Microsoft Forms works great with Microsoft Teams

If you're using Microsoft Teams, you can now access your Microsoft forms directly. With this new integration, you can easily set up a Forms tab, create notifications for your form, or conduct a quick poll just for your team.

Note: This integration will be coming soon for Teams users.

Set up a Forms tab

Add a Forms tab so you can quickly create a form that everyone on your team can edit. If you've already created a form, you can still add it to the tab to collect responses, show a summary of results, or collaborate with others.

Show the results of a shared team form or one you created on your own.

Set up notifications for your form

The Microsoft Forms connector can help you keep your team up-to-date on the responses for your forms. Just tell the connector which forms you want to subscribe to, and the channel will be notified with a summary of responses each day.

Send notifications to selected channel.

Conduct a quick poll within your team

With Microsoft Forms quick poll, you can create an instant, real time poll in seconds. Use the Forms bot (by typing @Forms in a channel), and team members can respond to the poll and see the result in real time.

Love the feature set!!!!!

Copper Contributor

I am not seeing the "Forms" as an option when adding a tab.

Would really like this feature as we start to use forms.

Microsoft

Hello, this integration feature is not open to customer yet but will come soon. Stay tuned.

Brass Contributor

Love these new features! Keep them coming!

Copper Contributor

Let us know when this releases. We are a first release customer and we have people excited for this integration!

As a teacher I would like to create quizzes for the geography department (Team)

Can someone give an indication when this is going to be possible?

Brass Contributor

@Tim Jonker you can do that right now!  You can do it all within Teams or Directly in Forms.  Within a quiz, there are the two options to consider.  The collaborate option would let everyone in the group edit the very same form.  The Template option would allow you to create a quiz, and share it with the other teachers, and when they click on the link, they have the ability to create a copy of that Form or quiz and make it their own.

Brass Contributor

@John Bimmerle what I mean to adress is the issue of ownership. If I create a quiz from the Forms portal they are linked to my profile. Sure I can give access using a template link or collaboration link, but the Form stays mine (as far as I know).

From Teams the Form is owned by the Team, not by me personal. But in from Teams I can only create polls but not Quizzes (as far as I know)

Thanks for your reply!

Brass Contributor

@Tim Jonker YES! Great clarification, now I see your point.  You are correct, within Teams, the only option is the Form and the Quiz feature would be a big benefit.  I get why you would prefer to have quizzes under the Team or group rather than your own account, but I am sure for now you are making that work.  I agree if they just added the option to create a form OR quiz, that would be ideal.

Copper Contributor

When I add a form for filling in Teams, it just never loads, the "loading notification" just keeps spinning. When I add forms to view responses, or create one to edit, it works fine. Is there a workaround for this or something else I need to do?

Copper Contributor

I am having the same issue.. actually started noticing this yesterday. Just a spinning 'Loading' icon.. Seems to embed fine in a SharePoint page though

Microsoft

Hello Aaron & Allison, thank you for your feedback! We are aware of this bug, and fix is on the way. Zhang Li, PM from Microsoft Forms team.

Brass Contributor

"The Microsoft Forms connector can help you keep your team up-to-date on the responses for your forms. Just tell the connector which forms you want to subscribe to, and the channel will be notified with a summary of responses each day."

It would be great if we could get real time notifications when responses come in. Why is a once a day summary the only option?

Microsoft

Hello Scot, thanks for giving us the feedback! If you need notification per response, there is an email notification feature and you can enable it in Forms setting. There is limitation that the email would only be sent to the one person though (who initiate the form in Teams).

Copper Contributor

Hi @Zhang Li

Can we send reminder emails to complete the surveys?

Can we hide responses from all users?

Thanks,

Sru

Microsoft

Hello @Srujana Anishetty

I will discuss with the team for your request. Meanwhile could you help clarify what do you mean by "hide responses from all users"?

Best regards,

Zhang Li

Copper Contributor

Hi @Zhang Li,

Please ignore my second question.

can I grant any other user permission to see the responses other than the initiator?

Can we hide and show questions based on a condition?

can we hide and show questions based on other questions answer?

Thanks,

Sru

Brass Contributor
Hello @Zhang Li, We do know about the email notification to the owner of the form, but what we really need is instant notification to the Teams channel. (Our email is in Office 365/Online Exchange, and I tried to create a rule where the emailed notification from Forms would be redirected to the email address of the Team Channel, but Exchange Online does not seem to want to redirect emails from forms-notification@microsoft.com to the channel's email address ( ..com@amer.teams.ms ) The ability we need can be achieved between a Google form and Slack, so if MS wants to be competitive, it seems like you would want to provide the same ability.
Microsoft

Hello @Scot Bickell, thanks for your feedback, will look into your request with product team.

Microsoft

Hello @Srujana Anishetty, I put comments below for your questions:

can I grant any other user permission to see the responses other than the initiator?

-If you are using Teams, all forms generated in Teams are group based so if you want to grant permission to others to see the responses, you just need to add them into that group.

Can we hide and show questions based on a condition?

- No, we do not support this currently.

can we hide and show questions based on other questions answer?

- This request can be solved by using branching function.

Copper Contributor

@Zhang Li These are great new features! Do you know if it is, or will be, possible to add multiple questions using the Forms quick poll feature?

Microsoft

Hello @Jake Hedstrom, this is in our backlog but priority is not high. If this is multiple questions, would that be easier to design a normal survey for it? Or maybe you want to see the form layout in conversation directly?

Copper Contributor

Thanks for your reply @Zhang Li. Yes seeing the form layout directly in conversation is great, and having the extra flexibility of adding multiple questions would make the feature even that much more usable.

