat + Outlook: Email Summary Behavior
Sharing my discoveries. Copilot Chat is available to Microsoft 365 work or school accounts. Using Summarize this email in Outlook saves each summary as a Copilot Chat conversation, which can clutter Chat History. There’s no bulk delete; chats must be removed one at a time. This is expected behavior. Using Temporary Chat for one-time summaries helps keep Chat History clean. I’ve always enjoyed working in Copilot Notebook. One of my favorite features has been the ability to add just a subset of relevant files so I can stay focused on one piece of a project. That alone created a real “wow factor” for trainees. But with the latest update, I’m finding the new three‑split layout a bit distracting. The UI is now spread across the left navigation panel, the main summary/content area in the middle, and the Copilot chat on the right. There’s a lot happening on the screen at once, and it feels busier than before. ℹ️To help others who might be hunting for where everything moved, I recorded a quick walk‑through so you don’t spend an hour clicking around. ▶️ Video: https://youtu.be/lkwgMXfIlDQ?si=xZvZ0KSqrP-5T0Ug I’m curious how you're feeling about the new Copilot Notebook experience? Are the changes working for you, or do you miss the previous layout too? #traccreations4e-p25 1/24/2026230Views1like2CommentsWhy Can’t Copilot Find My Files? Here’s What You Need to Know
Have you ever asked Copilot to pull up a document—only to get nothing back? It’s not a glitch. Copilot relies on permissions, indexing, and governance to locate your content. If your files aren’t accessible or properly organized, they won’t appear in Copilot’s results. Here’s what you can do: ✅ Make sure your files are stored in OneDrive or SharePoint ✅ Check sharing permissions—Copilot can’t access what you can’t ✅ Keep your content organized for better indexing Want to dive deeper? I ran into a similar issue. It is a timing or loading issue. Once you launch My Day, allow it time to reload. Some users have reported that it took several hours. For me, after 10 minutes, I closed and rebooted My Day without any issues with dragging emails to the task or calendar. However, I am still seeing a 20 to 30 seconds delay for MyDay pane to load. I also experienced the same loading issue with Rules. The good news is Microsoft New Outlook team is aware of it and hope it to performance improvements soon. I would like to respond to your post respectfully in case others read this message. New Outlook comes with New Workflows. Yes, there are still missing classic features and hiccups. Microsoft has firmly said that all features will not make it to New Outlook. With that being said, sometime users try to use New Outlook the same as classic. I support your decision if you stay or find another app. If you decide to keep New Outlook, I want to help with your experience. I am unable to switch from Dev to Beta. It is grey out. According to the Dec 19, 2025 article, Dev and Beta share the same build, with the option to switch between them. It is December 23, and the option is greyed out. Changing the Regedit key does not work. I do not want any part of Dev. I did not receive a warning to confirm the selection; it locked and greyed-out Beta. Please any guidance will help. I truly hope I dont have to reinstall on this computer. Announcing Windows 11 Insider Preview Build 26220.7523 (Dev & Beta Channels) | Windows Insider Blog Article in part: Hello Windows Insiders, today we are releasing Windows 11 Insider Preview Build 26220.7523 (KB5072043) to the Dev & Beta Channels. As a reminder, we are offering the same builds to both the Dev & Beta Channels on Windows 11, version 25H2. If you are an Insider in the Dev Channel, you now have a window to switch from the Dev Channel to the Beta Channel if you would like. This window will only be open for as long as we’re releasing the same 25H2-based updates across both the Dev and Beta Channels. After we move Dev Channel forward to a higher build number, the opportunity to switch between these channels will close. When the Dev Channel jumps ahead, things might not be as stable as the Dev Channel is today, so we highly encourage you to evaluate which channel you would like to be in during the time in which the window to switch is open. Changes in Dev & Beta Channel builds and updates are documented in two buckets: new features, improvements, and fixes that are being gradually rolled out for Insiders who have turned on the toggle to get the latest updates as they are available (via Settings > Windows Update*) and then new features, improvements, and fixes rolling out to everyone in the Dev & Beta Channels. For more information, see the Reminders section at the bottom of this blog.130Views0likes1CommentBest New Outlook Features Released in 2025 — A Practical Wrap-Up
