M365 Exchange & Shared Mailbox Calendar Notifications
M365 Business Premium tenant here. We have a shared mailbox (not resource mailbox) called meetings@ The aim is to have an anonymous email address staff can send out meeting requests to our clients and have a dedicated calandar for those meetings. I've set up the staff members with Receive and SendAs permissions so everyone can set up meetings using that account so that the meeting invite appears to come from meetings@ instead of the staff members email address. Staff can create meetings and the invite is anonymous so that part is working as planned. The problem is, all the staff gets flooded with Accept/Decline messages going to their personal mailboxes. Is there a way to set it so that only the shared mailbox gets the notifications or even supress those messages entirely. I've resorted to email rules for each staff member to either block or divert the messages but I'd really prefer it if there was a one stop shop rahter than having to configure individual's mailboxes to block them. I tried Set-CalendarProcessing -Identity "email address removed for privacy reasons" -RemoveForwardedMeetingNotifications $true -AutomateProcessing AutoUpdate but it didn't seem to do much. Once again, due to versioning of files, we've run out of storage space on our SharePoint Online site. We've had warnings that people won't be able to save new work (but I haven't actually noticed anyone actually experiencing that yet.) I'd just like to be clear which 'totals' are the most accurate,up to date and what they actually refer to. There's (a) the total in the top right of the "Active Sites" panel. (b) the sum of the column " Storage used" in the "Active Sites" Panel (c) by totaling up the results of every site by taking the sum of all entries in each site collections "Storage Metrics" I suspect this is the most accurate and up to date but seems like a lot of work. (Please let me know if there's others.) What aren't these three values ever the same? Are they counting the the same metrics? If there's a delay for one result to catch up, typically how long is this delay? Which of these results is reporting i) Active Files ii) Versioned Files iii) Recycle Bins iv) Second Stage Reycle bins. v) Preservation Hold or other retention libraries. Is there any way I can get a report of the above as separated out results? What result is Microsoft looking at when they say issues a warnings that we're out of space? When researching an issue with our M365 business premium tenant, the articles often mention the requirement for xzy licence or plan to use this feature. The trouble is I can't seem to find a nice summary of what licences and plans M365 Business Premium actually includes. Is there one available anywhere? Even better, is there some way the admin panel or powershell could even report exactly what licences I have installed? eg. What sort of Entra licence?, What sort of purview licence? what sort of mailbox plan, etc. I'm currently stuck on doing some eDiscovery and can't quite work out if Business Premium is even licenced to do the stuff I'm trying to do. It so frustrating as a Business Premium user spending hours researching stuff only to find the articles only apply to E3 or E5 when the articles refer to the specific plans required. Hi there. Seem to missed this response. Apologies for the late reply. It's for the whole site. There are no members entered directly into SharePoint. They're all added by a Security Group. In the Site Permissions area, it look like this Sec-EntityA-Staff EntityA Members - EntityA Members EntityA Owners - Blank EntityA Visitors -Blank Or should I be doing it like this? Matti_Paukkonen Hi Matti. The users are in an email-enabled Security group and I'm trying to give them Edit access. Here's my steps.... In M365 admin panel, Create a Security group containing all the members that will be allowed on the site. Create Sharepoint site Enter SharePoint site's Documents Page Click on Settings cog > Site permissions > Advanced Permissions Grant Permissions > Add Security group Select 'Invite People' and select the security group I created. Click 'Show Options' Untick 'Send an email Invitation' In 'Select a permission Level' Dropdown Select 'Edit', Then 'Share' Refresh the page to confirm the Security group was added to the root permission. Click on Check Permissions to make sure the user has access Send the user a link to the documents page of the site Ask the user to try to access using the link. How do I automatically allow members of a security group access to a Sharpoint Online Site without needing to email them or go through the 'request access' routine? We have an organisation with two entities on the same tenant. I've created a couple of SharePoint sites for each entity to use and now I'm trying to figure out the best way to allow everyone in one entity access to one site and the other entity the other. I can't use the blanket "Allow all in organisation" but I'd like something similar using Security Groups. I've created two groups and populated them with users for each side and using the advanced permissions, I can add the security groups manually for the users to gain access. I don't want to bother them with emails so I unticked that option. The right users now have access but they still need to go through the 'Request Access" routine. This is particulalry annoying for the admins of the sites as they have to okay everyone on their side of the company. Is there a way to automatically give everyone in a Sharpoint group access without having to either email/request access? Having similar problems. Working with an org that has two different entities on the same tenant. I created a couple of security groups to separate the two sets of staff out. Thanks guys. In the end I got the Exchange Online P2 licences. Business Premium is great but most of the cool stuff it does is when everyone is on Premium, not just a couple of people. It was a simple case of buying the licences and adding them to the users. It took a little while for MSs servers to do what was necessary in the background but 30mins and an Outlook restart was all that was necessary to see the bigger mailbox.2.4KViews0likes0CommentsRe: Calendar to send invites from a generic email address