Copper Contributor

@Zhang Li Is it possible to create a survey directly within the Forms app, then share it with a Team so that members of the Team can participate in the survey but not have permission to view the survey responses? Thanks in advance!

Microsoft

@Scott Clark, you can create a form on Forms web (https://forms.office.com), then send the fill link to Teams chat. In this case team members can only respond but not see the result. You can also create a form tab by "Add an existing form" and select your private form created on Forms web to collect response, this will serve the same purpose.

Copper Contributor

Thanks, @Zhang Li! This is exactly what we want. Awesome feature!

Copper Contributor

@Zhang Li I was wondering if the polls in Forms on Teams will be able to support more than 6 options per question someday? Are you planning on increasing that number anytime soon? It would be really nice to be able to include more options!

Learn Expert

Whenever I want to add a Forms connector to a team, I'm not able to select the Forms that exist.  I tried Private, Public Forms, and forms that have Email notifications enabled.  This behavior is occurring on two different tenants that have First Release enabled.  Is anyone else experiencing this behaviour?

Hey @Zhang Li!

We love this feature, but we would like to see who voted in the Forms BOT. Any way to check that? If so, is it in the road-map at all?

- Mariel

Thank you so much for the write up with screenshots and not a million words!

This is a really really cool feature!  Teams should have an integrated link to this article!

Copper Contributor
We are really interested in creating quick polls via the Forms bot. However we are not able to integrate the bot into a channel. Everytime we add/configure the bot, the user who added the bot gets the Forms help popup above the input field. As soon as the message is sent only a regular message appears within the channel. If another user hovers the "Forms" mention of the message, the status of the forms app is "disabled" ("Deaktiviert") and nobody can see/interact with the poll like shown in the article above. The Forms app is activated (Office Admin Center) and we managed to add a Forms tab to the channel but the bot just doesn't work. So how do we get it to work properly? Is there any setting or requirement we need to do/activate/satisfy (like a company wide security setting)?

Hey @james.koerk - if it were me, I would open a separate issue...

Microsoft

@james.koerk, the way to invoke a Bot in Teams is to @ it, then you see the different options. From the description in your question above, seems you want to have a different way to interact with Bot, if that is the case this would require Teams level support. Let me know if I interpret it in a wrong way. Feel free to shoot email to me (z67li@microsoft.com) if you have further questions.

Microsoft

@Mariel Vargas, sorry for late response. Acknowledge your request. Currently we do not have this function, will look into this and see possibility of adding it in near future.

Brass Contributor

@Haniel Croitoru I am seeing the same behavior you describe.  THat is SO close to what I am trying to accomplish.  If it would let me select a form, then I could control where those notifications are going it would appear.

We REALLY need to be able to dictate who the notifications go to.  And an option for Real-Time would be better than a digest for many forms.

Iron Contributor

When will this be available????

Microsoft

Hello @Rob Barker, Forms app is already available in Teams.

Copper Contributor

I thought this looked good until I tried it on the iPad app and the fill form option does not work.

Iron Contributor

@Zhang Lisorry, I should have been more clear - it's the @Forms bot that isn't working. I tried typing @Forms in a channel conversation, but it didn't invoke the bot?

Capture.PNG

Copper Contributor

The forms bot isnt't working for us. We always have the same message "We couldn't create the poll. Please try again". Do you have a solution ?

Copper Contributor
Does not seem to work with Guest accounts (people that are in a separate tenant). When they try to click on form they get "An error occurred, please try again:

Any plans to put this in the official documentation instead of a forum post?  Thanks :folded_hands:

Microsoft

@Chip Eckardt, guest access does not work for Forms app in Teams yet, add @Zhongzhong Li for visibility.

Microsoft

Thanks @Zhang Li!

That's too bad it is not on the https://docs.microsoft.com platform

Brass Contributor

Could I just propose a change to the title of this blog article?

"Microsoft Forms works great with Microsoft Teams desktop app but is completely broken in Teams mobile app"

I'm sorry to say the UX on the Teams mobile app is not just really bad...it doesn't actually work. You get redirected to a login page and when you log in you are left at the standard Forms homepage...not the actual Form you were trying to use.

Cloud first, mobile first?

Copper Contributor

Is it possible or are there plans to orchestrate the synchronization of form items with a channel at a greater interval than once a day (daily)?  Thank you.

Copper Contributor

I can add a form on my Team but then I can't post that same form on a different team. It only allows me to post personal forms.

Copper Contributor

Real-time response. I've been using Forms from day 1, and they're great! So much advanced features, such as branching. Having real-time response is one of the most powerful features, so I decided to setup a Form in a Team channel...only to discover that the responses are no longer real-time! Why? Who broke this? Why haven't you been sacked? The posts from Microsoft staff above claim that "you can enable email" - er, sorry guys, but that only works for personal Forms, not Team Forms - go ahead and try it. When I enable email for a Team it is assigned some random email address such as 8387953e.my.company.name@emea.teams.ms - you'd be wrong if you thought any Team Forms would get sent, they don't. There is no option in the Form to edit or even verify where the Form is emailed to. Whoever "designed" the Teams Forms to NOT send real-time responses, just destroyed one of the main reasons to use Forms.

Being familiar with another great feature - Flow - I cleverly decided to just add a Flow to catch the Form responses and add them to the Team channel in real time. I was thwarted again! Seem like Microsoft have "hidden" any Team Forms from showing up in Flow - it only lists personal forms.

Sadly, this is typical of Microsoft; out-of-touch with those of us who actually promote Microsoft products in a real world scenario. Anyone at Microsoft brave enough to reply?
