Trying to determine when Microsoft Teams does and does not send an email when using the chat function. 

 

Scenario - I am in a chat with a colleague, got the banner notification in Teams to alert me and when I came back a few hours later I responded. All that is good. This morning (next day), I sent him a another chat, he got the banner notification - which is expected, but he also got an email in addition stating that "Darrell sent a message". My question is why did it send an email message this time and not anytime yesterday. Is there some type of 'time period' (8 hours, next day) that is used to determine when to send an email? Also - is that configurable?

Yes, you can choose to have Banner and Email, for most notifications.

 

And you can choose the email frequency as well, from ASAP, to once a day, or never.

 

Click Settings, then on Notifications.

You can kind of configure it as Adrian said, however, the e-mail notification will not go out unless your status is auto away, it's something like 3-5 minutes of inactivity, I can't remember exact. But if you're away just kind of starting at your computer reading something or talking and notice a banner, you'll get an e-mail, or if you go away you'll get an e-mail, but if you say are away 2 minutes, get a notification, then return to your computer and active again you won't get one since you should "See" your notification on screen with the notification on your Teams icon etc.

So yes, you can configure the settings but they only take hold if you're inactive / away from any Teams instance, including mobile app.

Is there no way to stop them completely?

The user can go in and turn their email frequency setting to never.

Seems to be on desktop only, to kill notification completely no matter your status or last activities.

 

On mobile, I deactivated the notification if I was considered active on the desktop app, so not to recieve notification as already working in Team and don't need double jingle.

@Adrian PrattTeams notifications currently shows options of banner and feed. Does feed = email?

@milees Get lower in the Menu : Missed Activity email or something (not exact words, I run another language). Set that one to your liking for the emails. Anything else impact Teams when it's opened.

No. Banner is pop up notification and feed is activity feed. Email notifications will be based on activity feed if enabled in your notification settings on your profile and they only get sent out if your inactive in teams for a period of about five minutes and or signed out.
Thanks Chris, that makes sense. I have checked profile>settings>notifications and Missed activity emails is currently set to Once every hour, which is fine.
Just keep in mind, that will only trigger if you are "Inactive" in Teams for at least an hour basically. Sometimes people expect an activity e-mail of all activity every hour and it doesn't quite work that way :).
Thanks, I only require email notification if I am inactive. I don't need an hourly summary emailed...I can go look in Teams for past activity if I want that.
So I think I am set up correctly now. Now I wait to see if it works as expected...oh that means being inactive in teams ;)

I have set all notifications to Banner , Only show in feed, or Off.   I have set Missed activity emails to Off.   Yet I am still getting email notifications.    I do not want any emails, at any time, for any reason.   How do I get them all stopped for good?

It should stop. Are you sure you aren't getting e-mail from other organizations you are guest of? You have to go turn off notifications there as well if that's the case.

@Chris Webbthanks for reply.   I am not a guest on any other organization.   this is from my own team at my company.  it is baffling.

Only other things I would think to check is if these are old threads that maybe the notifications are stuck on? If they are new then do you have any other users that are in this Team that might have notifications setup that you have e-mail aliases or forwards to your account that you might be getting another accounts e-mail notifications? I can't recall if it specifically puts who the notification went too but you could check e-mail trace to see as well.

If none of that can be the issue then I'd just go put in a ticket because it's a pretty straight forward option that should just work, but those are things that it could be that could be influencing you getting notifications.

Sorry if this is a stupid question - I have played with the settings and turned everything on - but is there a way ( or does it do it anyway ) to send me an email to my Outlook account to notify me that someone has posted a new question in a Teams group if I dont have Teams turned on ?

I dont always log in and people are posting questions that get missed.