Thanks Vasil. It ended up being more complicated than your suggestion but your bit about "Disregard the address shown in From" helped me a lot in working out what to do. It seems if the meetings@ has been automapped to the user, the functionality does not work. You need to add the delegate manually to Outlook and not rely on M365s automapping feature to add the user. Fixing involved removing the user as a delegate and re-adding them using PowerShell eg Add-MailboxPermission -Identity "meetings" -User "James T Kirk" -AccessRights FullAccess -AutoMapping $false then go into Outlook and add meetings to Outlook via going through it's account settings to the advanced Exchange settings and add meetings@ there. Have a couple of users in a M365 Business Standard setup who keep hitting their 50GB mailbox limit. The rest of the team are all well within the limit so we just need a boost for the two users. We're not looking to increase the limit for everyone. Looking at the archiving options with Business Premium and Exchange Online Plan 2. Which would be better for our circumstances? How do the mailbox features of each compare? I've basically set up a shared mailbox called meetings@... The intention is to use its calandar to book meetings for various groups in our club membership and to have one central area where a team of staff can use it instead of their own logins and cluttering up their personal calendars. What we want is the invites for this calendar invite to appear to come from meetings@... I've added a few people as members of the shared calendar so they can post invites. However, even if we send out an invite "From:meetings@...", the invitee always gets the invite from the individual, not the shared account. The meeting invite has to come from meetings@.... How do we do this? Have I missed something when setting this up? Is the Event creating process different to posting from a personal mailbox? Just to add, I've added delegate permsisions to the calendar. I have a recurring problem with an installation of Office (MS365 Business Standard). On reboot, every time the user tried to login to an Office product, they get an 'updating' screen then a 0xc0000142 error. I've been downloading Office from the MS 365 Business portal. I've repaired, reinstalled, completely wiped and even ran the uninstall report tool. Gone through all of https://support.microsoft.com/en-us/office/error-0xc0000142-when-you-start-an-office-application-64b3a500-ee74-4b66-b370-9d607ef92b6c and whilst every solution fixes the problem during the current login session, as soon as we reboot, the problem reoccurs. Windows was recently updated to Win 11 (by accident) and is now fully up-to-date. A potential contributing factor is that the user has both a personal MS account and a work MS account using the same email address. The personal MS account used to have the family version of Office but no longer as the person is now using their work account version. I suspect there's a flag somewhere that is making Windows thinks the version of office is the wrong version and gets confused. One other thing that might be relevant. the 'licenced to' screen always thinks it the personal account, even after I've activated the work account.815Views0likes0CommentsCan't Send As from a distribution List.
I'm having problems setting up a user that needs to send emails FROM an email address set up as a distribution list. I've gone into EAC > Groups >Distribution Lists selected the distribution list, > Settings, > Edit Manage Delegates and attemptedto add the user there. but got a "Object reference not set to an instance of an object." error when tryingto add the user. I'm setting up a series of 'shared' folders for a bunch of clients in a site dedicated to giving clients a bit more access to our system. This is specifically so they can upload files to us so I'm assuming it can't be 'read only'. Invites are set to 'Specific people' and they need to verify to gain access. So far, so good. I noticed that external shares can still invite others to the folder and share files within it. How do I block this for guests (for just this site). I'm aware of the setting "Allow guests to share items they don't own" in the Sharepoint organisation policy settings but I'm really after the site only version of this. A colleague has a weird issue where her Teams (web app) microphone will only work when her webcam is switched off. The settings in the 'Customised Settings' don't appear to be reflected when she turns her camera on but the audio instantly cuts off and returns when the video turns off. She can still hear me regardless so it seems to be just a microphone issue I'm assuming Teams is somehow thinking that there's an audio device on her camera when it's switched on but there doesn't seem to be a way of seeing this change from the settings panel. Is there a one stop place I can replace our trial main service number with our real one? For example, do I have to recreate all the call assistant settings or can I just transfer everything to the new number?
