Over the past several weeks we've had a number of community questions on classic vs modern search in relationship to SharePoint and Microsoft Search across social channels, e.g. Twitter, Facebook, etc. and here in the Microsoft Search community. We've selected the most common questions and have created the Q&A below to help answer those. As Microsoft continues to invest in modern experiences, including search, will existing SharePoint search administration options, such as Query Rules, Schema, Dictionaries, Type-Ahead Suggestions, etc. be deprecated over time or made available in Microsoft Search administration? As we continue the journey of modernizing classic search experiences across SharePoint and other Microsoft Search endpoints, we’ll transition their configuration options (where supported with Microsoft Search) to the unified Microsoft Search admin center in addition to their programmatic model where applicable. Microsoft Search is a cohesive search experience across Microsoft 365 and Bing so does not have affinity to a specific endpoint, such as SharePoint, but shares it’s underlying capabilities across Microsoft 365 apps and services. As a singular search experience across Microsoft 365, configuration options for search will move to the unified search admin console as well as “cleaning up” the search settings when in SharePoint context. Will there be changes to the web parts available to the “classic search” experience as search is modernized and transitioned to Microsoft Search? As Microsoft Search continues to roll out across Microsoft 365 we’ll modernize web parts in conjunction. For example, the Hightlighted Content web part will get an advanced capability to allow the use of KQL and CAML directly. This will help solve a lot of user configured roll-up scenarios. Secondly we are investing in making the modern search result page customizable in terms of custom verticals and the ability to add more refiners. We are also investing in an alternative to display templates, using adaptive cards, which will first arrive for the new custom connectors. If you however need full flexibility on how to display results you may as an example use the PnP Modern Search web parts configuring the search box on a site to land on that page, as announced at SPC. Are there plans to introduce classic search replacements for Refiners, Search Bar, and Display Templates? We are working on providing the capability for custom verticals, custom refiners and the use of adaptive cards for the modern search result page. Is it possible to ingest on-premises content into Microsoft Search, such as the ServiceNow examples shown at Microsoft Build in May 2019? ServiceNow is an example of external data being indexed into Microsoft Search using the new connector framework announced at Build and SPC. Any on-premises content or line of business content can be indexed the same way, much in the way hybrid search works today. Expect a number of connectors coming from Microsoft to support file servers, sql databases and SharePoint, as well as partner offerings. Near term, if using SharePoint on-premises, the cloud search service application (hybrid search) can be used to index across on-premises content and brought into Office 365. As Microsoft Search is a cohesive search experience across Microsoft 365, providing data can be brought into one or more endpoints, as described above, it will be available to Microsoft Search. I read there is a 20M document limit for documents index using the cloud search service application (hybrid search) with SharePoint on-premises. The limit is not 20 million, but there is a limit depending on the licensing and volume you have available in the tenant. Via a service request this number can be increased today. Is Microsoft Search what had been called Bing for Business? Microsoft Search in Bing (formerly known as Bing for Business) is one of Microsoft Search’ endpoints along with SharePoint, Office.com, Outlook, OneDrive, etc. For ingestion the new connector framework is the way forward, and a new query api is being built via the Microsoft Graph. Is there a relationship between the Microsoft Search pipeline and Microsoft Graph? Yes. Indexing and query will be provided via Microsoft Graph APIs. Will it be possible to ingest content from non-Microsoft sources and enrich that content? Any enriching can be done on the custom connector side before the data is ingested into the Microsoft Search search index. How does Microsoft Search fit within the context of Enterprise Search? Microsoft Search is an Enterprise Search solution. With the new investments to easier ingest your own content, and taking advantage of machine learning across all workloads in the Microsoft Graph to provide best of breed ranking of results for the individual, we believe that if you are using Office 365 as one of your primary data sources, then using Microsoft Search will make it easier for your end-users to get a unified search experience on all their data, across all devices. Microsoft search is a new enterprise search experience that increases productivity and saves time by delivering more relevant search results. As part of our GA rollout, we've updated our Microsoft search in Bing terms and have made a change to how we handle certain types of queries. This change helps Microsoft search in Bing ensure that Bing continues to be a great experience and is able to provide users with relevant search results. With this change, Bing systems are able to analyze public search data that is necessary to maintain high quality results while still protecting enterprise queries on Microsoft search in Bing. NOTE This does not affect the way we handle searches submitted for enterprise results through Microsoft search in Bing. We are gradually rolling this out to Standard Release customers in late July and the rollout will be completed worldwide by the end of August. UPDATE In January we announced changes to be implemented on July 1, 2017 to the SharePoint and Exchange eDiscovery capabilities (see https://techcommunity.microsoft.com/t5/SharePoint/SharePoint-and-Exchange-Online-eDiscovery-Transitioning-to/td-p/41492). Due to the delayed release of a feature that will allow you to copy the results of an eDiscovery search in the Office 365 Security & Compliance Center to a discovery mailbox, we’re postponing the decommissioning of new In-Place eDiscovery searches and In-Place Holds in Exchange Online. You will continue be able to create new searches and holds in the Exchange admin center until further notice. It still remains that you will not be able to create new cases in the SharePoint Online eDiscovery Center after July 1, 2017. We'll continue to update this articles as we work to deliver the feature mentioned above. Overview On July 1, 2017, Microsoft will disable the ability to create new In-Place eDiscovery searches and In-Place Holds (*-MailboxSearch) in the Exchange Admin Center in Exchange Online. We’ll also disable the creation of new cases in the eDiscovery Center in SharePoint Online. Instead, we invite you to use the Security & Compliance Center to fulfill your organization’s eDiscovery needs. In both