How to Save Personal Prompts and Create Team Prompts in Copilot

Ever had a great Copilot prompt, maybe one you wrote or got from a coworker, and then lost it? Maybe it’s buried in OneNote or somewhere else you’ll never find again. Let’s fix that.

With Prompt Gallery and Team Prompts in Microsoft Copilot, you can save your favorite prompts and share them with your team. Here’s how it works.

 

 

Step 1: Run the Prompt

Before you can save a prompt, you need to run it in Copilot. Just paste it into the chat and let it generate a response.

For example, I use a prompt every morning that:

  • Recaps yesterday’s meetings
  • Lists today’s schedule
  • Highlights important news

Once Copilot finishes responding, you’re ready to save it.

Step 2: Save the Prompt

Hover over the prompt you just ran. You’ll see a small pop-up with options:

  • Edit
  • Copy
  • Schedule
  • Save Prompt

Click Save Prompt, give it a name (like “Morning Kickoff”), and save it to your Prompt Gallery.

Step 3: Access Your Prompt Gallery

To find your saved prompts:

  1. Click the “See more” button in Copilot.
  2. Scroll down and select Prompt Gallery.
  3. You’ll see tabs for:
    • Your Prompts
    • Suggestions
    • Team Prompts

Your saved prompts will be under Your Prompts.

Step 4: Share Prompts with Your Team

Want your team to use the same prompt? Here’s how:

  1. In your Prompt Gallery, click the Share icon next to the prompt.
  2. Select Share to Team.
  3. Choose the Microsoft 365 group or team you want to share it with.

Once shared, the prompt will appear under Team Prompts for everyone in that group.

Pro Tip: Why You Might Not See Team Prompts

If you don’t see the Team Prompts tab, it doesn’t mean it’s disabled. It just means no one has shared a prompt yet. Once someone shares one, the tab will appear automatically.

What About Free Copilot Chat Users?

Even if you’re using the free version of Copilot Chat (without a full Microsoft 365 Copilot license), you can still:

  • Save your own prompts
  • Access team prompts—but only if they’re shared on the web side, not the work side

So if a prompt uses work data (like your calendar or emails), it won’t show up unless you have a full Copilot license.

    • Summary of today’s scheduled meetings and their agendas.
    • Reminder of any due dates or deadlines.
  2. Inbox Review
    • Highlight any urgent, unread, or flagged emails.
    • List any tasks or follow-ups from my inbox or to-do list.
  3. Industry Snapshot
    • Share latest news in the Microsoft Copilot or AI space.
  4. Weather Check
    • What’s the current weather in Tinley Park, IL?
  5. Lunch Ideas
    • Suggest a quick and healthy lunch recipe.
  6. Interesting Fact
    • Share a fun or inspiring fact to kick off the day.
  7. Motivation Boost
    • Give me a short quote or affirmation to energize my morning.

💼 Coworker Tip

  • Who on my team is out of office, traveling, or on DTO today?
  • Do I have any 1:1s or important meetings I should prepare for?
  • Who do I need to connect with or follow up on?
