If you work in a small business, you’re always on the move and juggling many tasks, which can make it challenging to stay on top of all you need to do. Outlook mobile is here to help! It brings together everything you need to manage your day in one place – your emails, calendar, contacts, documents, and more –  so you can stay organized and get things done quickly.

 

Here are five time-saving Outlook mobile tips tailored specially for you, small business rock stars!

 

Tip 1: Morning triage made easy with one swipe 

It’s Monday morning, and you’re running between meetings with just a few minutes to spare. You open your inbox to find emails that range from urgent customer requests to invoice approvals you’d rather follow up on later.

 

Outlook mobile helps you quickly schedule emails that you’d prefer to tackle at a different time. Simply swipe right on your email to schedule it to appear at a more convenient time in your inbox – this afternoon, Tuesday morning, or in a week. You can even swipe to archive, flag or delete a message, and customize these actions in settings.

 

 

 

Tip 2: Share available times, quickly, based on your preferences

You may often receive requests to meet with potential customers or partners, but finding the best time to meet can be an arduous process with numerous back and forth emails.

 

Outlook mobile makes it easy to share preferred meeting timeslots in a snap. When composing an email, tap the calendar icon above the keyboard. Then, select times on your calendar that work best for you, and Outlook mobile will package these up into a tidy email. If the person you’re coordinating with also uses Outlook, they can simply select the time slot that works for them.

 

 

 

Tip 3: Grab their attention using “@” 

You might find yourself sending multiple follow-up emails to set action items after meetings or get someone’s attention to an important business.

 

To make your follow-up email more actionable and easily noticed, simply type @ followed by the person’s name. Outlook will automatically highlight their name in the message body and add them to the "To" line. Plus, when they receive your email, the @mentioned messages will be easily spotted in their inbox so they can quickly see messages that require action.  

 

 

 

Tip 4: Quickly scan business cards to create Outlook contacts

Whether you’re attending a conference or networking with partners, you never know when you’ll meet someone who could help you grow your business. It’s important to make sure you capture their contact information in a safe place.

 

With integrated Office Lens technology in Outlook, you can easily scan business cards and save them right in Outlook with just a few steps. Tap Search, select “Create +” in the top right corner. From here, you can take a picture of the business card, and Outlook for Android intelligently takes the contact details from the card and saves it in Outlook! The business card scanning capability is currently only available for Android users, but Office Lens technology for taking photos and capturing whiteboards and documents is available on both Outlook for iOS and Android.

 

 

 

Tip 5: Stay a step ahead when Outlook helps anticipate your needs

With so many demands on your time, it can sometimes be challenging to stay on top of everything – whether it’s upcoming travel, package delivery, or finding that sales spreadsheet buried in your email.

 

Outlook can help simplify your life by automatically adding any upcoming travel and other events, like dinners or concerts, right to your calendar, and will even remind you when to check in to your flight.

 

What’s more, when you tap Search, your upcoming travel and package deliveries, most frequent contacts, and recently shared documents appear front and center, even before you type a keyword query.

A tip I love is if you double-tap the search button then it goes straight to the text entry box
