Question: What year was Microsoft Project first released?

Bonus: How many Windows applications did Microsoft release before Project?

Reimagine Project Management with Microsoft

Microsoft Project is hosting a free digital event to help our users learn more about how to leverage Project, Microsoft Planner, and Dynamics 365 Project Operations to best manage your projects – both big and small!

This event goes live on March 18th, 2021. You can learn more here.

New Features

Flexible Deployment for Project for the web ~ This feature is now available to all users!

FAQ:

This section includes questions we see frequently, either through the in-app Feedback button or from the comments of last month’s blog.

Q: What dependencies are supported in Project for the web?

A: Project for the web currently only supports Finish-to-Start dependencies. If you need additional dependencies, please submit feedback using our in-app “Feedback” button in the top-right corner of the product. This best helps us keep track of customer needs.

Q: Where are attachments stored in Project?

A: You can find all your attached files in your Team’s SharePoint library.

Note that you can't attach files to tasks in Project unless you have already shared your project to a group. You can do this by using the “Group members” button in the top-right corner of the product.

You can attach links to your tasks even before you add a group to your project.

We want to hear from you! If you have feedback, submit it by using the “Feedback” button in Project for the web. Make sure to include your email address so we can contact you directly with any follow up questions or comments. Your comments on our blog posts are also monitored, so let us know what you think about this or other articles.

Hello <LI-USER uid="953702"></LI-USER> ,

I have not come across a customer who finds the Resource AD sync only running once a day being an issue. If there are urgent additions needed in the Enterprise Resource pool, those customers request with their IT team that the users are added to the correct AD group for the sync but they also manually add the resources to the enterprise resource pool.

Regarding syncing using Power Automate, are you looking to add the resources via Power Automate or trigger the built in Resource AD sync via Power Automate? I dont think triggering the built in Resource AD sync will be possible via a normal Power Automate flow. You might be able to do it via a Power Automate UI flow by automating the clicking of the "Save and Synchronize Now" button in PWA.

Planning resource without redistributing what is not consumed

Hello,

In MS Project, I wish I could schedule a resource without redistributing the remaining time.

Ex: A person is planned at 50% over a year (i.e. 10 days per month)
In January, the resource only worked 2 days.

MS Project behavior => the system redistributes 8 days until the end of the year after the days entered

Desired behavior => the system must consider 2 days past in January and must not redistribute the 8 days considered as past or lost.

What are the possible options on the tasks in order to be able to simulate the desired behavior?

Thank you in advance for your feedback or answers

Francois

Hello <LI-USER uid="976907"></LI-USER> ,

Giving a cost estimate here is not going to be possible as we would need to understand specifics around the set up. One of the big factors would be if you are doing the upgrade yourself or working with a 3rd party.

To upgrade from Project Server 2010 to Project Server 2016, the 2010 database needs to be upgraded to Project Server 2013 first then Project Server 2016. How come you are not upgrading to Project Server 2019? Project Server 2016 mainstream support ends in July this year: https://docs.microsoft.com/en-gb/lifecycle/products/project-server-2016

where as Project Server 2019 mainstream support ends in Jan 2024: https://docs.microsoft.com/en-gb/lifecycle/products/project-server-2019

Many thanks

This does not work straight away for me. When I follow this procedure, it will take several hours, maybe days before I have this right. I also have projects with the same calendar template with different start and finish time. To change this to 8-16 seems very difficult. When I make a new template, I also must change the time zone two-three times. I am trying to find out where all this information is hidden. Is there a default time zone somewhere in the system? Please, is there anybody out there that can try to explain to me what is happening? Where is more guides to Project for the web?

This blog post grew out of a conversation with one of my Microsoft colleagues about how one would push a Planner task to Azure DevOps - and the scenario was that they are very happy with the Message Center to Planner integration as a means to triage changes as they come through - but to actually execute on the changes they would normally use Azure DevOps. So I got my thinking cap on and took a look at what was available in Power Automate.

