Planner and To-Do integration: bringing you a more cohesive task management experience in Office 365

Starting today, Planner tasks assigned to you will appear in To-Do under a new Assigned to Me list. This integration, which is available to anyone with an Office 365 Enterprise or Office 365 in Education plan, addresses your most popular request: integration with Outlook tasks. It also continues our efforts to build a seamless task management experience between Planner and other Microsoft 365 tools, like we’ve already done with Microsoft Teams, Microsoft Flow, Microsoft SharePoint, and others.

 

Once enabled—steps for doing this are below—the Planner-integrated Assigned to Me list will appear across all major To-Do platforms: web, Windows, Android, and iOS mobile apps.

 

To-Do integration with Planner bridges the gap between individual and team tasks. We are integrating with To-Do because Outlook tasks is being replaced with the To-Do app. This experience has already shipped for Outlook Web users, and the To-Do team is working on bringing this to Outlook Desktop apps as well. To-Do is your hub for organizing and focusing on all of your tasks. Planner is a collaborative space for you and your team to see how everyone’s tasks fit into a plan. Together, To-Do and Planner simplify work management by allowing you to focus on your tasks at hand and easily jump back into Planner to collaborate with your team.

But first, you need to enable it

To get started, you need to enable Planner connectivity within To-Do; it cannot be enabled within Planner.

The easiest way to do this is on the blue banner that will pop out in the lower-left corner the first time you open To-Do after this release. Simply click “Show list” and you’re set. Just note, you’ll only see this banner the first time you log into To-Do. (Your banner might look slightly different from the one pictured below if you’re using an Android or iOS device. But switching on the integration works the same.)

If you missed the banner, you can also enable the integration by following the below steps.

  1. Go to To-Do, either from your Office 365 app launch, to-do.office.com, or through your Windows, Android, or iOS app.
  2. Select the gear icon in the upper-right corner, then “To-Do Settings.”
  3. In the pop-out window, scroll down to the “Connections” section and ensure “Tasks from Planner” is turned on.Settings steps.png


Work with Planner tasks across various To-Do lists

Tasks assigned from Planner are automatically added to your To-Do task database—after you’ve enabled the integration, of course—which means your Assigned to Me tasks act much like traditional To-Do tasks and can appear across a few other lists if you’d like. These lists include:

  • Assigned to Me: This is the default list where all your Planner-assigned tasks will appear. From this list you can:
    • Edit the task title and description
    • View and edit checklist items and due dates
    • Mark a task as complete or incomplete
    • View the Planner plan name and assignees
    • Open the task in PlannerPlanner side.png

      Tasks assigned in Planner appear in the new Assigned to Me list, where you can edit checklist items, mark the task as complete, and more. All task changes in To-Do are replicated in Planner, and vice versa.

  • Planned: Any Planner task with a due date appears in your Planned list, giving you another outlet for keeping all your tasks organized.
  • My Day: Planner tasks also appear as “Suggestions” in your My Day list, just like traditional To-Do tasks. From “Suggestions,” you can add Assigned to Me tasks to your My Day list to help you focus on what’s most important right now. Any action you can take on a task in Assigned to Me is also available to you in the My Day list.

And since Planner tasks live in the To-Do database, you can find them using To-Do’s search functionality.

 

There are a few features not yet supported when working with Planner tasks in To-Do. These include creating a Planner task from within To-Do, adding and editing assignees or attachments, creating a recurring task, and using drag-and-drop to reorder tasks within a list or to reorder steps within a task.

This is a really useful development so thanks and well done. The fact that planner task notifications are also starting to feed through on teams is also good.  The next big step for me in terms of really helping my business optimise the use of planner would be for all comments on planner tasks to be notified to task assignees - not by email but maybe in planner, teams and to do.  Being able to @ people in planner task comments would also be good.

all development which go to merging between outlook and "task" management is something good. If the path between both needs a link through To Do as a temporary solution to begin to try new functionalities : why not !

Planner integration and working with flagged mails directly from To-Do is one of the most awesome additions to Office 365 for a long while. I know many incredible back-end changes has happened, but from a users perspective this really makes me more productive and gives me the desired overview of my entire task pool.

Thinking about OL Tasks integration with OneNote? This is an awesome feature, you can tag as OL Task in the meeting minutes and go from word to action. How will this be effected by OL Tasks --> To-Do?

