Hi All! I found a solution to turn off all email notifications on new comments in my shared files (through settings on SharePoint), but it doesn't really solve my problem. In project files I work on with my colleagues, email notifications are helpful for monitoring workflows and streamline the process. At the same time, I'm an owner of yearly excel files shared with a big team in order to monitor the work on all clients and automate the visualization of it, but it gets commented on a lot and I don't need to get all of that on my Outlook. Is there any way to turn off email notifications about new comments for just one file without turning them off on all my shared files? The SharePoint Online Block Download Policy controls the ability to use features that rely on downloaded files (including temporary files), such as printing or editing with the Office desktop apps. It’s the kind of configuration that organizations might use for sites that hold very confidential files. Although the Set-SPOSite cmdlet can configure the policy for a site, it’s easier to use a container management label. https://office365itpros.com/2024/12/12/block-download-policy-labels/66Views1like2CommentsHow to Stop Microsoft 365 Chat Accessing the Content of Confidential Documents
You can't prevent Microsoft 365 Chat finding documents based on searches against Microsoft 365 Search and the semantic index. But you can stop Copilot from using the content of sensitive documents in its summaries and generated text. This article explains how the different ways to block Copilot in Microsoft 365 work. https://practical365.com/microsoft-365-chat-blocks/26Views1like0CommentsHow to use 2 new features in Microsoft lists forms

Hi, I created a new modern SharePoint List based on a previously created List on another SharePoint. When I try to edit the views in the new (copied) List I get an error saying "Something went wrong". There's no way to edit some parts of the view, I can only edit the layout in the list view and save it there but the menue in the List settings throw that error. I already tried to create new views but I can't edit those either. Any ideas how to solve it? Hello All, I have retention label created in M365 compliance centre, which appears as document metadata (As expected) in the document library as shown below One of the objectives is that the below retention label needs to appear at a folder level (one level up), rather than at document level. The desired outcome is that once this 3 years has lapsed, the folder should NOT be automatically deleted. It should be manually actioned by user (and the documents underneath the folder) When I created this retention label, here are the sequence of screens I went through ( I did not see the option that says "do nothing") when retention period lapses here is the retention period setting screen Here is the screenshot below that I have question about. Where is the option that says "dont do anything" after retention period lapses? It seems like I dont have that option here (Is it a setting that I need to enable somewhere?) . My goal is to have control over manually deleting documents (while respecting retention policies) without automatic deletion occuring. So my 2 questions here in this post are : 1) How do I apply this retention label to a folder (instead of individual document level)? 2) In the last screenshot above, how do I enable the option to "not do anything" (After retention period lapses)?39Views0likes3CommentsBlog about How to use and collaborate with Microsoft SharePoint on Pages and News with Coauthoring

The unified audit log is full of interesting information about who did what and when they did it. In this article, I describe how to use file operations audit events to find the last accessed date for documents in a SharePoint Online site. It’s data that isn’t available in the Microsoft Graph, but it is in the unified audit log. https://office365itpros.com/2024/11/15/file-operations-audit-events/81Views0likes0CommentsHow SharePoint Online Intelligent Versioning Interacts with Retention Policies and Labels
Intelligent versioning recently appeared in SharePoint Online. The purpose is to save storage by removing unnecessary versions. But retention policies and labels can stop the removal of versions. This article explains what happens when SharePoint Online attempts to trim (remove) unwanted versions of files under the control of retention policies and labels. https://office365itpros.com/2024/11/13/intelligent-versioning-spo/50Views0likes0CommentsMicrosoft Plans for More Intelligent Versioning for SharePoint Online Document Libraries
SharePoint Online makes extensive use of file versioning. Coming in November 2023, we will see SharePoint Intelligent Versioning based on usage and the probability that a version will be needed for a restore. The new intelligent mechanism will replace the current method of setting a fixed version count for document libraries. Sites that need fixed version counts can continue, but SharePoint intelligent versioning should become the default when the feature reaches general availability in early 2024. https://office365itpros.com/2023/07/11/sharepoint-intelligent-versioning/4.8KViews3likes7Comments
