File locations in SPO subsites vs. Teams group sites
Current practice: Org is a law firm with one tenant, that has multiple subsites and some secondary subsites below those. Subsites are topical, one of which contains active clients, and each of those has a subsite. Matters are folders within the subsites. Collaboration with externals is either by invitaton per file or by access by Entra groups that include the necessary externals. This allows easy synching via the OneDrive client, easy searching, and easy archiving. Objective: To use Teams for internals and externals on cases requiring a lot of collaboration. Problem:If one sets up a team in Teams with channels for cases, unless something has changed those files are kept in a dedicated SPO site, located hierarchically directly under the tenant. That interrupts the current file management system. Is there a way to use Teams and channels with externals while keeping the files in their current SPO subsites and folders? Or am I envisioning incorrectly how this would work?Copilot, Sharepoint Online, and LLM Training Data
When one creates a Copilot for a SPO site, what data becomes part of the model's training? Are prompts used by msft in training the model? Is any part of the site data or AI's reponses used in training the model? I have started to create dashboards in OneNote of resources involved in specific projects. For example, Project A will have five resources scattered in different libraries or folders; in OneNote, I'll create a table with five nicknames and the URIs. Most URIs point to local files, and most of them have spaces in the filename or pathname. It does not appear to work to use quotation marks after the 'file:///' indicator, so I've been substituting '%20' for the spaces. That works fine, but it's time-consuming and error-prone. Is that my only option? Is there some way to make the quotation mark approach work in this context? This post is more for someone from MSFT to forward along to the appropriate product team. My organization has a few Microsoft Lists. I can create a progressive web app either from the Microsoft Lists landing page, from which I could then enter any of the Lists; or I can create a web app from the specific List. But there's a difference in functionality. One of my lists has a lookup with linked fields that populate other columns. If I made a PWA from within that specific List, then I can click to filter one of the associated linked columns, and a pane will open with my choices. But if I made a PWA from the Microsoft Lists landing page and then go into the specific List, and then do as before to click a linked column heading to filter, the filter pane opens to a spinning disk and never populates. Background: My law firm uses subsites for clients, and document libraries for matters. Lists also get used. To date, the only SPO/M365 calendars being used are individual Outlook calendars. Matter events are calendared in a separate, shared SQL Server-based app. Problem: I'd like to enter matter events (generally deadlines) in a calendar that's based in the matter's document library, or alternatively in the client's subsite--but I would also like those dates to flow into one central calendar. (The central calendar could then be shared with whoever needs/has access, and would appear in their own Outlook.) Question: Is there a way to do that? Is there a better way to accomplish my end result, which is basically to migrate away from the SQL Server-based app.289Views0likes0CommentsLists PWA; column filtering not working
I have a PWA of Microsoft Lists. There are multiple lists on the landing page. When I'm in one of the lists and try to filter on a column's choices, the side pane opens, a little circle keeps spinning, but nothing else ever happens. If, though, I go into that list from within M365, i.e., not a PWA, then the column filtering function works as expected. Any idea what could be the problem? My law firm regularly meets with externals over Teams. These do not occur in any Group or Channel. They result from creating a new meeting over Teams from Outlook. The issue is that we have been unable to share files with other meeting participants. It does not work to drag-and-drop into the chat field; there's a bar/circle/can't-do icon. Not all, if any, participants are Guest User objects in Entra. (One example would be a deposition, where the witness and court reporter are not Guest Users, but there's a need to share exhibits that cannot be distributed before the deposition.) Under the Calls tab in Teams--at least for tenants with a Microsoft Phone subscription--the primary field returns a phone number or a name. If a name, there is no option to select a phone number. If one clicks the Contacts button toward the upper right of the window, then a listing populates the window, which includes a search field. Many, many contacts are missing from the contacts list. All the missing entries exist in the Contacts module of Outlook, and at least guest users (haven't tried nonusers) appear if their name is added to the People field--but, as noted, one cannot then opt for their cell, office, or other number. This makes the New Teams completely useless for any organization that uses Microsoft Phone and works with external resources.865Views0likes0CommentsMeeting notes and Loop components
Microsoft is phasing out the Teams wiki. One option for Teams notes remains OneNote. This post is not about either of those approaches. If an organizer adds notes, e.g., an agenda or meeting notes, to a Teams meeting entry from the Teams calendar blade, those notes can be reached through searching the Microsoft 365 portal. They appear as a Loop component. 1. Where is the content stored? Is it accessible for offline backups? Can it be preserved for eDiscovery? 2. What exactly are Loop components? None of the MSFT pages clarify that. They appear to be structured content that is subject to M365 permissions but not limited to a traditional Office app. Is that accurate?