Well done.  I was irrationally excited when I loaded up To-Do in the morning and saw this connector had gone live.  We use Planner in many of the Teams teams I'm on, and I was already pumped that flagged emails were flowing through to To-Do for the last few weeks.  Now the only thing I'm missing is getting action items in OneNote to flow through to To-Do.  At that point To-Do is the one task app to rule them all.  Technically I can use outlook flags in OneNote instead of it's default "to do" box, but that feature isn't available on the UWP version, and I've been trying to wean myself off of OneNote 2016.

Really nice and one of the most expected feature. But if a person works in multiple teams of course with multiple plans he may get all tasks in bulk at one collection. Having many tasks in single place/catagory with label plan details but this may lead to confusions if multiple tasks assigned. It would be really nice if MS can create new category in TODO for each plan. So that user can easily identify the task and move them in to my day lisr

Very nice improvement, really starting to make To-Do my primary Day Planner!

Only thing I noticed is that the Planner To-Do integration does not seem to cross Organizations, where I am a guest and Planner Tasks are assigned to me.

If that worked, that would make this integration complete.

I also like the idea of the Planner Tasks indicating or grouping by the source Team.

I also like the idea of OneNote Tasks feeding into To-Do.

I would like to be able to set reminders in To Do app without changing "Due Date" in actual plan. Say, if i want to get reminder to follow up progress, update sub task, e.t.c

From my understanding this only work in one direction (MS Planner -> MS To-Do). Is there a method to do it the other way around or is an upcoming feature planned to cover this? (I'd like to have them synchronized for certain tasks).

Is there intention to connect Planner to To Do for F1 users?

 

Tasks assigned to F1 users in Planner do not flow in To Do.  You have to manually flag an email.  

 

F1 (Teams) and the Planner App belong together.

Hey @FK1000 - updates to tasks made in either app will reflect in the other; it's a two-way sync! For example, if you complete a Planner task that's assigned to you from within To-Do, you'll see that task completed in Planner as well. Likewise, if you update the due date of a task you're assigned from within Planner, you'll see that new due date in To-Do! Are you seeing issues with this currently?

No that is not the case I you are an F1 user.  We had intended to use F1 with a major care group (3200 employees).  We cannot now use F1.  The Planner App and To Do, do not integrate.  This was the intention. 

 

If you use Planner (E1) to set tasks in F1, those F1 users that download the Planner app can see the tasks allocated to them in "My Tasks", it does however  not pull through to To Do.  It is not linked. 

 

You appear to need an E1 or Essentials licence. 

 

The additional costs of E1 are putting the initiative in the balance.    

Please bring Planner Guest Access to MS To-Do. Its the one thing stopping this becoing a one stop shop for tasks. Otherwise awesome, loving the integration.

I have tasks in Planner but don't see this option in my To-Do settings. Anyone else in the same boat and/or have a workaround?

I also cannot see this option under the settings. The only item under the settings is "Flagged Email"

It has been reported to me that some of our employees are missing the Tasks for Planner setting as well.
While others do have this setting.
Is there a suggested fix for this?

I am missing this tab as well as a O365 E3 user. I have access to Planner and ToDo but I am missing the setting to enable planner tasks in todo. A organisation wide setting? Or a delay in the roll out?

Upon some further research, I can see that for some reason our company has not granted users MS Planner Licenses, therefore if a user does not have a MS Planner license they do not see the Planner setting in ToDo (which make sense).
However our company uses MS Planner for Teams and even if they have a MS Teams license and are using MS Planner for MS Teams -they would still need the MS Planner License to connect Plans in ToDo.

Can anyone else confirm this??

@Lori Brady  Hi Lori, we are able to use Planner in our company - but I'm not sure if we have the MS Planner License.

@sdavel, Actually - I found out this: users can access planner with out license enabled 
The license being enabled only adds the icon to a users O365 apps list.
So it sounds like maybe the Planner license not being enable also causes the missing Planner flag in MS ToDo.

Is there anyone who has been able to figure out how to get the Planner flag to appear in MS ToDo?

Somehow this doesn't work at our organization (Accenture) is there a way to request this from our CIO organization?