Planner is somewhat limited in direct actions and triggers, but of course you can use the Graph API too once you get a Flow started - but the trigger is what you need here and I wanted to avoid a timer job just looking in Planner. The "On completed" trigger seemed like the best approach, as if you were carrying out the work in Azure DevOps (or Project) then the plan task could be closed. Then with the number of supported labels increasing in the very near future I thought that, combined with a complete task, would get me started.

Power Automate then has an action to read the Planner labels, so I could check if the task needed to go to Azure DevOps - and if so use the "Create a work item" action.

In this example I decided to create as a Feature - and in the description I crafted a link that would navigate back to the Planner task to get the full information. A proper job here would probably involve a few more steps to read the information and populate it into Azure DevOps, but as a quick proof of concept it worked for what I needed.

And here is my newly created Azure DevOps feature.

My next thought was - that nice - but what if I want to use Project Online or the new Project to manage a Microsoft 365 change? (The eagle eyed may have already seen the :Send to Project Online and Send to PfW in my labels list) so I extended my Flow to also look at those labels and react accordingly.

It is important to mention here that I am creating these as projects in Project Online and Project for the web - and not as tasks - as the assumption is that you would use this when you needed more than just a task (otherwise why not leave in Planner?). Likewise for Azure DevOps - I created a feature but there may well be other entities added to deliver the change.

For the examples I've used I'll admit that these could probably just have been handled in Planner - as I can't imagine our adding of text predictions justifies a complete project plan to ready users...

And in the new Project we see the other task turned to a plan - in this case in a different environment than the default using the new flexible deployments option.

The Flow was pretty basic adding these two too - just a condition driven by the label that was applied, then the Create a new Project for Project Online (as the description doesn't support HTML I didn't create the href):

and for the new Project in the Dataverse environment I used the following:

The tricky piece here was working out what the GUIDs needed to be, and I used the option to open the datasets in Excel to get a good look at the GUIDs so I could test out and confirm what these needed to be. You can do this (permissions allowing) by going to make.powerapps.com, selecting the environment, then under Data, Tables select the table of interest (set filter to "All") then use the "Edit data in Excel option (don't get too excited - you can't really edit the data for this Project stuff in Excel).

Calendar Id can be found from the Calendar column of the Work template table – in my case I only had one work template, the default – so not problem using just this one – you might need to have some way to choose if your config is more complex.

Contracting Unit can be found as the Contracting Unit column in the Project table – and again I just had one so ok to hard code – your mileage may vary (Don’t confuse it with the Contracting Unit (Lookup) field…).

Project Manager comes from the Project Manager column in the Project table, and has its origins in the User table and the User column. It is NOT the same as the AAD GUID.

Like the Azure DevOps example you'd probably want to add a few more steps to pull more information in - and I did skip a big "gotcha" on the Project Online side - as Project Online does not allow certain characters in a Project name I chose my example carefully. You'd need to swap out any occurenace of the following characters - : .(period) \ " / : ; | ? ' < > * # ~ % { } +.

Finally - a screenshot of the whole Flow:

Let me know what you think - and what would make managing Microsoft 365 changes easier?

My company is moving from a dedicated MS Project server to SAAS MS Project Online. I am wondering if there is going to be any performance issues due to the size of some of the project plans we will be migrating over. Microsoft does not post any project size recommendations that I can find for MS Project Online. Example of a project I am concerned about. Project is approx. 5000 lines, fully resource loaded Can MS Project Online handle projects that are that big?

Looking forward to a GUI option for this.

In the meantime, tried this method, but we have admin consent enabled in our tenant so the "oneproject_test_native" Ent App registration is halted while it waits for approval. Requested the approval, our authorized person did the approval, and when I ran the script again, it acted like it was being registered for the first time again: asked for admin consent once more.

Admin checked AAD and cannot find the app in the Enterprise Apps listing. Checks the log and sees that the request to approve it failed. Request shows as in progress still, but every time it's attempted to be approved, it fails as though the app no longer exists, even though no one touched it in AAD. Thoughts?

Flexible Deployment for Project for the web is here!

We are pleased to announce the availability of Flexible Deployment for Project for the web. As a part of the Microsoft Dataverse (formerly known as Common Data Service (CDS)) platform, Flexible Deployment enables you to create different environments based on organizational, business unit, or teams needs.

