Viva Engage for recognition feels limited, what are you all using?

We rolled out Viva Engage hoping the praise feature would help build a recognition culture but honestly its kinda buried and most employees forget its there. Our managers want something where giving recognition is part of the daily flow, like right inside a Teams chat or after a meeting. Are you running into difficulties with praise? Any best practices you can recommend so we can use it better? Or are you using something else?

Disable Sharing Outside of Private Group

I work in a large organization, and we have many private groups to avoid employees getting tired of seeing posts that are not relevant to them. However, it is difficult to tell whether a group is private or not, so users often end up sharing posts from private groups. Is there a way to disable the sharing option in our group? And could you please make it easier to see when a post is in a private group?

Viva Engage connection with MFA

I'm not able to connect to https://engage.cloud.microsoft/main/org/microsoft.com, where I'm was added as member of several communities (I received notifications with "You have been added on...").

I'm requested to log on using my work account. All options fail:

Using passkey: "Something went wrong"
Using Authenticator app: "Request wasn't sent" (I approved the request.)
Using password: "Your account or password is incorrect." (I entered the correct password.)

It could be something with connection between my company and Microsoft. My organization has passwordless logon.

Is this something that Microsoft or my organization has to fix?

Enhancements wanted for Viva Engage Event Experience

In the Event tab within Viva Engage Communities it would be great with some improvements to enhance the usage and customization of Events. Similar to Facebook and Workplace events where participants had the possibility to select "Attending" and "Not attending". We have cases where we plan in person events where it would be really helpful to get an overview of participants that are attending. Similar to Facebook and Workplace events where participants had the possibility to select "Attending" and "Not attending". Additionally, giving users the ability to add events directly to their calendars would help them stay organized and maintain a better overview of company activities. To summarize very wanted features are:

The options for participants to click Attending/Not attending.
Option to "Add to Calendar" directly from the event page
The ability to mark the event as In Person

Is this on Microsoft's Roadmap for enhancements, or could it be considered for future updates?

Security Settings not available

I am following this article from Microsoft to remove users from the access to VE by removing Microsoft licenses and changing a setting in VE to block users without the Viva Engage Core license. I am a global M365 admin. In the article the VE Network Admin Center is the one I've seen and used before (I assume from the old Yammer Network). However, when I try to access the admin center I get a view (like the picture below) that does not include a Security Settings Page, which based on the article is where I need to turn on the setting in VE to block users without the license. How do I get back to the old VE admin page or get to a place where I can access the security settings for my VE Environment?

Modern external network migration, how to sign into new tenant with admin account.

Hi there

I'll try and explain this as best I can, I'm getting confused about what to do myself now!!! we managed to get an extension from MS to migrate a Yammer external network site to Viva until 31st August.

I am following this guide https://learn.microsoft.com/en-us/viva/engage/configure-your-viva-engage-network/modern-external-networks

I have used my global admin account e.g. myadmin@existing_tenant.onmicrosoft.com from my current tenant to create a new entra work_force tenant (aaa_vivaengage.onmicrosoft.com) so far so good.

I can't seem to figure out how to sign into the NEW TENANTs viva engage page with my admin account to generate the association token, I need to use myadmin@existing_tenant.onmicrosoft.com on engage.cloud.microsoft according to the instructions, when I try and do that I am taken to the engage management interface for my existing tenant and all its current content not the new one I've created (aaa_vivaengage.onmicrosoft.com).

Essentially, how do I do this bit:

As the Viva Engage Global Administrator, go to engage.cloud.microsoft and sign into Viva Engage on the new Microsoft Entra tenant.

I can't see a way of switching engage tenants once signed in or beforehand.

I am able to create a new global admin account in the new entra tenant and sign into the associated new engage tenant with that but I can't generate the association token using that account and pair the parent and new tenants as the token needs to be created using the admin account that created the new tenant in the first place (myadmin@existing_tenant.onmicrosoft.com). If I try doing that I get an invalid token error when trying to redeem the code in the parent tenant.

Any suggestions much appreciated.

Adding external guest users

New to Viva and have a question about external/guest users.

We are trying to add external users from multiple companies into select communities. A test external user has been created and accepted a B2B invitation, but there is no option to add the user into any communities by the community admin. What is the correct way to go about adding external users in Native mode?

Fewer users in "Users" table than in "Messages" — how to ensure full user data?

I'm analyzing Viva Engage exported data and noticed that the Users table contains fewer users than the number of unique user IDs appearing in the Messages table.

Some user IDs in the Messages table (as message authors) do not have corresponding entries in the Users table. Is there a known reason why some users might be excluded from the Users export?