Mine works really well, but others in my team not so well. All my tasks (personal and those assigned to me) and flagged emails are appearing under Planned, but that's not the case for everyone. I think it might be to do with the Connections settings, but I can't seem to see the Settings cog to view my Connections settings in either the app or online -any ideas on this?

It would be nice if under Assigned to you list in To-Do the tasks from Planner could be shown divided in buckets, priorities or labels by users preference. This division could be shown both in the left menu and the task view on right. This kind of division between lists was already in Wunderlist when you selected Starred. It showed you tasks from different lists with a clear separation (this doesn't seem to exist in ToDo Important list either). So you could have some structure on the assigned tasks. Now it's just a big list which you can sort.

Hi. Question: About what you said about "Outlook tasks is being replaced with the To-Do app": Do you mean that the integration only is from Outlook TO Todo - or does it also works the other way around (From ToDo TO Outlook-tasks? We have taught thousands of people about the benefits of having their overview in the Outlook Calendar in combination with tasks (underneath in the Calendar-view) - it will be very unfortunate if this will not be a future possibility! I hope I have misunderstood this matter... or?

It would be good to be able to sort the 'Assigned To Me' list by the Planner it is from, by due date, priority etc.

Is it possible to input personal to do list tasks via the my tasks page in the planner app without having to open up the to-do. I only ask because depending on the task assigned to me or that I have listed as apart of my teams plan there may be steps that I need to take prior to doing so (I know what some may be thinking which is why not just add it to the task as a check list item but it could be something mundane/not relevant to the entire team but key to being effective in accomplishing the task assigned to me by the team). An example would be that there may be a report that is assigned to me to complete with checklist items of what to create/include in the report. But, for me to be able to complete those tasks there may be specific tasks relevant to myself that I need to complete. Rather than opening up to do I would just add that to my tasks in planner and it also be reflected in to-do limiting having to jump back and forth between applications (which can help productivity/clarity as individuals can see the tasks assigned and build out personal tasks needed to compete assigned tasks)

Can't see this on the desktop app. Working perfeclty web or mobile, but just can't seem to make it work in the desktop app. The option doesn't even show (and I have already uninstalled and reinstalled To-Do). :(

would it be possible to enable Planner tasks to appear in ToDo even if the team is a shared entity from another company. We have more clients and partners that use Teams & Planner now (which is great), but if we use a planner in their environment, I have no chance to centrally track those cards and tasks.

Any news about better integration between Outlook task and ToDo - both ways? There is an integration between ToDo and Planner: My tasks from Planner appears in ToDo - but NOT in my Outlook tasks. This could be very helpful for my overview in Outlook....

Low and behold I followed the steps and don't have Planner under to Connected apps section. Checked the Windows app (downloaded to check) and on the web, both just have Flagged email as an option to turn off and on.

We are office 365 customers, so can we actually do it?

I use Planner every day and I don't have "Tasks from Planner" in the To-Do Settings as per the instructions. See attached what I see, can anyone help???

@TI_2020 I don't have much sorry our IT support is not very good and they are not clear with their responses. This is all I have sorry "Planner in Office 365 Portal (that you need to have "Tasks from Planner" in the To-Do Settings) - need to enable the license for you to use it".

Great tool, the feature of flagged emails seems to be removed from the new integration? is this a glitch or will this be added as seems to be this new integration is for all lists and planner task in one place but emails are also a big part of my tasks

@stephen_b78 Case resolved in my situation. I had all the right licenses assigned, BUT the planner app itself was disabled. Right after planner app was enabled, the checkbox to enable connecting to planner started to appear on windows device, website and iOS app. Hope this helps!

@TI_2020 Were you able to sync the todo desktop app with the planner as well? I can link my web todo with planner but I can not do the same with my desktop todo app. I don't want to have to access the web todo everytime so I'm wondering if anybody has been able to do this

We don't use ToDo at all and this change for us was just a deterioration of the old Planner-app in Teams. We used it daily and now we have to open planner in a browser.  Because, in the "assigned to me" option in the app where you collect all tasks from the different planners, you now can't see the panel view. Just a list. :( The panel view is like the essence of Planner.

What also happened was that planner on all platforms became so slow to load, and is still. We use Planner in all our meetings within Teams to hand out tasks and now we have to wait for loading and often Planner not load at all.
