Building SharePoint Embedded solutions with Power Platform

Overview

SharePoint Embedded provides Power Platform developers the ability to integrate robust document management capabilities of Microsoft 365 into their applications.

Many times, developers focus on writing custom code to interact with an API based platform like SharePoint Embedded. Using the connector framework in the Power Platform, you can quickly create a solution that controls the user experience, manages documents according to your business logic and provides the full collaborative experience users expect.

To help you get started quickly, I’ll outline the major components you need to configure a Power Platform solution enabling you to focus on the user experience that meets your requirements.

The Solution

The core components of a SharePoint Embedded configuration are:

Containers: A dedicated SharePoint partition where your application stores files and maintains a security boundary.
Files: Folders and documents necessary to work with your applications.
Search: A quick way to find information in containers or files.

Managing these components using the SharePoint Embedded Graph API endpoints and configuring your app to perform the CRUD (Create, Read, Update, Delete) operations is easily achieved.

PowerApps is used to control the user experience and manage the business logic of the solution
Power Automate will react to user events and make the API calls to support the business logic.

To help understand how SharePoint Embedded fits into the Power Platform, a starter kit solution has been created that encompasses major activities that an administrator or developer may need to configure when creating an application.

How it works

Once you install the dependencies and solution in your Power Platform environment, you can easily start to manage core functionality of containers and retrieve detailed information without having to know the Graph API endpoint.

After your application is registered in the SharePoint Admin center, you can create additional containers to support your applications logic.

Create Container – Simply provide a name, description and owner. Once created, you can see it in the SharePoint Admin center and begin using it.
Delete Container – This will place it in the deleted containers tab in the SharePoint admin center for 93 days. You can restore or permanently delete it from there.
Permissions – Assign or remove container permissions as needed.
Container Properties – Metadata assigned to each container that gives you organization and the ability to search. (Think of a SharePoint property bag attribute).

As you create containers and manage permissions, file management is the core activity users will be performing.

Add/Delete files – Upload, collaborate and view version history information on any file that is stored in a container.
Share – Create a sharing link that will invite internal and external users to collaborate on your document.
Collaborate – Simply click on the document name that will launch it into the feature rich Office Online experience.
Metadata – Files in a container can be assigned metadata for easy searching.

Searching for documents can be keyword or metadata based on an individual container or all containers. If your familiar with the KQL (SharePoint Query Language) then you can easily incorporate this into your applications search experience.

Files – Searching the drive items (files) in one or all containers
Metadata – Organize files and containers by applying metadata to organize and find what you’re looking for.
OCR – SharePoint Embedded container (s) can be enabled to OCR content as you add it. PDF Images, .JPEG, .GIF and .PNG files automatically have the content added to the search index.
Isolated – SharePoint Embedded content is only surfaces through your application, not in the M365 or SharePoint search results. This allows you complete control over your content.

Introducing the SharePoint Embedded Visual Studio Code extension

Microsoft SharePoint Embedded is a new API-only solution that enables app developers to harness the power of the Microsoft 365 file and document storage platform for any app, and is suitable for enterprises building line of business applications and ISVs building multitenant applications. SharePoint Embedded is part of the Microsoft advanced content management and experiences portfolio, which also includes SharePoint Premium, Microsoft 365 Backup, and Microsoft 365 Archive.

Today, we are excited to announce the preview release of the SharePoint Embedded Visual Studio Code extension, a new tool that helps developers get started with SharePoint Embedded application development.

What can you do with the SharePoint Embedded Visual Studio Code extension?

• Create and configure Azure Entra app registrations for use with SharePoint Embedded

• Create and manage free trial container types

• Create additional guest apps on a free trial container type

• Load one of the sample apps and auto-populate its runtime configuration

• Export Container Type and Azure Entra app settings to a Postman Environment file for use with the SharePoint Embedded Postman Collection

The SharePoint Embedded Visual Studio Code extension is also designed to work with the SharePoint Embedded Postman Collection, a set of pre-configured requests that help you interact with the SharePoint Embedded REST API. You can use the Postman Collection to test your SharePoint Embedded applications, perform operations on container types and guest apps, and explore SharePoint Embedded features and capabilities.

How to get started with the SharePoint Embedded Visual Studio Code extension?

To get started with the SharePoint Embedded Visual Studio Code extension, you need Visual Studio Code installed on your machine.

Next, install the SharePoint Embedded Visual Studio Code extension from the Visual Studio Marketplace. You can find the extension by searching for "SharePoint Embedded" in the Visual Studio Code Extensions view, or by visiting the link above.

Once you have installed the extension, you can access it from the Visual Studio Code Activity Bar, where you will see a new icon for SharePoint Embedded. Clicking on the icon will open the SharePoint Embedded view, where you can perform various tasks related to SharePoint Embedded application development.

