Getting Started with Microsoft Teams Guest Access - Answers to Top 3 Questions

Guest access in Microsoft Teams is something that many business users are interested in and often request of IT. They want to get off the email file sharing train and move into a modern collaboration environment for conversing and sharing files with their partners, vendors, researchers, medical experts, etc. Over the last two business days this topic has been front and center for me in conversation with two separate hospitals and is likely a topic of conversation for your org as well irrespective of the nature of business.

When discussing Microsoft Teams guest access, the top 3 questions that IT seem to consistently fall along 3 lines.

  1. How do I enable guest access in Microsoft Teams and what does that guest access interaction look like?
  2. How do I secure guest access, limiting that access to only authorized external entities?
  3. How do I manage external access in order to keep our Azure AD cleaned up and ensure we are staying within the allotted number of guest access users for our organization?

Is there an ability for Guest accounts to access Microsoft Stream to view and download videos recorded?

@Harjit Dhaliwal not at this time. It is on their road map but not available today.

@Mike Gannotti  is it 1 licensed user to 5 guests in one team? Or overall? so if you have 10 users it would say 50 guests?

I allways thought the number was 50.000 guests per tenant.

It is really interesting because you may now in the past we could invite unlimited(50.000) people to a tenant. And is this per user or per domain limit?

So for example I invite external 1@ms.nl till 10@ms.nl   is 10 users or is it one domain?

Is the guest licensing per Team? So if a small company has 28 licenses x 5 - 140 guests.  Is that total per tenant or can it be 140 different guests for each team?  What happens when they hit 140 guests, do they get an error that they can no longer invite guests unless they purchase additional licensing?

@Amber The guest licensing is per tenant. 5 guest for each licensed tenant user

@Mike Gannotti  Thank you.  Do you know what happens if a tenant goes over?  Do they get alerted? Are they stopped from adding additional guests?

@Amber To best of my knowledge its a soft limit and you can see in the admin portal that you are over. You should be able to set an alert around it
