With the new ‘Sensitivity Labels’ integration in our email options, you can apply Microsoft Purview labels directly to your publications—ensuring that confidential content stays protected until it’s ready to be shared more broadly.

This is especially valuable for campaigns that evolve over time. Start with a high-sensitivity label during planning, then lower it when you're ready to publish. It’s seamless, secure, and built for the way communicators work.

CSV Upload of Email Recipients: Reach the Right People, Fast

Gone are the days of waiting for distribution groups to be created. With CSV Upload, you can now import recipient lists directly into Amplify to set your email recipients, starting with support for up to 200 recipients. This is a game-changer for teams that need to move quickly, whether you're targeting a rotating list of stakeholders or sending a one-off announcement to a curated audience.

This feature was built in response to real-world needs from customers who rely on dynamic, HR-driven targeting to reach employees with precision.

Groupless Campaigns: Simpler Setup, Same Power

We heard you loud and clear: not every campaign needs a Microsoft 365 Group and a Teams channel. With Groupless Campaigns, you can now create and manage campaigns without the overhead of a SharePoint site, Teams channel, or M365 group. This streamlines the experience for communicators who already have collaboration spaces and just want to get their message out—fast.

It’s a lighter, faster way to launch campaigns, and it’s especially helpful for organizations with strict governance policies or complex team structures.

Multi-Column Layouts: Structure Meets Style

One of our most requested features is here: multi-column layouts for email and newsletters. With new two and three column layout options, you can present content side-by-side, perfect for pairing announcements with visuals, highlighting multiple stories, or simply breaking up long-form content for better readability.

These layouts are optimized for Outlook rendering and responsive across devices, ensuring your message looks great whether it’s read on desktop or mobile. And with drag-and-drop authoring in Viva Amplify, it’s never been easier to build beautiful, structured content.

Animated GIFs: Bring Your Message to Life

Sometimes, a little motion goes a long way. With support for animated GIFs, you can now add energy and emotion to your communications. Whether it’s a celebratory moment, a product demo, or a visual cue, GIFs help capture attention and make your message more memorable.

Pro tip: Keep the GIFs below 2MB in size or your communications will be too large to send!

Custom Fonts: Typography That Speaks Your Language

Fonts are more than just letters; they’re part of your voice. Viva Amplify now supports custom fonts sourced from your organization’s Brand Center, allowing you to maintain consistency across SharePoint pages and Outlook email*. Whether you’re aiming for elegance, boldness, or clarity, your typography can now reflect your message.

Custom Themes: Make It Yours

This week at Ignite, we announced several new features coming to Viva Amplify echoing our commitment to providing a centralized platform for orchestrating and managing campaigns and communications.

Here’s a summary of the newly launched features and features coming soon:

Campaign goals

We recently launched campaign goals in Viva Amplify which are integrated into the campaign brief to help you define and set goals and objectives of a campaign. Campaign goals are also integrated in your reporting screen. With campaign goals, you can now easily monitor how well your campaign is performing and make data-driven decisions to achieve your desired outcomes.

Enhanced analytics

We’ve been working to improve analytics to help you explore and understand the reach and effectiveness of your comms and learn how you can optimize your next campaign. Our recent updates include trend graphs and overall campaign impact, auto-generated PowerPoint reports, new reaction tracking, and the deep ability to filter using your organizational data like role and location.

We are also bringing click-through rates and dwell time into the Amplify reports. These have been the most requested functionalities by communicators and we’re excited they will be available soon.

Click-through rate: the ratio of times a link has been clicked. We’re able to measure traffic through popular apps like Teams, SharePoint, Outlook and Engage
Dwell time: how long people are engaging with content. Built on Microsoft 365 and the Microsoft Graph we’re able to capture signals to show average and peak dwell times.

Amplify reporting will soon add click through rate and dwell time.

Required approval

Ensuring you have the proper sign off before you send something can be a guessing game for communicators. Now, with Amplify, you can choose to require approval before publishing. This optional setting provides additional controls to make sure the right people have seen and verified that the content is ready to go before it is published. Publications with this setting will not be sent until the listed team member(s) has approved the content. You can find this option in the ‘campaign settings’ tab.