Over the course of 2025, Microsoft delivered a significant number of updates to New Outlook for Windows. For many users who tried New Outlook early and stepped back, the experience today is materially different. I’ve published a recap video that walks through the most impactful New Outlook features released in 2025, focusing on what actually changed, what gaps were closed, and how the product is evolving as Microsoft continues the transition away from Classic Outlook. This video is not a deep dive or step-by-step tutorial. It’s a practical end-of-year review covering: Why Microsoft moved to New Outlook and the current opt-out timelines Account management improvements (account display names, shared mailboxes, drag-and-drop workflows) PST export becoming usable directly in New Outlook Mail experience enhancements (favorites, folder colors, categories, bulk actions, templates, mail merge, newsletter) Calendar layout changes redesigned to accommodate Copilot People / Contacts usability fixes and cleanup Copilot in Outlook: standard vs premium capabilities and real workflow differences This isn’t positioned as “New Outlook is finished” or “Classic is gone tomorrow.” It’s an honest look at where New Outlook landed by the end of 2025 and what it now supports compared to earlier releases. For those managing transitions or advising users: Which Classic Outlook features are still blockers for you? Have the 2025 updates changed your adoption stance? Are there specific workflows you still cannot move yet? Interested in hearing real-world perspectives from admins, trainers, and power users as we move closer to broader default adoption. #traccreations4e-p25 12/11/2025448Views0likes1CommentRe: Custom Search Folders in New Outlook
UPDATE AS OF DECEMBER 2025: Based on MS Roadmap this functionality has paused. Roadmap ID 500392 Users can create Custom Search Folders in Outlook to automatically surface emails that match specific criteria such as sender, subject keywords, categories, date ranges, among others. Search folders update in real time and give you a focused view of the messages that matter most, without moving them from their original location. We will be pausing development of this feature for the time being. We apologize for any inconveniences. #newoutlookforwindows If you find this information helpful, please mark it as the best response to assist others with the same question. #traccreations4e-r25 12/10/2025143Views1like1CommentMail Merge in New Outlook
I finally used Mail Merge in New Outlook. I haven’t been able to find any official documentation since the feature was released in December 2024. Hello All, There have been some slight changes to Mail Merge in New Outlook; for example, the To line is now Recipient. Also, I discovered some limitations to using contact or distribution lists with Mail Merge in New Outlook and provided helpful suggestions for not having a personalized salutation. The details are captured in my detailed blog post and video. 👉🏾Blog: Mail Merge in New Outlook: What You Need to Know - TRACCreations4E 👉🏾Video: https://youtu.be/x-o72L0tSHs Good News: Advanced Features is coming in August Preview / September GA. I want to add to LisaHendrickson’s response. Mail Merge in New Outlook is another option when you want each recipient to receive their own individual message. It generates a separate email—and a separate Sent item—for each recipient, which is helpful when you need detailed per-recipient tracking. You’ll see each person’s name on the sent copy for easy follow-up, but your Sent folder can grow quickly if you’re sending to large lists. Personalization is limited for now, but Microsoft plans to expand Mail Merge capabilities in early 2026. BCC still works well for group sends. Everyone receives the email, and your Sent folder stays clean because Outlook saves only one copy of the outgoing message. For both methods, I agree with Lisa's number of recipients to send. Microsoft has started rolling out PST export support in New Outlook for Windows. Many users have said they miss one of Outlook Classic's features: the ability to create rules for sent items. One popular use is automatically moving a Sent item to a designated folder, reducing the time it takes to handle email. Currently, rules in New Outlook manage received messages in the Inbox. This blog provides details. New Outlook Limitations: Outgoing Message Rules » TRACCreations4E I am happy to share that I have finally come up with a workaround to add a copy of the message you sent to a folder of your choice. Yes, the original message will remain in the Sent folder, but you don't have to move it manually. This method should hold you over until Microsoft rolls out the functionality for "Sent rules," which has not been added to the roadmap. I had a user to ask about how to update Outlook's Custom Dictionary. She had noticed that many of her Classic Outlook brand terms and acronyms were missing in New Outlook. You may not realize that New Outlook uses RoamingCustom.dic file and has its own custom dictionary. This file is stored in the cloud. Classic Outlook uses Custom.dic file and is saved on your local computer. Both dictionaries can be updated through Microsoft Word. In this blog post, which contains a video, I explained the differences between the two dictionaries, where they are stored, and how to build your dictionary in New Outlook. #traccreations4e-p25 11/24/2025131Views0likes0Comments
