Hello ,

I send Email to some domains and get Undelivered Mail Returned to Sender

With this msg :

How I can Remove my Server IP from banned sender

From the looks of it, Either the server IP/sender is being blocked by Microsoft or by one of the external DNS based blacklist services. You can follow the instruction in NDR to send email to the delisting teams' mailing address, if no luck there,Try these two workflow portals to get the IP/sender delisted:

Once you have the IP delisted be sure to check for possible causes around why the IP was balcklisted in the first place, it could be a false positive or SPF/connector misconfiguration depending on type of relay you are using on the server.

 

If Microsoft says you are good on their end post-delisting, check if other DNS blacklist services are blocking you as well :

@harveer singh Thank you for your reply. Our IP is not listed anywhere as blacklisted, we checked everywhere and we also checked the reputation of our ip and our clients domains, and all showed as trusted. We have low-volume email sending from purely business companies (no marketing emails).

Also, we have already followed the links that you have suggested before posting here, in fact, we followed them several times, and always the same result from Microsoft (The IP address in question is not currently blocked in our system..) which leaves me baffled. Then I am given another link, where we fill a detailed form with details of the email sent and the error, and after that we receive an email informing us that: 

We were unable to identify anything on our side that would prevent your mail from reaching Outlook.com customers.

I went as far as setting up a brand new VPS server, in a different data center. I transfered some of the accounts to the new server, and immediately got the exactly same microsoft ban:

Our data center (Linode) is also reporting that they can't find a solution to this new sender ban by Microsoft.
I wish Microsoft support team would investigate this and find a solution, the problem according to Google research has been there since 2014, it's not new. Surely there should be a solution by now.

Not sure if something on Microsoft end got burnt; i do see a few similar threads on the same topic! Unfortunately, we at the community can only share steps that are available to us all from MS documentation, Cant say much about whats going on within MS.


Just to confirm, you are not able to send emails to only outlook.com customers ?

Check if the sender isnt blocked within office 365: https://security.microsoft.com/restrictedusers
Are users able to send out email to hotmail/outlook when they use their regular outlook client?

We can send to hotmail without a problem. the issue is with Microsoft Office365.

I used the https://ipremoval.sms.symantec.com/lookup to checkup my 2 server ips and got both results:
IP x.x.x.x does not have any bad reputation

I have a third server, with no emails configured there, it is a dedicated server for one account with no emails. I have had this server for 2 years now. For testing i setup a new account using a brand new domain that have never been used before and sent out a test email to microsoft office 365 user, immediately received the banned failed message !!!
Something seriously wrong with blocking senders without an apparent reason :(

Sorry if i misread the situation here; Just to confirm; the server responsible to send out emails, is setup with Office 365 SMTP Mail relay? or is it some third-party email solution not leveraging Office 365 settings? Also if you feel comfortable, can you please share the domain name using which you tried to send emails?

@harveer singh we are using cPanel / Apache server. The servers are not using Microsoft mail. But Microsoft is blocking all our users (over 100 accounts) from sending any emails to office365 emails.

@bootah @ashraf2240 I feel your pain! Well there aren't much options available for you to try, since you have already ensured that the server IP is not blocked and even MS can't find it, the only other thing you are left with is to ensure you have Static IP for the server, proper SPF record published, a PTR record for the server, and possibly setup DKIM to improve the sender score.

Thank you Haveer for the reply. We already have all of this setup, SPF, Static IP, a PTR record, everything is setup and have been work ing just fine since 2000. This is the first time we face anything like this. If one of our clients accidentally sends spam in the past, because of a compromised account, we immediately deal with it, and delist our IP from wherever it got blocked. In fact our IP reputation is 'trusted' and we never had this issue before the 20 of Dec, 2021.
According to Microsoft, they said there is no reason for our emials to be blocked, however they said that they have a new propriety software called SmartScreen, which filters emails. In their own words:
Email filtering is based on many factors, but primarily it's due to mail content and recipient interaction with that mail. Because of the proprietary nature of SmartScreen® and because SmartScreen® Filter technology is always adapting and learning more about what is and isn't unwanted mail, it is not possible for us to offer specific advice about improving your mail content. However, in general SmartScreen® Filter evaluates specific words or characteristics from each e-mail message and weights them, based on their likelihood to indicate that a message is unwanted or legitimate mail.

So obviously, we are stuck in an endless loop, because SmartScreen 'thinks' all our emails are 'unwanted'.

The response is a bit vague from Microsoft, usually, when a SmartScreen is in picture Microsoft clearly tells you that a certain IP is not qualified for mitigation and they for sure are able to locate the IP being blocked by SmartScreen, as per MS' previous responses they were not able to even find any block against the IP you provided. Unfortunately, I am out of arrows my friend, Microsoft uses its own blocklist solutions so only someone at MS can check for a block; the only other third-party blocklist solution which MS leverages is https://check.spamhaus.org/ (AFAIK).

Since you are sending emails to quite a few office 365 customers, i would recommend signing up for an office 365 Tenant (even a smaller one with 1-2 exchange online plan 1 licenses would do), It would come in handy for testing and you should be able to get better support as an office 365 customer not being able to receive emails.