Preview, schedule and publish to Engage directly from Amplify

We’re focused on delivering new ways to reach our audiences, now in Private Preview and rolling out broadly soon, is the ability to publish to Viva Engage from Viva Amplify. From the editing experience, you can choose the sender, post on behalf of someone, select the communities or storyline(s), tag people, and even select to send as an announcement. This capability also brings analytics from these posts into the Amplify reporting dashboard so you can better track multi-channel performance and engagement.

Communicate and build Copilot skills with pre-drafted campaigns

Save time with pre-drafted communications. Seamlessly onboard users onto
Copilot for Microsoft 365 with pre-built content and customizable communications:

Copilot deployment kit – including 8 pre-drafted weekly communications focused on adopting Copilot in Microsoft 365 apps
Viva for AI transformation – including 10 pre-drafted communications focused on how to use Copilot-specific features in Viva apps to support your AI transformation

Admins can use the pre-built kits in Amplify to help with AI adoption.

In addition to these recently launched capabilities. Here are some other capabilities available now or coming soon:

Copy a publication

Sending multiple installments or multiple versions of a communication is common practice. To help you save time and hassle, we’re adding the ability to simply copy and duplicate publications, so you no longer need to start from scratch. Copying a publication pulls over all existing content, including text, images, and customizations, including customized changes you’ve made to specific distribution channels. You can then save a copy to a new publication and continue editing as you need. This new feature streamlines the content creation process and maximizes efficiency for all communicators. Pro tip: Pair this with the new Copilot capability in the Amplify editor to save even more time.

Saving a copy creates a duplicate version of the publication for easy editing.

Publish to frontline workers

We continue to see the need for easy, clear communication channels between leaders, communication teams, and store level employees, so we are creating some advanced targeting built specifically for communicating with frontline and deskless workforces. This capability leveraged identities set up in Microsoft Teams and can target individual employee sets, regions, and stores to land communications directly on mobile devices where employees can see them. Look for this feature later in 2025.

AI content assistant

As announced earlier this year, we are bringing Copilot directly into the Amplify editing experience. With our Copilot editor experience, you’ll never be stuck staring at the same sentence again. Simply click the Copilot icon and Copilot will suggest different ways to rewrite your content, providing options that vary in style, structure and emphasis. Copilot will also help you adjust the length or tone of your content to ensure your message lands just the way that you want it to. Copilot is available in all the authoring canvases in Viva Amplify including the Campaign Brief and the Publication authoring canvas.

Announcing enhancements to Viva Amplify analytics

We are excited to announce the availability of new analytics capabilities in Viva Amplify, showcasing our commitment to providing a centralized platform for orchestrating, managing, and reporting on communications campaigns. Reporting and analytics are a crucial piece of the Amplify value, and now you’re able to go even deeper into engagement and capture new metrics to understand the impact of your communications.

Reports displaying audience count & percentage: The default audience data for Viva Amplify reports has been updated to show counts instead of percentages when publications are accessible to all organization members. This change aims to provide clearer data, especially in scenarios where the audience size is very large.

In some business scenarios, viewing the entire available audience is precisely what’s needed for campaign members. In these scenarios you can open the “Edit View” button and toggle the “Include whole organization” switch.

User signals in data graphs: Amplify Reports and Analytics now include historical trend charts for unique viewers and promotions, allowing data to be visualized over time and providing breakdowns by publishing endpoints.

Reactions: Readers' reactions to a publication are tracked and presented on a new visual card. This enables the campaign members to select a time horizon showing a more detailed view into how readers react to the campaign content.

UTC toggle: The UTC toggle allows users to switch between their local time and UTC (Universal Time) in the "Edit view" panel, which affects all time-based graphs in the report. This feature helps users compare and understand data uniformly, regardless of time zones.

