Does uploading backup of Outlook .pst files create additional folders?

Copper Contributor

Good morning
I need to upload the backup of a mailbox made from Outlook 2010 into another mailbox in Outlook 365, but I'm afraid that uploading the backup will create other folders in the mailbox, instead I would like the messages to go into the folders existing. For example, messages in the backup "Inbox" folder would like to go into the existing "Inbox" folder in the mail folder to be updated
Thank you all

When you upload a backup of Outlook .pst files into another mailbox, whether in Outlook 365 or any other email client, the behavior can vary depending on how you import the .pst file and the settings you choose during the import process.

Here's how you can achieve your goal of updating existing folders without creating additional ones:

  1. Import the .pst File into Outlook 365:
    • Open Outlook 365 and go to the "File" tab.
    • Click on "Open & Export" > "Import/Export".
    • Choose "Import from another program or file" and click "Next".
    • Select "Outlook Data File (.pst)" and click "Next".
    • Browse to locate the .pst file you want to import.
    • Choose the option "Import items into the same folder in:" and select the destination mailbox.
    • Click "Finish" to start the import process.
  2. Map Imported Folders to Existing Folders:
    • During the import process, Outlook may prompt you to map imported folders to existing folders. Make sure to select the option that matches the existing folders in the destination mailbox.
  3. Check Folder Structure:
    • After the import is complete, carefully review the folder structure in the destination mailbox to ensure that the imported folders and their contents have been merged with the existing folders.
  4. Resolve Conflicts:
    • In some cases, if there are conflicts between items in the imported .pst file and existing items in the destination mailbox, Outlook may create duplicate folders or items. You'll need to manually resolve these conflicts by merging or deleting duplicate items as needed.

By following these steps, you should be able to import the .pst file into Outlook 365 and update existing folders without creating additional ones.

Note: it's always a good idea to back up your data before performing any major changes to ensure that you can revert to a previous state if necessary. FormularbeginnThe text and steps were edited with the help of AI.
