Organization want to close all their FileServer/Shares (containing various Dept. Folders/Files.)

 

So they want to migrate all this to some kind of Teams 'structure' - keeping the files/folders in the respective SharePoint Site that Teams creates.

 

They know they can move all the folders/files with the SPMT which also preserve the folder/file rights       

 

Are there some guidance/how to for this available scenario somewhere? - Some “Best Practice/Tips” for the Teams ‘structure’? (besides the naming policy)

 

  1. Shall they create the SharePoint site first –> Then move the files -> and afterwards create Teams and connect Teams to the specific SP site?

  2. Or Do they create the Teams and transfer the files with SPMT to the Teams created SharePoint site?

  3. What about the groups that have access to the Folders/Files on the File shares – they are preserved in the SharePoint Site/Library by the SPMT – but how do they become ‘Members’ or 'Owners' of the Teams?

  4. Can they add a (AAD) Group - and then all the members of that group become members in Teams?  

  5. Only the IT department can create new Teams – but are there some PowerShell script available for this, which creates a new Team maybe based on a ‘Team’ Template? 

  6. How does your end users request a Teams ? - do they just send a mail to the company Servicedesk?

There was some guidance recently published by Bill Baer regarding migration to Teams from On Premise file servers using the SharePoint Migration Tool.

From the article, the following would apply

 

- They create the Teams and transfer the files with SPMT to the Teams created SharePoint site?

- Permissions with the migration tool can be found here https://docs.microsoft.com/en-gb/sharepointmigration/understanding-permissions-when-migrating

- The documentation does not refer to AAD Groups, but of course you can create Office 365 groups in AAD and then link the Teams to them

- The SharePoint tool can use Powershell to do the move: https://docs.microsoft.com/en-gb/sharepointmigration/overview-spmt-ps-cmdlets. I've looked at the links, but what are your'e / others thoughts about the "path/strategy" - seeking the "best/recommended" way; 

Would you: 

  1. Create a X number of SharePoint Site Collections and afterwards create/connect those to Teams?

  2. Create the X number of Teams and then migrating the File Shares to the Teams Default Document Library?
            
  3. Regarding the AAD Group - Its the group (AD on prem) that have access to the Folder e.g. Marketing' and the SPMT will preserve these rights (if the group are found in AAD) - in the Teams Default Document Library but will that group members automatic be added to the Teams as 'Members' of the Teams?

  4. Regarding the users raises Teams request - I was thinking if some have done some kind of Request form/automation which the End-Users have acces to (and where are this accessed, if not on the Intranet)

1. Yes I would do this. SharePoint is the base layer and I imagine only some SPO sites will be Teams sites whilst you have SPO sites for other things. So it’s important to get the structure correct.

2. Yes you would then link the Teams to existing SPO sites and migrate.

3. This will need to be tested on the first move with SPMT but the documentation suggests this isn’t the case. When doing any migration it’s important to do proof of concept so maybe create a dummy folder on the file share and test with 1 SPO site, 1 Team

4. Why not use Microsoft Forms :white_heavy_check_mark:

1) + 2) I Think its all the (SPO) sites that would/could be a Teams - so that one Dept. gets a Teams and a Org-Wide Teams containing "all the others files than department files"  :)

My two cents here:
1. First thing to consider here is if it makes sense to keep same OnPremises file structure and security in SharePoint Online...if the customer is thinking on that migration, it's also a good moment to review if the way files are organized OnPremises is what they want or it's the moment to design a new information architecture. Being said that, if they want to keep same file structure and traslate into SPO world, they should create a Modern SPO Site for each Department and move files department there.
2. Since a modern SPO site is being created, you can later create a Team on top of it.
3. I would recommend to run some tests with real data and migrate to a test environment to verify security is being configured in the way you think and customer wants.
4. You have different choices here: a Forms Form, a PowerApp or even a simple SPO list in a central site (It could be a Hub site where you join your departmet sites) where the users request a Team so IT can create them in a manual or automatic fashion

Regarding point 4, ive seen a quite simple setup of using a sharepoint list with flow including a approval flow and provisioning a team! Connecting forms for this also very easy! Can’t remember exactly where but I’ll try to find it! Other wise do a search :)