Export report data: Users can now export data from Viva Amplify reports in three ways:

As we continue to innovate and enhance Microsoft Viva, we're excited to share a glimpse into the future of Viva Amplify. Our commitment to providing a centralized platform for orchestrating and managing campaigns and communications remains strong, and we're thrilled to announce new features and capabilities that will roll out in the coming months. Some of these features are geared towards corporate communicators as well as empowering anyone who needs to communicate to their teams, projects and stakeholders. We have more coming for Frontline Managers also that we’ll share at a later date.

Accelerate Copilot adoption with pre-built campaigns

Last month, Amplify added the Copilot Deployment Kit which includes 8 pre-drafted communications to help organizations plan, communicate, and adopt Copilot. And now, to help with broader adoption of Copilot across the various Viva applications, we’re adding a new Viva for AI Transformation pre-built campaign to help corporate communicators and change management leaders with their AI transformation efforts by highlighting specific capabilities within each Viva module.

The Viva for AI Transformation campaign includes 10 pre-drafted communications and a campaign brief with objectives and key messages. Each communication can easily be edited, reviewed, and published to multiple channels—including SharePoint, Outlook, and Teams— highlighting the specific AI capabilities available in each Viva module and how employees and the organization can benefit from them.

Copilot in Viva Amplify Editor

We’re bringing the superpowers of Copilot directly into the Amplify editing experience to revolutionize the way you create and enhance content by providing you with a writing assistance for all your communications. Simply click the Copilot icon for help with content, style, rewrites, and tone. Copilot in Viva Amplify will be available in preview soon.

The Auto rewrite option quickly brings good suggestions to you based on the text you’ve already entered. Or use it to pick specific enhancements like using more concise or expansive language.

Moreover, Copilot will help you adjust the tone of your content to ensure a consistent tone across all your content or make your messaging more coherent so it resonates better with different audience segments. With this capability, you will be able to adapt your content to various tones, whether you need a casual tone for social messages, an engaging tone to compel and draw in your audience or a professional tone for business communications.

Required Approvals

Like Lists and libraries, campaigns can contain sensitive information, such as marketing campaign budgets or human resources initiatives. The required approval feature brings compliance, accountability and workflows to Lightweight Approvals in Viva Amplify. By enabling required approval for a campaign, stakeholders can ensure that all campaign content and associated publications adhere to organizational standards and receive the necessary approval before publishing, thus minimizing risks and errors.

You can require approval at the campaign level so that all Viva Amplify publications within the campaign go through the approval process before the content is published. This is an optional setting that a user can choose to apply to a campaign. By requiring approval, organizations can apply a significant level of quality and security to their content, ensuring every piece of content aligns perfectly with their standards and expectations.

Required approval is targeted to be generally available in August 2024.

Campaign goals

Coming soon, you’ll be able to define the goals and objectives of a campaign within Viva Amplify and track progress against these goals using campaign goals. Goals establish a clear path for a campaign, guiding every action and decision, and providing benchmarks for measuring progress so you can achieve your campaign objective (s). In this coming release, Viva Amplify will support goal tracking for the unique viewers metric integrated with analytics capabilities. When you set a campaign goal in the brief, it will be applied at the campaign level for all publications and published distribution channels. By setting specific targets, you can track progress and determine whether the campaign is meeting its goals for all distribution channels. Campaign goals empower you to make informed decisions and adjustments as needed throughout the campaign.

Copy a publication

Gone are the days where you must rewrite or manually copy and paste content from an old publication to a newly drafted one to reuse it. Soon in Viva Amplify, you will be able to copy a publication within an existing campaign with just a few clicks. This new feature streamlines the content creation process, enabling you to easily reuse existing content - across SharePoint, Outlook and Teams, including all channel specific customizations and related audiences – and saving you time and effort so you can be more efficient.

Switch quickly between content editing, channels and writing guidance

Coming soon, you will see the SharePoint content pane also available in Viva Amplify. The content pane serves as a convenient hub for various panes that support authors in crafting their publications. This centralized space now features a user-friendly toolbox that enables authors to easily explore and insert content for creating dynamic and captivating publications and incorporates other useful panes like configuration tools and design ideas. Additionally, and specific to Viva Amplify, it also hosts the distribution channel selection, writing guidance, and audience selection specific to the distribution channels. With this change we are also introducing the ability to add or remove channels directly from the distribution channel tabs.