Sign In

In order to use this extension, you'll need to sign into a Microsoft 365 tenant with an administrator account. Also, if you haven’t done so already, enable SharePoint Embedded on your Microsoft 365 tenant.

If you don't have administrator access to a Microsoft 365 tenant, get your own tenant with the Microsoft 365 Developer Program.

Create a Free Trial Container Type

Once you've signed in, the first (and only) thing to do is to create a free trial container type. A free trial container type lets you get started calling SharePoint Embedded APIs and building a proof-of-concept application using SharePoint Embedded.

Create an Azure Entra (AD) App

Every container type is owned by an Azure Entra (AD) application. The first step when creating a free trial container type is to create a new or select an existing Azure Entra application as the owning application. You can either specify the name of your new application or pick one of your existing applications.

Note that if you choose an existing application, the extension will update that app's configuration settings in order for it to work with both SharePoint Embedded and this extension. Doing this is NOT recommended on production applications.

Name your Free Trial Container Type

Once you have an Azure Entra application, the last step is to provide a name for your new free trial container type.

Load Sample App

With a free trial container type created, you can use the extension to load one of the SharePoint Embedded sample apps and automatically populate the runtime configuration file with the details of your Azure Entra app and container type. This allows you to immediately run the sample app on your local machine using the instructions located in the README.md file in each sample app.

Export Postman Environment

The SharePoint Embedded Postman Collection allows you to explore and call the SharePoint Embedded APIs. The Collection requires an environment file with variables used for authentication and various identifiers. This extension automates the generation of this populated environment file so you can import it into Postman and immediately call the SharePoint Embedded APIs.

Add a Guest App to your Free Trial Container Type

You can use the extension to add one or more guest apps on your existing free trial container type. Guest apps can be used to create different applications that have access to the same set of Containers. For example, you might have one app that delivers your Web experiences, another for mobile experiences, and another for background processing. You can specify both the delegated and application permissions on each guest application you create.

Enterprises around the world rely on Microsoft 365 to secure the content that matters most. Microsoft 365 offers industrial strength capacity and management for your critical enterprise content in the apps you use every day.

Today we’re pleased to announce that SharePoint Embedded, a new way to build custom content apps for enterprises and ISVs, is available for public preview. SharePoint Embedded offers a headless, API-only pattern to build content apps that integrate management capabilities like collaboration, security, and compliance into any app by storing content inside an enterprise’s existing Microsoft 365 tenant.

Enterprises can use SharePoint Embedded to power line of business apps, creating a unified and familiar experience for both app users and system administrators charged with managing these new apps. ISVs can use this same scalable and performant technology to deliver Microsoft 365 content management capabilities as part of every enterprise app they build. When an ISV adopts SharePoint Embedded, documents are managed within the end customer’s tenant. The ISV’s customers can leverage a robust and consistent content management system they already trust, including global security and compliance.

How it works

SharePoint Embedded is a new platform designed for use by both first-party Microsoft products and third-party apps created by any developer. Two of our newest apps, Microsoft Loop and Microsoft Designer are powered by SharePoint Embedded. Built on the same stack as SharePoint and OneDrive, SharePoint Embedded is highly scalable and performant, and designed for hyperscale use cases.

SharePoint Embedded Architecture

SharePoint Embedded accelerates your content management roadmap by enabling new capabilities for custom content apps:

• Extend advanced Microsoft 365 security and compliance to your app, such as audit, eDiscovery, Bring Your Own Key, and more
• Leverage Microsoft 365 business continuity capabilities such as autoscaling, high availability, Microsoft 365 Backup, Microsoft 365 Archive, and disaster recovery.
• Deliver Microsoft 365 collaboration to your customers, users, and guest users as part of your app, such as coauthoring in Word or PowerPoint.
• Embed Microsoft’s trusted content management capabilities in your app, such as search, content preview, and version tracking.
• Craft a custom user experience that puts your app in complete control of security, lifecycle, and management.
• Harness the power of SharePoint Premium (e.g. document processing, eSignature, content assembly) in your app.
• Add your content to search and the Microsoft 365 semantic index – the technology powering Copilot for Microsoft 365.

SharePoint Embedded introduces a new storage primitive, containers, that offers a highly scalable approach to managing content. Containers also enable a rich information and security architecture to meet the needs of the most demanding modern apps.

SharePoint Embedded builds on familiar Graph APIs, making it easy to adopt, and includes a flexible security model designed to meet the most demanding security requirements. And it’s fully integrated with the Microsoft 365 Admin Center and Microsoft Purview, allowing administrators to use familiar tools to manage content lifecycle, security, and compliance.