Is there a way to ensure all users who post or interact are included in the Users table? Any insight into how to resolve or explain this discrepancy would be greatly appreciated.

How to identify if a message is a repost in Viva Engage reports?

Hello,
I’m working with the exported reports from Viva Engage, and I’d like to know if there is any way — based on the messages data in the documentation or export — to determine whether a specific post is a repost of another one.

I have reviewed the schema documentation for messages, but I couldn’t find an obvious field that indicates if a message is a repost or links back to the original post. Is there a recommended field or approach to identify reposts programmatically from the exported data?

Any guidance or examples would be appreciated.

Inline images still not available for Discussions and Questions

I understand that "Articles" is a new premium feature for Viva Engage that allows inline images when creating an article. However, does anyone know why inline images are still not available in "Discussions" and "Questions" post options? This feature has been missing since day one for those post types. Although it became available last year with "Articles," it has yet to be integrated into the most frequently used post types in Engage, where it is desperately needed. What is the reasoning behind this?

Private Communities: Enable "Unlisted" Status and Hide Membership on Storylines

When using private communities in Viva Engage, it's not always desirable for these communities to be discoverable. A welcome addition would be the ability to set an Engage community as both private and unlisted, thereby removing the option for users to apply for membership.

Currently, if a user is a member of a private community, this membership is visible to others on that user's storyline. This means it's possible to piece together the membership of private communities by viewing individual users' storylines.

Usage Of Custom Email Domain for Viva Engage communications

Can you use a custom domain for all Viva Engage communications?

Currently there's security concerns that emails from Viva Engage can not be allow listed since they use the same domain other tenants use.

We have security concerns this maybe exploited by attackers looking to exploit the platform in malicious email attacks.

What controls are there (if any) to send engagements from our custom accepted domain for the tenant so our cybersecurity teams don't have security concerns?

Also can you provide documentation that keeps the platform from being exploited by a threat actors from targeting other Microsoft 365 tenants? What controls have been implemented to keep this from being active exploited? Or has this been considered?

This has legitimate concerns from our cybersecurity teams.
Defender 365 solutions are not an acceptable answer.

Troubles with Embedded Viva Engage

Hello !

I am currently working on a platform for my organization, and I found a way to embed viva engage "officially" : https://engage.cloud.microsoft/embed/widget?domainRedirect=true

The problem I have is that it seems I can't publish a "normal" post (seems I can ask questions, but not open a discussion). More, pictures aren't available into the feed.

Any idea why ? Is the iframe limited ? Do I have to open some rights into Azure first ?

Or is there an other way to embed properly Engage, to have a seamless experience ?

Email settings groups

Not sure if its Viva or not, but

When I create a group in the admin 365, I can easily tick off the option of "send copies of og group conversations and events ot group members".
When created a community within Viva, that group name cant do that. Unable to save the settings "Send copies of group conversations and events to group members' inboxes" and/or "Allow people outside your organization to send email to the group." Either the assigned product license does not include Exchange Online, or you recently created this group and it is not yet ready for processing.

Where is the problem?

Users in "view-only mode" get stuck in the Acceptable Use Policy

Background

I work with a company that is using Viva Engage. In some of their Communities, they have set restrictions so that only those who are Community Admins are allowed to post posts. When a Community Admin create a post and attaches an Excel file to the post, the Excel file is editable by all members of the Community. (Actually, it would have been optimal if the setting that limits who can post posts had also limited the ability to edit attached files, but that is not the case.)

The setting i have tested

Therefore, i tested "Manage user privileges with view-only mode in Viva Engage". As a Viva Engage administrator, I opened the Viva Admin Center and opened the "Governance and Compliance" tab. Under this tab there is an option called "User Management" where you can "adjust user settings surrounding the creation and visibility of contents". This sounded good, so I added the users that I wanted to limit these possibilities for so that they would basically only have read-only access to the community.

The problem that arises

This is where the strange problem arises. When these users, who I added under "User Management" now enter a community, the window with "Acceptable Use Policy" appears and it is completely OK but after that there is no possibility to accept, close or exit this window. Is this a bug or is there any additional setting that I have to turn on for this to work as intended?

Posts in multiple languages

Avoid no-member user discussion partecipation in private community

Hi, I want to use Viva Engage but when I create a private community I noticed that in a discussion a member can mention or add a user who is not a member of the community! This non-member user gets an email with which he views the specific discussion and can participate by making a contribution. But what if I want to prevent non-member users from being added in discussions? Is there any way to disable this feature which moreover conflicts with the definition of a private community in Viva Engage where "only approved members can view and participate in the discussion"?