cases, you will still be able to edit and run existing searches in the Exchange Admin Center and work with existing cases in the SharePoint eDiscovery Center. Microsoft is decommissioning these eDiscovery tools because of their limited breadth across Office 365 services. The Security & Compliance Center supports permissions, cases, holds and exports as well as Advanced eDiscovery features such as Themes, Email Threading, Near Duplicate Detections, and Predictive coding. These changes only apply to the Exchange Admin Center in Exchange Online and the eDiscovery Center in SharePoint Online. On-premises and dedicated deployments of these tools will continue to be supported. Although Advanced eDiscovery requires E5 Licensing, the base eDiscovery offering is available for all enterprise plans. When will this happen? New cases in the eDiscovery Center in SharePoint Online and new In-Place eDiscovery searches and holds in the Exchange Admin Center will be disabled on July 1, 2017. This might vary slightly based on the actual deployment schedule. Will I still have access to my existing cases in the SharePoint eDiscovery Center? Yes, you can continue to interact will all existing cases, you can add searches, holds and export from these cases. We are only removing the ability to add new cases. All new cases should be created in the Security & Compliance Center. For more information, see Manage eDiscovery cases in the Office 365 Security & Compliance Center. Will I still have access to my existing searches and holds in the Exchange Admin Center? Yes, you can continue to interact with all existing searches and holds in the Exchange Admin Center. We are only removing the capability to create new searches. All new searches should be created in the Security & Compliance Center. I use the Exchange Admin Center or SharePoint eDiscovery Center for Retention and Preservation, how do I do this now? The Security & Compliance Center has a full set of features for preserving content. For more information, see Overview of preservation policies. Can I migrate searches in the Exchange Admin Center or cases in the SharePoint eDiscovery Center to the Security & Compliance Center? No. eDiscovery cases in the Security & Compliance Center and cases in the eDiscovery Center in SharePoint Online are completely different objects, and their underlying architecture is also different. The same is true for In-Place eDiscovery searches in the Exchange Admin Center and Content Searches the Security & Compliance Center. Thus, existing cases and searches can't be migrated to the Security & Compliance Center. If you have existing cases in the eDiscovery Center, we recommend that you continue to manage them in the eDiscovery Center until they are completed and you close them. If you need to support a new legal investigation in your organization, we recommend that you use eDiscovery cases in the Security & Compliance Center. If you have existing searches in the Exchange Admin Center, you can create a corresponding Content Search in the Security & Compliance Center. What about my existing holds, will they continue to preserve data? Yes, all existing holds from the Exchange Admin Center and eDiscovery Center will continue to hold content. Only the creation of new In-Place Holds in the Exchange Admin Center and new cases in the SharePoint eDiscovery center are being disabled. How do I get access to the Security & Compliance Center? By default, global administrators have access to the Security & Compliance Center. Administrators can assign permissions to other users so they can the eDiscovery tools in the Security & Compliance Center. How do I access the Security & Compliance Center? B2B Collaboration An extranet site in SharePoint is a site that organizations create to let external users have access to relevant content and to collaborate with them. Extranet sites allow a way for partners to securely do business with your organization. The content for your partner is kept in one place and they have only the content and access they need. They don’t need to email the documents back and forth or use some tools that are not sanctioned by IT. Traditionally, deploying a SharePoint on-premises extranet site involves complex configuration to establish security measures and governance, including granting access inside the corporate firewall, and expensive initial and on-going cost. But with Office 365 SharePoint hybrid extranet, partners connect directly to a members-only site in Office 365, without access to the corporate on-premises environment or any other Office 365 site. Scenario Picker The hybrid scenario picker is a new feature in Office 365 that simplifies the configuration and deployment of hybrid capabilities with SharePoint Server 2013 and SharePoint Server 2016. You can use the scenario picker wizard to redirect OneDrive for Business to SharePoint Online, and/or to make a Server-to-Server (S2S)/OAuth connection for your SharePoint Hybrid features. Extensible App Launcher The App Launcher is a familiar feature in Office and it’s now been extended to SharePoint Server 2016. The App Launcher provides a common location to discover new apps and navigate SharePoint on-premises and Office 365. The extensible hybrid app launcher is designed to help you get to your Office 365 apps and services from SharePoint Server 2016. The extensible App Launcher is enabled when enabling hybrid Team Sites and/or OneDrive for Business, once you enable this feature, you’ll see the Office 365 Delve and Video apps, along with your custom Office 365 tiles, appear in your SharePoint Server 2016 app launcher. Profile Redirection Profile redirection is a component of the hybrid Team Sites feature introduced in SharePoint Server 2013 Service Pack 1 and available in SharePoint Server 2016. Profile redirection, in a hybrid Team Sites configuration redirects cloud (hybrid) users to their profile in Office 365 powered by Office Delve ensuring hybrid users have a single place for their profile information. OneDrive for Business and Sites In SharePoint Server, you can redirect users to OneDrive for Business in Office 365 when they choose OneDrive in the navigation bar (SharePoint Server 2010 and SharePoint Server 2013) or in the app launcher (SharePoint Server 2016). This is known as hybrid OneDrive for Business. With this feature, you can continue to use your on-premises SharePoint farm while providing your users with an easy way to store, share, and collaborate in the cloud with OneDrive for Business in Office 365. This best-of-both-worlds approach lets you keep your key business information in your own environment while allowing users the flexibility to access their documents from anywhere. SharePoint Insights A new hybrid feature that is currently in progress for SharePoint 2016 is Microsoft SharePoint Insights. Microsoft SharePoint Insights aims at helping SharePoint administrators manage their infrastructure more efficiently. With SharePoint Insights, Office 365 reports are generated using your SharePoint 2016 on-premises diagnostic and usage logs. Configuration is simple and you can start viewing regularly updated reports in the Office 365.
