Take your Sway wherever you go with Print and Export

You asked, and we listened!

In addition to Tech Community, the Sway team also has a UserVoice site where our users submit feedback and suggestions. Two of the top requested features on UserVoice were to be able to print and export a Sway.

Now, you can do both! Easily print a Sway or export it as a Word or PDF document.

With Print and Export, you can take your Sway wherever you go. You can have an offline backup for unplanned moments without internet access, and you can physically share your Sway with others. Print your Sway to create a paper copy. Export your Sway to Word or PDF document to have the convenience of a file for editing or offline viewing.

Print a Sway

To print your Sway, go to the menu in the top right and select Print. Sway creates a PDF that you can print for paper viewing. Print is handy for presentation notes, as well as handouts for meetings and classrooms.

Export a Sway to Word or PDF

To export your Sway, go to the menu in the top right and select Export. Sway gives you the option to export to a Word document or a PDF. You can open your document in Word or a PDF editor and modify or reformat the text and media.

These are great additions to Sway.  I exported a sway and it came out nicely, I really like the formatting that's applied (except embedded Youtube links had iframe code around them).  Thanks for sharing!

Many thanks for the adding the function to export to Word of PDF !

Exporting to PDF really messes up my design/formatting and Word... well let’s just not talk about that.

Not convinced about the use case for Sway with the print and export options that ignore formatting.  Justification, font colour, page/slide breaks all ignored.

Why are the "Users can print" and "Users can export" settings for any Sway greyed out? I don't see any administrative control governing them.

@nitincsh For those two grayed out check boxes to appear, you have to first uncheck the box that reads “Viewers and co-authors can duplicate this Sway.” This is to prevent authors from falsely thinking that printing and export is disabled, because if an author allows duplication, then effectively they also allow their viewers to print and export. Hope this helps!