In addition to the existing Default environment, you now have more choices to spin up different kinds of Dataverse environments for the Project for the web: Production and Sandbox. With Production, your organization can create specific environments such as limiting access to data for the HR department, deploying different customizations for different sets of users, or staying compliant on data residency requirements if your users and tenant are not located in the same country. The Sandbox environment allows for Application Lifecycle Management to develop and test customized solutions for Project before rolling out to production.

You can use Flexible Deployment with Project Plan 1, Project Plan 3, and Project Plan 5.

Hello Everyone,

I want to fetch recently updated tasks, assignments from Project Online. Currently I've included a filter to fetch projects and related tasks, assignments by published date time. But when I execute it also includes newly created project and related tasks, assignments. Project, task, assignment creation module executes before update module. How this scenario can be handle? Is it possible to create a flag in the Project Online that will auto-update to 1 whenever a user makes any manual changes in the task, assignment?

Thanks & Regards,

Rohan

Hi,

I'm trying to report on remaining vacation days in Power BI when connected to Project Online.

Resources report their requested vacation days via their timesheet, and once approved, their resource calendar gets updated automatically. We have a resource field which shows the annual entitlement, so as these entitlement days are consumed I want to then report on the remaining days that each resource would have available. However I am really struggling to find the right data in the tables that would provide me with the approved vacation days taken/booked so far. Any advice greatly appreciated. Thanks
Alison

I'm trying to find out what realy happen with calendars in Projet for the web. I accept that 9-5 is the default and that I can't do anything about that. Just like the desktop version. So I have to set up my own default calendar template. I know the whole routine to add a new calendar template. So I don't need help with that. However, when I try to set up a new template I also have to change the time zone. Often I have to do this more than one time. (When I create the calendar resource and when I add it to the template) Also strange, the time zone I have to change from can be different. From Casablanca time to Beograd and even UTC. Where can I find the place where the time zone settings in Project for the web are located? Where are all this things connected. These problems seems a little odd to me. Please, anyone?

<LI-USER uid="962948"></LI-USER> -- I am not surprised at all by the fact that you see differences between the original project and a new project created from the exported XML file. Based on my personal experience, the XML file does not capture the timephasing of task Work and Cost values on tasks. And I suspect your use of the 24 Hour calendar is at least partially the source of the errors.

For me, the Save to XML option is a last resort to try to fix a corrupted project. I know that using this feature will capture the "guts" of the project, but not the exact duplicate project. Out of curiosity, why are you using the Save to XML feature?

Please let us know and we will try to help you.

Differences between Project XML and MPP files

I am using Project Standard 2016 (Version 1908 Build 11929.20300)

I have experienced an issue where I am getting differences in data between an original *.mpp file, and an *.xml that I exported from that mpp file. The differences then continue to occur if I then save the first XML file as an XML file again.

I have attached the 3 Project files in the .Zip file.

These are my steps:

Opened the "Sample.MPP", and took a screenshot of the first 23 tasks

Saved the file as "Sample.XML".

Opened that "Sample.XML" file, selecting 'Import as New Project' when prompted. Took a screenshot of the same Tasks.

Saved that as a second XML file "Sample_2".XML (no changes were made to it).

Opened that "Sample_2".XML file, selecting 'Import as New Project' when prompted. Took a screenshot of the same Tasks.

I compared the screenshots between all 3 files, and noticed that Dates and Durations were continuously changing from the original MPP file (see attached file Differences.png)

I checked the Calendar Options and Working Time settings after each file is opened, and they seem all the same: https://www.screencast.com/t/7RdF3B0BdW

I also check what the Calendar Options were for 'New Projects' and they were slightly different: https://www.screencast.com/t/3DOPdG9y

What is causing these differences?

Does the XML Export have certain limitations / not support certain settings?

Is there something else that is adjusting the dates when the XML file is being opened/imported as a new Project?

Updates:

I also tested in MS Project 2019, and the issue still happens.

I think it may be related to the fact that the project is using the '24 Hour' calendar. I had another 2 Project files which were exporting / loading XMLs fine, but as soon as i changed the calendar in the MPP files to use "24 Hour", and then exported the XML, once that XML was opened in Project again, the dates/times changed.

