SharePoint Reporting

Iron Contributor

Hello,

We are looking to get the following reports from our SharePoint Online environment. Does anyone know of a tool that can help?

Please note that we are looking to pull the data from all site collections. The reports can be pulled into PowerBI where the data can be modified to provide more useful reports and provide ability to drill down to individual sites.

  • Site size trends: Getting to site size increase over a period of time or knowing what was the change of size since last year.
  • Type of files in site collection: Knowing the file types like doc, xlsx, mp4, etc. in a report can help with deciding what is added to the site. If we can also list their overall size and version size, that would be beneficial as well.
  • Overall site size, version size: Getting the real site size vs version size as the site size could be huge because of versioning
  • % of inactive files: Getting the % of inactive files and their size or % of size. A file that has not been accessed in last x years will be considered inactive.
  • List of orphaned users: Orphaned users are the users who are no longer in the organization, it might be nice to list them before cleaning them.
  • Sites with no owner: List of sites with no owners.
  • List of inactive sites: Listing the sites that has not been used in x years.

 Thank you.

Take a look at what Quest reporting products can do and other similars. I'm afraid you will no find full answer to what you need though
You can either go down custom reporting path using PowerShell to gather all the data you can, and then can import into a storage warehouse to access using PowerBI.

Or the 3rd party option which there are many, not all will give you the exact reports you want, and under the covers all are just querying the M365 APIs like you would with your custom PowerShell, but you'll be up and running much quicker.
