New Outlook for Windows: a guide for Executive Assistants and Delegates – part 3

This blog captures some mail tips to help executive assistants and delegates better navigate mailbox management in the new Outlook.

 

1. Mail filters and rules for executive admins

In the new Outlook, you can use the ‘has calendar invites’ email filter to easily find meeting invites.

 

You can also set up an ‘Email received for others’ rule for your executive’s account and automatically move it to a separate folder and categorize it as you like.

 

2. Drag and drop emails to create tasks

Effortlessly stay on top of things by dragging emails to My Day to turn them into tasks.

3. Pin emails for quick access

You can now pin an email to appear at the top of your inbox, saving you time from having to go back and search for it. Hover or right-click on the email and select ‘Pin’ to pin it.

 

4. Schedule when to send email

In today’s hybrid work world, your day might be someone else’s night, so you don’t want to send an email to someone in the middle of the night. With the new Outlook, it’s simple to send an email when you want to. Just select the dropdown arrow next to Send and choose Schedule send.

 

5. Snooze email

Sometimes an email is very important, but not yet. With the Snooze feature, you can schedule a time for the email to be re-delivered to your inbox, appearing at the time you want it to, so you can handle it when it’s the right time for you. Right-click any message and choose Snooze or select Snooze from the ribbon. Then choose the time you want it to be delivered.

    Good call to highlight the “Has calendar invites filter”, Ashimam; the EAs/PAs I meet love that. But why is “Sort” at the bottom of that Filter list? There are rumours that you cannot, for example, sort by categories, but it’s just not as in your face as in Classic Outlook. Will that change?

  • Improvements are coming to the sort and filter experience - and you can indeed sort by categories! If you don't see that option, let me know Karen_Roem

    caithart Sorry for the confusion. I see the Sort by > Category option...

     

    ... but I was querying why it is "hidden" at the bottom of Filter, which isn't where people look for it intuitively. Or is it somewhere else as well?

    How do I view my inbox and my to-do list at the same time?  In old outlook I am constantly looking at my task list off to the right when I'm viewing my in-box.  When a task's deadline hits, I need to see it in red on the side of my screen so I know to take follow up action.

  • TrudyD1140 To view your to do list next to your inbox, you can open the My Day pane from this icon in the upper right, or under View > Layout > My Day. There is a Calendar and a To Do option in that pane so you can view either next to your inbox. Tasks show up on the agenda view on their due dates, or you can view the entire list in the To Do tab.

    How do you drop and drag items into your calendar.   In old outlook you could click on item, drag it and it would drop into your calendar.   I haven't been able to make the switch due to this issue.  I have too many itinerary's I add daily to calendar.

    Thank you, caithart.  Changing the view to my day allowed me to see both at the same time.  The items under today, and tomorrow were in due date order.  However, the items in next 5 days and later were not in due date order.  Is there a way to fix that?  I find the task/to-do list more functional in classic because I can change the order to group the tasks by the executive I support (I assigned a category to each executive so they are always color coded across the calendar and email).  That way I can see what I have due or a response I need by due date for each executive.  If they pass my desk and ask if they have anything outstanding, I can quickly look at my task list and see what's pending for them by due date order.  Will that be coming to new outlook?  Thank you!

    I find that when my mailbox is filtered by category, the category collapse/minimise arrow is not always visible.   I've worked out if I click into a folder and back into mailbox they sometimes reappear.   will there be a fix for this please?  Thanks

    the new Outlook is nothing but a mess. The web look distracts from be productive, it is just the opposite. Functionality is limited and it is just not as handy as the look and feel from the "old" Outlook - the flat web design won't be and can't be as comfortable as a classic desktop app.

     

    "New" is not always better than "old".

     

    Please leave classic Outlook as it is: it worked for more than 20 years and there are reasons for.

     

    Outlook was ever a driver for migrations to Exchange, not because of Exchange itself, but also from a user perspective.