I also tested using hyperlinks in both Microsoft Word 2016 and Microsoft Excel 2016, and saw the same behavior as Microsoft Project 2016. Based on that, I suspect that this is the default behavior of Microsoft Office products, and that there is no way to change this behavior. Sorry for the bad news, but hope this helps.

One question; where will a file be stored if I upload it from my device, and no M365 group has yet been connected?
For the rest, would love to see the FtF, StS and SF depencies added, as well as lag on these dependencies.

I figured it out. Because I have the Project license that permits Project Online features and functions (Plan 3), I am able to access and interact with other people's projects even though I am not a member of their group. We have an old PWA site collection and a few people with the Project licenses (don't know what their license level is though) who have 'played' with the app but because it requires all the group members to pay for a Plan 1 license at least, the users did not continue using the app and did not delete what they'd created. As a result, there were a few past projects listed (the old PWA) and few new abandoned ones (Project for the Web).

I didn't know that having a Project Plan 3 license not only gives you admin level access to the old PWA sites but also gives you access to the new Project for the Web projects for which you have no affiliation nor do you want it. Not the functionality I expected, obviously. Really through me off!

<LI-USER uid="8793"></LI-USER> Hi Paul, I opened a ticket about this isssue and we got it resolved. I found some files in C drive root which were called Program Files and its derivatives from P to Program Files x86. Apparently these files appeared because of an anti virus software in the servers.

The specific reason for the error was caused by Claims to Windows Token Service not being able to start due to their path being corrupted by the awkward files I mentioned above. Once i cleared the c drive root of those files and started C2WTS service the error disappeared.

<LI-USER uid="952692"></LI-USER>That's how it works. if you input the actual duration which is less than the scheduled duration, then MSP will truncate the task to that lesser duration, there is no remaining duration, and there is now an actual start and an actual finish which replace the scheduled start and scheduled finish. If you input an actual duration greater than scheduled duration, the task is extended, and so on.

<LI-USER uid="952692"></LI-USER>, I can see that you are well on your way to the typical new user experience of using MSP. Before you go round and round in circles, here's a few tips.

Don't assume that you know the meaning and definition of a field/column. You can check for precisely what it is by hovering the cursor over the column heading. The variance of something is simply the difference between the current something and the baseline something. If there is no baseline then there is no difference. Baseline values are set when you set a baseline. They can be edited manually as well (don't).

You need a rock solid approach to updating progress and re-scheduling as required. Start by practicing with (auto scheduled) tasks which have duration only, so no resource assignments, no work, no cost. You will need to set a status date. Display the status date as a vertical red line on the chart (format, gridlines). The status date will be earlier than a task start, or it goes through the middle, or it is after the task finish. A task has a scheduled/planned start and a scheduled/planned duration and a scheduled/planned finish. After some or all of the task has actually occurred (as at the status date/time), they all turn out to be different than what was scheduled/planned. Use the tracking table to input the actuals, and they will replace the as scheduled/planned. This will take some practice. Once you have that nailed down, then you can try the same thing with work and cost. Use the task usage and resource usage views.

Any help so far?

I apologize, clearly I'm still learning this. if I set the "baseline duration" column to display, that one at least does NOT change even after I set "remaining work" to zero, which is good enough for my purposes I think. And then the "Duration Variance" column seems to be based directly on what I enter in Baseline Duration.

<LI-USER uid="954560"></LI-USER> - In addition to Paul's excellent reply, you need to know that if your team members have a Project Plan 1 license, they are allowed to edit the projects in which they are team members, as well as to be able to create and edit their own projects. On the other hand, if the team members DO NOT have a Project Plan 1 license, they are granted "view only" access to the projects in which they are team members, and they CANNOT change anything. So, based on your description, your team members do have a Project Plan 1 license, which means that Paul gave you the correct answer.

If I were you, I would simply ask my team members NOT to make any changes to their projects without involving me in the decision to make the change. Hope this helps.

Unfortunately not, once a user has edit access to the project for the web project, they have full edit access.
