Greetings from Microsoft Ignite 2018. It’s already been a busy year for Content Services at Microsoft. Organizations large and small have turned to Microsoft for our content management solutions. Today, as we celebrate our customers’ success, we’re also please to share the news of our latest innovations:
- File card – Deliver contextual intelligence about files in Office 365, including readability and key prints analysis [Coming Q4 2018]
- Central asset library – Register multiple SharePoint libraries as preferred locations to supply digital assets during page authoring [Coming early 2019]
- Mobile capture - Integrate file and metadata gathering to SharePoint from remote devices [Coming Q4 2018]
- Document templates – Simply add document templates to the New menu in document libraries [Rolling out now]
- Predictive indexing – Add indexes to lists and libraries of any size, up to 30 million items [Coming Q4 2018]
- Modern document sets – Use the modern user experience to work with document sets in SharePoint [Coming year end 2018]
- PowerApps integration with SharePoint libraries – Build apps and forms that use SharePoint libraries as a data source [Coming Q4 2018]
- Updates to taxonomy APIs – Develop solutions that create and consume content types and terms from the Managed Metadata Service using REST-based APIs [Coming Q4 2018]
- Flow for document management – Use Microsoft Flow to move and copy files in Office 365, and generate shareable links [Coming Q4 2018]
- SharePoint Server 2019 – Deploy modern lists and libraries, with attention views, bulk edit, filters panes and more on premises [Coming Q4 2018]
- File plans - Import, manage, and classify multiple retention rules using Excel-based formats [Coming Q4 2018]
- Label analytics – Explore usage, trends, and content for each applied retention label [Coming Q4 2018]
- Metadata-driven labels – Automatically apply retention labels to content with rules based on content types and metadata [Coming Q4 2018]
- Immutable labels – Tag documents with an “immutable” mark it as irreversibly unchangeable and undeletable to comply with special regulatory requirements. [Coming Q4 2018]
Let’s take a deeper look at some of these.
File card
The file card allows you to hover over a file name in Office 365 to explore new content intelligence, such as readability and key points found in the documents. Key points can also be edited directly in SharePoint. [Coming Q4 2018]
Central asset library
Images and other digital assets help tell a more dynamic story. SharePoint pages can already consume images and logos form Web search, file upload, and site assets. Now, the new central asset library lets you register one or more document libraries with images to be available anywhere in SharePoint for adding images – such as page headers, galleries, or web parts. [Coming early 2019]
Mobile capture
The OneDrive mobile app is an easy way to scan documents and images into SharePoint or OneDrive. From on-the-go workers to traditional office locations, people need to be able to capture images for uses like site inspection, meeting notes, lab activities or event management. But integrating new documents into business processes often requires custom metadata to allow business process to run quickly and with precision – without waiting for someone to retag images inside a browser. Now, mobile capture on OneDrive lets you enter any default metadata when you’re saving files directly to a SharePoint library. [Coming Q4 2018]
File plans
Office 365 already provides data governance labels to establish rules for records management and retention. Later this year we’ll be augmenting those with hierarchical file plans, allowing you to manage a range of retention labels with identifiers, departments, categories, statutory references and more. File plans can be exported from Office 365 for easy editing in Excel, and then reimported to update label rules.
Labels and label analytics
Establishing information rules is just the start of governance. You also need to measure the application and usage of labels to understand how your file plans are effective, and where they may require updates. Label analytics allows you to map and review the usage of retention labels, providing feedback to help continuously adjust and improve governance.
Microsoft has already had labels to establish retention and records management. Later this year, we’re releasing two new label capabilities:
- Immutable record labels, to be used to make content permanently unchangeable and undeletable
- Sensitivity labels – which can be applied to content to enforce security behaviors such as encryption, watermarking, data loss protection and remote device access. Sensitivity labels can also be applied by default to a container, such as a SharePoint site, to enforce security standards on all the content in that location.
