Two new Microsoft Planner features to help you surface and organize your tasks

Do you ever feel like you're forgetting something important? It's Monday morning and you just organized your Microsoft Planner plans but realize a couple tasks are missing from your meeting last week. Lucky for you, we have a pair of feature enhancements that improve how you and your team surface and organize tasks in Planner.

 

Recommended plans

We're excited to announce a new Recommended section in the Planner web app to help you discover plans that are relevant to your work. This section will surface new plans that include tasks assigned to you but that you haven't opened yet. Recommended plans can be found in the Planner hub between Recent and All or in the left pane between Favorites and Recent

 

Please note that the Recommended section only appears if you have new plans with tasks assigned to you that are not already in either your Favorites or Recent section.

Move tasks to any of your plans

Until recently, you could only move tasks between plans in the same Microsoft 365 Group. This limited the ability to coordinate tasks across teams, especially when working with a private group. With this new feature, you can move tasks to any plan you're a member of, regardless of group.

 

To move tasks in the Planner web app, tap the ellipses (...) that will appear in the upper right corner when hovering over your task and select Move task.

Choose where you want the task to go from the drop-down list of available plans and buckets, and then select Move.

You'll get a notification when the task was relocated successfully. If you click on the notification, it will take you to the task at its new location.

Please note that certain fields may not be moved to a plan in a different group and labels do not move across plans. You can learn more about moving tasks between plans from our support article.

 

Availability

The recommended plans and move task features are now available to all Planner customers worldwide and can be accessed on Planner for the web. Additionally, the move task feature will soon be available in the Tasks app in Microsoft Teams.

This is neat, but where are the plans for address:

  • the inability to prevent users from deleting boards, items and buckets?
  • the inability to recover deleted boards, buckets and tasks?
  • the inability to view user activity in an activity feed (track who's modifying board content)?

I would like to see:-

 

  • the facility to copy a task with assignment to multiple buckets at once rather than doing them individually
  • to understand why the backgrounds available fo rplanner are so limited and random. If I want the same background for planners that are similar, I cannot seem to do that - it just gives a 'random' selection, most of which are not relevant or suitable. 
  • It would be great if when a task was assigned with a date, it could auto update the calendars of those tasked. 
  • It would be great if within a task it was easy to reorder the list within the task

I would like to see : 

- unlimited label creation 

- assigning people to checklist 

- adding start and end date to checklist 

- grouping teams under big team and having charts including all teams

I would like to see more flexible labels, similar to categories in Outlook, so that you can choose both colour and name.  When viewing tasks by label I don't want to see empty columns for all the labels I am not using and have to scroll across to the right to see the brighter colours that I am using.

Basic improvements needed before our company can switch to teams:
- Need the ability to add someone to a checklist within the task, can only assign a user to the task
- Need the ability to @ a user in a task. Currently can only mention a user in the Posts tab.
- Need the ability to reply/comment to images.
- Need the ability to create reoccurring tasks
- Need the ability to set "Group by Progress" set by default.  Currently, it has to be selected each time you click on a different team/group. 

- Need the ability to quote someone's message/comment

Hi, great feature but what about to send a  message (in teams) instead a mail when a user comment a task

I would love to be able to copy a bucket within a plan.

Please add the ability to set permissions to limit who can view/edit Plans within a MS Team.

@zgraysonYou can reorder the list inside the Planner task. There's just no icon for that, but drag & drop works.

 

I thought, that we could use a copy mechanism to have some task templates, including file templates. But once again, MS implement this feature in a least useful way - it does not create a copy of attached files, but references / shares them. How useful is that?

@PetrKrenzelok For the file templates issue, one work around could be to add a link to a read-only file (hosted on a common site) which can be downloaded. Not ideal, but just an idea.

Hello, I am looking for an option to prevent users (who did not create the plan) from moving a task from one bucket to other within a plan. Is there any way to do that?
