When a user deletes either a message in a channel or in a chat, it can be undone.

For how long is it possible to undo?

IM not really sure and afaik this is not really known , and I can’t find any references to this either!
I will try and see for how long a deleted post will show undo in my teams!!

Adam

Like Adam, I am testing this now

09:10 14/01/2019 Test Message Created
09:10 14/01/2019 Test Message Deleted

Status: This message has been deleted. Undo

I switched channels and the message remains. But can confirm that logging out of Teams Desktop deletes it - and is not visible in Web App either.

So starting number 2 where you leave the desktop app open...

09:16 14/01/2019 Test Message Created
09:16 14/01/2019 Test Message Deleted

Status: This message has been deleted. Undo

Will monitor and let you know.

Best, Chris

When you delete a message, it goes into the Recycle bin for 30 days (which both messages and teams can be restored from by the team owner or admin). After that, it is permanently deleted.

Ok! Done some testing! Any deleted messages will loose its undo option, if you logout or fully close the desktop app! You will also only see the undo button in the client which you deleted the post!
For example:
I delete a post in desktop client - the undo button is there! In web I can’t see any reference to that post anymore at all!
If I logout / login or close the desktop app it’s all gone!

If I delete from the web - no reference in the desktop AND it’s enough to close the teams client page for the UNDO option to be removed!

Adam
No, this is not true :) Messages will not go into recycle bin! They are kept in exchange online for compliance reasons only! Once the undo is gone, there is no way to recover it to teams..

Agree with @adam deltinger here. That's referring to another article on here.

We've established that it deletes upon logout. We'll monitor how long it remains by keeping the desktop app open.

Best, Chris

Solution
Yep :) it seems that any action to close and reload the desktop / web client will flush the deleted messages and remove this option
Thanks for finding out details on this Adam! :)
Hi all,

Further to this, I have been testing how long it takes to disappear whilst Desktop is still open.

09:16 14/01/2019 Test Message Created
09:16 14/01/2019 Test Message Deleted

Status: This message has been deleted. Undo

11:27 14/01/2019 Undo message has disappeared

It was still there at 10:30 so if you leave the desktop open it looks to be there for between 1 and 2 hours. I am testing a third time to get exact time.

11:30 14/01/2019 Test Message Created
11:30 14/01/2019 Test Message Deleted

Status: This message has been deleted. Undo

Best, Chris
Further update,

11:30 14/01/2019 Test Message Created
11:30 14/01/2019 Test Message Deleted

Status: This message has been deleted. Undo

12:30 14/01/2019 Undo message remains
13:05 14/01/2019 Undo message has disappeared

I will say that the undo message remains for about 90 minutes after being deleted in the Teams Desktop, with the desktop being open.

Hope that helps and provides an additional answer! Been interesting testing.

Best, Chris

I've tested some too in Teams Desktop and during my first test the undo message disappeared within 60 minutes, but then I was working with Team (switching tabs, received calls, send chat message, etc).

So I started a new test and a timer and the Undo message is still available after 2 hours and then I've only been switching between channels. So I tried switching tabs and teams, still there. I tried to close Teams and start it, Undo still there. It was after I quit Teams and started it again the Undo disappeared.

It seems there isn’t a fixed amount of time set for all! Still unknown I guess🤷‍:male_sign:

Closing the teams app but still have it running in the background won’t affect the undo button as you said! Only when closing the service or by a log out

Adam
Loving the testing on this today.

Looks like one for the next AMA in regards to the disappearance in the open Desktop client and what governs this.

Best, Chris
Yup! Very interested to know what triggers the removal!

Adam

This is quite a find.  I just confirmed the 'closing client removes undo option' in both a channel & private IM scenarios.  Am now testing the 'undo vanishes after a timeout period' option.

I have been working under the total assumption that Teams MSGs followed the EOL 30-day soft-delete rule.  I guess not.  I wonder if I could find the deleted msgs in the Recoverable Items folder of either the Team group mailbox or my own?  Perhaps a content search in the SCC might reveal something.

If this is all validated, I suppose my next question is: How does this behavior fit (or not) into the rest of the Teams data retention/management scheme?  If they don't fall under the EOL soft-delete mechanism,  where do these msgs go upon deletion, and is there any difference between this mechanism and the Teams MSG retention policies?

I've also seen posts in this Community that talk about Teams chat msgs also being stored in a separate Azure service, with very few references about its purpose, accessibility, and so on.

Quite an interesting Monday so far!

Hi!

As stated above messages are always recorded to exchange online for compliance reasons! These can be searched with content search and retention can be applied via exchange retention policies! This won't affect the messages not being recoverable!

Where are the records stored?

Private chats - in a hidden folder in respectively user mailbox

channel messages - In the corresponding office 365 group mailbox

Read here for more information on this:

https://www.petri.com/teams-compliance-story

The Teams messages themselves are stored in a Teams data store hosted by Azure aka not reachable for you!

See link below for info on this as well!

Adam

Thanks .  First, FWIW I verified the 1-2 hour vanishing act after the MSG deletions.

