Email Notifications in Project for the web

Based on the many requests from you, email notifications are now available for you to connect directly with coworkers on the work being tracked in Project.  Your team members will get a notification once they have been assigned a task or have been added to a project.

How it works  

To turn on notifications:   

  1. To reach the Project Home, type project.microsoft.com in the Search box of your browser.  
  2. Click the Settings icon in the top right corner of the page.  
  3. Click the Notifications Settings link.  
  4. Select the notification settings you want.  
  5. Click the Done button.  
 

 

 

Scenarios to try 

Assign a task: 

  • In an existing shared project, create a task and assign it to one of your teammates. 
  • Within 10 seconds, your teammate should receive an email with links to take them directly to the project or assigned task. 

Create a new project: 

  • Create a project normally in Project Home and assign a group to your project. 
  • Group members should get an email within 10 seconds, notifying them that they’ve been added to a new group. They can use the link in the email to directly open the project.

This is better than not having any notifications but really if a user has been assigned a task they should have a calendar invite or integration with Microsoft To Do.

I agree with @Matt__uk to make Project for the web usable, it needs to be integrated with Outlook Calendars and To Do.

Nice add.  However, is there a way to turn this off globally at the admin level?  Or will each user have to turn it off?  How about a way to turn it off at the Project level.  For example, we often create Project Schedules as we are developing the initial approach and don't want users being notified as we add those tasks.

Email notifications showed up and our users are not happy. It's nice to have notifications as an option, but turning it on by default and making everyone turn it off manually seems backward. Most people working on projects do not want this. I agree with @JerryHendrickson. We need a way to turn this off globally.

Just adding my vote that there needs to be a way to turn this off for all project participants as the Project Manager. Our users are not happy - especially when the project plan is initially being set up and they are spammed with a million notifications.

There needs to be admin control to turn off/on and control notifications instead of simply at the user level. We have many projects using one group so that we can leverage teams a little easier and this is causing members of the project group to get notifications about projects I would not want them to receive because they simply are in the group that was added to a project.

I agree with the other commentors that there needs to be a global off for the initial task assignments. What is really needed is email notifications similar to project web app where upcoming, due, and past due task are options.

Is there any way for PFTW to send emails/notifications to users if their task is due today or is overdue?

@Microsoft Project Team Are you listening in? My COO is on my team and wanted to fire me when he realized that over 60 people got the annoying email notification from me when I created the new Project. Thankfully, I kept my job as I was able to prove it was your fault and redirect his anger towards Microsoft! 

 

Please, remove the email notification on new Project creation when users are added or it is associated to an existing Team. (especially the latter)

Kind of an extension to the conversation, but is there a way to customize the Email Notifications template page for Project Online?  In Project Server, I'm guessing there's an .aspx page that could be updated to accomodate, but I haven't been able to find anything for Project Online notifications.

On the Global Admin side of things, notifications can be turned off in Project Online by someone in the Administrators group by going to Server Settings >

Additional Server Settings. Scroll to the bottom and uncheck "Turn on notifications".

@CTCan it is not possible to customise the email notifications in Project Online.

Is there a way in Project for the Web to globally turn off notifications when a task is assigned? Our users received a bunch of these email notices (Example: John assigned a task to you) from Microsoft Project for the web but when they try to open the project at the link in the email they get a screen that says "No Project Subscription Found". We are not able to purchase any additional licenses to resolve this issue.

The difference in notification functionality between P4TW and ProjectOnline is tremendous. MS has told us that P4TW is the platform that will receive further functionality updates as Online progresses towards its inevitable sunset. But what P4TW lacks in functionality at this moment is not acceptable for most PMO. PM's should be able to easily control how to notify our Project Team members of critical tasks and dates.  MS, when are these additional notification functions going to be made available?

Is there a way as a project owner I can receive an email notification whenever someone completes there task or attachments are added etc.?

Also is there a way that if I am assigned a task and someone else adds a note or attachment I can be notified?

There are so many great ways to ensure people are (or are not) notified in Project Online. For example there is the standard e-mail notifications option, but even if this is turned off, you can create a PowerAutomate/Flow to send customised e-mails based on certain events, resources, resource roles, etc. You can also use the task alerts feature and create specific filtered views in the Project Site that automate notifications. For example you may want to send an alert to a group of Execs (that don't have to be on the project team, or even have a PWA licence) about any milestones that may "slip" in your project(s). I have found this is a fantastic (but under-utilised, and little known) feature for automating alerts and without bombarding people with unnecessary e-mails. BTW the notifications can send SMS as well as e-mail alerts (if SMS is enabled).  This is the level of sophistication that many of our customers running complex and large projects demand.  I hope and wait patiently for a similar level of sophistication in Project for the Web... but I agree a blanket option is rarely welcome - in most cases users will simply set up a rule in Outlook to "dump" these unwanted messages or mark as junk - defeating the very purpose of the notifications. :)

Echoing the comments above. We need more granularity when it comes to notifying people. If my organization manages several small teams in one group I don't want to send 300 emails when I add a project to the group. I'd much rather at least send emails as tasks are assigned. 

 

In it's current development I need to speak to my IT group to get new small group break outs and add people for each separate project type in order to avoid spamming the whole organization. This isn't a viable or sustainable solution. 

 

I don't know why microsoft doesnt just port PWA functionality into the web version and then tinker with new features as requested. As it stands they're selling a product that is only standing on one leg and can't run.

I have the same request as the many comments above; Please allow us the ability to disable these notifications at the global and/or group and/or Project level. When a Project is created and linked to a group with hundreds or thousands of people, they all get an email. Our users do not want to be notified when a Project is mapped to a group. Project needs to be mapped to larger groups in order to assign tasks to users from various teams / departments, but often only a small fraction of the group members are related to the project. When anyone creates a Project and maps it to a M365 Group; all group members get notified. There is no way to disable this currently.

Is there any way to set up a notification for overdue and late tasks to the relevant users?

But it's only emailing my overdue and late tasks.

Individually, it's possible, but I can't find a solution to turn it off Globally in "Project for the Web".

Has someone been able to achieve it yet?

I echo everything above, I'm new to this application and already I am unsure why Microsoft Planner has integrational functions with Microsoft To-Do, but PFTW does not!

I am working in P4TW in Project Plan 1 settings.  All project tasks have dependencies.  How do I set my notifications to receive a notification that the task before mine is complete (my task is dependent on the prior task) and I'm next in line for the work flow?  Is this a premium feature?

It is an absolute MUST HAVE and a basic feature of project management tools to have notifier which inform about overdue or short term todos. Also I agree with the above, assigned tasks should be synchronized with Planner/Todo/etc. Both would make Project so much better!

I'm trying to find a way to allow users to set reminders for their tasks within P4tW, has anyone found a way to do this?  Does this function need to be enabled or does it come as standard?

Need the ability for an Admin to turn that off, especially in a government environment, but most corporate as well.

I have the opposite problem: I have a lot of guest users on my project teams (external consultants) and I need them to receive email notifications when tasks are assigned to them or due. As far as I can tell, this isn't available yet on Project Web or Planner. We really need this functionality.

Keen to have admin access to turn off email notifications in total (by admin) or by project (by the project manager).  The current situation stops PMs being able to plan with possible or placeholder resources assignments as the emails cause confusion when received.
