Outlook 2016, SharePoint and permissions

In Outlook 2016, when you add a SharePoint file as an attachment to an email, the file it is attached as an edit link. This automatically breaks the permissions inheritance when the recipient opens the file (even if he or she already had access to it). You have the option to send the attachment as a view link, which also breaks the inheritance or as a copy, but it is not possible to attach the file as a direct/restricted link. This means that it is not possible to attach a link to a document in Outlook 2016 without breaking the permissions inheritance!

 

This is going to cause a complete mess of the permissions in SharePoint and goes directly against Microsoft's recommendations for a permissions strategy, where we are recommended to avoid fine-grained permissions on the document level.

 

We have therefore submitted the following proposal on UserVoice:

  • an option to attach a SharePoint file as a direct/restricted link in Outlook 2016
  • admininstrators can choose which link (view, edit and direct/restricted) should be default