I'm familiar with the 'Team Chats' folders, but had been working under the assumption that since they were EXCH folders that they followed the EOL 'rules' (most importantly those of compliance & the 30-day soft-deletes).  Taking this discussion further, does the above then mean that the Teams MBX folders are excluded from normal EOL retention policies?  Do they exclusively obey Teams retention policies? When it comes to retention/deletion, what trumps what?

When you say “messages are always recorded to exchange online for compliance reasons” are you referring to regular msgs or deleted ones?  If the deleted Teams msgs are sent to EOL for compliance, whose compliance policy (Customer or MS?) are we talking about?  Are we still talking the Teams Chat folders?  The EOL dumpster folder seems to be moot here.

I'll continue my testing/research, but this thread has raised some interesting questions and I want to play devil's advocate for bit. I'm anticipating these questions from my mgmt & legal teams.

Then there's that Azure data store...  Can't wait to see the atty's battle over that one if/when there's ever a discovery request dispute.

Does the above then mean that the Teams MBX folders are excluded from normal EOL retention policies?  Do they exclusively obey Teams retention policies? When it comes to retention/deletion, what trumps what?

Yes, they are excluded (as I understand it). Maybe you could create a policy in Exchange and target Teams folders, but you should not since then you will miss the Azure part of stored messages. So only use the Teams Retention policy that will target both Azure data and Exchange data for Teams.

What is the default retention policy?

By default, Teams chat, channel, and files data are retained forever. A user can delete something, but in the absence of retention policies, Teams data is always archived into Exchange online mailboxes (user and group) and stays there for eDiscovery.

https://docs.microsoft.com/en-us/MicrosoftTeams/retention-policies-faq

When you say “messages are always recorded to exchange online for compliance reasons” are you referring to regular msgs or deleted ones?  If the deleted Teams msgs are sent to EOL for compliance, whose compliance policy (Customer or MS?) are we talking about?  Are we still talking the Teams Chat folders?  The EOL dumpster folder seems to be moot here.

Messages will be stored in the Teams Chat Service hosted in Azure outside of Office 365 services, that is the service that the Teams clients connects to and reads chats messages from that service. But since this is outside Office 365 you as an administrator won't be able to search for it, therefore a journaling copy is saved in Exchange. With the Content Search in Security and Protection portal you can search for messages, both deleted and not deleted.

So when you delete a message in Teams it will be deleted (or tagged as deleted) in Azure so that you can't see it in your Teams client, but the message will still be in an Exchange mailbox.

Back to the Undo message, I did a Content Search for a message that I deleted I were able to find it with Content search.

I personally haven't seen this until today, but it's somewhat related so I thought I'd add it to the mix.

The SS is from the 'Conversations' tab of a Team, where the original msg was deleted (as noted by the TXT and the trashcan icon), but all of the replies remain.  Can't say when the original was deleted as it wasn't me, but inconsistent behavior nonetheless.

I suppose the replies are still showing up since they're sitting in the respondents' mailboxes, and if they were to each delete their reply eventually then the entire thread would be gone.  ¯\_(ツ)_/¯

channel-PChatDeleted-NotDeletedMSG.png

All the channel conversations are stored in the group mailbox in exchange! Even responses! Although this is the behavior! Reply’s remain..

Adam
Does the above then mean that the Teams MBX folders are excluded from normal EOL retention policies?  Do they exclusively obey Teams retention policies? When it comes to retention/deletion, what trumps what?

Yes, there is no default retention policy from Exchange for these folders. You might be able to create a Exchange retention policy for these folders but you should not, instead you should use the Teams retention policy that handles messages on all locations (Mailboxes, Chat service, Teams clients). The default is that no messages are deleted from teams, that includes both active messages and deleted.

By default, Teams chat, channel, and files data are retained forever. A user can delete something, but in the absence of retention policies, Teams data is always archived into Exchange online mailboxes (user and group) and stays there for eDiscovery.

Teams messages are saved in the Teams Chat Service, that is a service located in Azure outside of Office 365 services. Teams clients connects to this service and reads chat messages from that location. Since you as an administrator would like to be able to search for messages for compliance reasons, a journal copy is saved in Exchange mailboxes for each chat message sent to Teams.

So when you delete a message from Teams it will be deleted from the chat service (or maybe just be tagged as deleted) so that the client can't see it, but it will still remain in the mailbox (in the hidden folder) so you can search for it in Security and Compliance Content Search.

So when a message is deleted i Teams and you want to see what it said you can search for it with Content Search if the Undo button disappeared.

Hi all,

I have been reading this thread and it seems there currently is no way of searching for deleted messages in a specific Team only without knowing its original content/text.

- the Audit Log does not have this filter,

- the Content Search and E-discovery just show everything you search for (content) but do not show if it was deleted.

So the practical use case is like this:
- I want to search for messages that were deleted in specific team (and I do not know what content/text was originally displayed when it got deleted)

- I want to know who deleted the message.

Seems like an obvious use case that somehow got overlooked. I hope the product team will look into this