Streamlined Authoring Experience in Teams and Outlook

Coming soon, we are rolling out updates to the editors for the Microsoft Outlook and Microsoft Teams distribution channels, to streamline previewing and editing. You will see the new editing experience when creating a new publication as part of a new or existing campaign and select to publish to Outlook and Teams. The new experience will enable you to customize the content for Outlook and Teams using a supported set of familiar web parts directly from the main drafting experience and improvements for loading content into the editor.

In addition to the changes to the canvas for preview and customization, you will be able to select the audience for the channel on the right side of the screen, independent from the editing canvas. You will continue to be able to switch between Preview and Customize and send test emails to verify how the published email is received in the different Outlook clients or is posted in Teams.

The streamlined authoring experience for Teams and Outlook channels will be rolling out in August and September.

Analytics

Reporting and analytics are a crucial piece of the Amplify value, and soon you’ll be able to go even deeper into engagement and capture new metrics. In the images below we’re showing designs because we want to illustrate the breadth of capabilities coming.

Let’s go deeper on how effective your campaigns and communications are with these new metrics and capabilities, including:

Audience Breakdown and organizational pivots – see engagement filtered by role, department, or other user information.
Campaign Brief Integration Amplify Analytics provides visuals feedback to campaign owners of progress as measured against the goals set in the Campaign Brief.
Trend graphs and simpler layouts – visualize data over time with easy-to-read charts
Reactions – understand the social gestures of the reactions you’ve received on your publication and the entire campaign
Export to PowerPoint – you can already download the reports to CSV, and we’re making it quick to present your communication progress in slides
Click through rate – see the performance of links and read rates within your publications.
Dwell time – understand how long viewers are spending viewing your publications
Multi-value queries – queries allow the user to selected multiple different Org metadata values combined with endpoints to created “and” queries that provide a deep context and understanding.

Viva Engage integration

Already in Private Preview, this is one of the most requested features is the ability to publish from Viva Amplify to Viva Engage communities and storylines. Analytics signals for Engage distribution are already included in our existing reports in private preview. We’re listening to preview customer feedback to improve the experience for the next version. Top requests such as support to publish as Articles in Engage and across multiple communities are already being looked at and we appreciate getting your feedback on what is most important to you when publishing to Engage from Viva Amplify.

Announcing the Copilot Deployment Kit in Viva Amplify

Today, we announced a variety of new resources to help your organization prepare for and launch Microsoft Copilot for M365, including a new Copilot Deployment Kit in Viva Amplify. This kit is designed to help with change management and provides a pre-built campaign that communications teams can share with their users directly within the apps that they use every day- like email, SharePoint, Teams, and Viva Engage to help drive awareness and usage of AI and Copilot. The Copilot Deployment Kit is available to licensed Viva Suite and/or Employee Communications and Communities (C&C) customers.

Using the Copilot Deployment Kit

Coming this May, users will see a new banner in Viva Amplify for the deployment kit. Choose ‘Get this campaign’ to get started.

This will create a campaign flow with a pre-written title, description, and language that can be edited as needed. You can add additional members to ensure the right people are part of this campaign and access the included campaign brief that outlines the overall strategy.

The campaign brief includes an editable overview of the campaign strategy, team members, key messages, and other details about the campaign.

The campaign comes with eight pre-drafted publications and includes timing recommendations to create a step-by-step transformation journey, all based on Microsoft’s own internal adoption strategy for rolling out Copilot. Each publication includes helpful messaging, prompts, videos, guides, and other resources and is styled for email, SharePoint, and Teams formats directly out of the box.

When you click into a specific publication, you can review and customize the content and select which designated channels to publish it to.

Reporting and measuring success

In the reporting tab, you can find rich campaign analytics to understand how these publications are reaching employees. You can drill into engagement stats and see which channels are working well and get insights on where to make improvements.
