How do companies filter Exchange mailbox information they don't want to share with 3rd party CRMs?

Almost all enterprises use 3rd party CRMs and a lot of times, those softwares need mailbox information to be automatically used.

 

However, a lot of times, that information is sensitive data that needs to be censored out.

But I would like to know what other ways are there to censor out mailbox data from being shared with 3rd party CRMs?
