Microsoft Developer Tenant and Microsoft Project

Hi There,

I have a tenant as part of the Microsoft Developer program, but I am trying to explore the possibilities with Project for the Web (Project Plan 1) and Project Online (Project Plan 3&5) and also how that interacts with Project Roadmap and Power BI.

The problem is I can seem to find anything to do with Project in my tenant. Is this not possible?

Active Directory Enterprise Resource Pool Synchronization and Power automate

We have a need to sync our AD resources group more than 1 time a day (MS default). I was wondering if anyone has tried the Power Automate to help with Active Directory Enterprise Resource Pool Synchronization task.

Once a day is not practical for us at all, as we have hundreds ongoing projects with multiple times resources access requirement daily. Wonder how you manage yours for those who are in the same situation using AD group sync.

How to customize Timesheet views

Hello,

We are currently using MS PRoject Central and timesheets.

The main feedback, we are receiving from users is about the user interface from Timesheet and Approval.

Users are losing focus,

- they do not have the key information they need ( being able to order and add fields would be great )

- they need to scroll until they find time to approve or gaps all along the calendar

Did you ever experience this on your implementation ?

What can be done to improve user experience ?

Planning resource without redistributing what is not consumed

Hello,

In MS Project, I wish I could schedule a resource without redistributing the remaining time.

Ex: A person is planned at 50% over a year (i.e. 10 days per month)
In January, the resource only worked 2 days.

MS Project behavior => the system redistributes 8 days until the end of the year after the days entered

Desired behavior => the system must consider 2 days past in January and must not redistribute the 8 days considered as past or lost.

What are the possible options on the tasks in order to be able to simulate the desired behavior?

Migrating from Project Server 2010 to 2016

Error Message: Resources have items checked out to them and could not be deleted.

A resource left my company but I can't delete him from PWA with this warning message "Resources have items checked out to them and could not be deleted".

I went to force check-in area, I couldn't find him there either. I also queried the entire database, he isn't there either. What is the next step? I hate to just leave him in the PWA, if he is no longer with us.

For those Microsoft 365 changes that need a project to implement

This blog post grew out of a conversation with one of my Microsoft colleagues about how one would push a Planner task to Azure DevOps - and the scenario was that they are very happy with the Message Center to Planner integration as a means to triage changes as they come through - but to actually execute on the changes they would normally use Azure DevOps. So I got my thinking cap on and took a look at what was available in Power Automate.

Planner is somewhat limited in direct actions and triggers, but of course you can use the Graph API too once you get a Flow started - but the trigger is what you need here and I wanted to avoid a timer job just looking in Planner. The "On completed" trigger seemed like the best approach, as if you were carrying out the work in Azure DevOps (or Project) then the plan task could be closed. Then with the number of supported labels increasing in the very near future I thought that, combined with a complete task, would get me started.

Power Automate then has an action to read the Planner labels, so I could check if the task needed to go to Azure DevOps - and if so use the "Create a work item" action.

In this example I decided to create as a Feature - and in the description I crafted a link that would navigate back to the Planner task to get the full information. A proper job here would probably involve a few more steps to read the information and populate it into Azure DevOps, but as a quick proof of concept it worked for what I needed.

And here is my newly created Azure DevOps feature.

My next thought was - that nice - but what if I want to use Project Online or the new Project to manage a Microsoft 365 change? (The eagle eyed may have already seen the :Send to Project Online and Send to PfW in my labels list) so I extended my Flow to also look at those labels and react accordingly.

It is important to mention here that I am creating these as projects in Project Online and Project for the web - and not as tasks - as the assumption is that you would use this when you needed more than just a task (otherwise why not leave in Planner?). Likewise for Azure DevOps - I created a feature but there may well be other entities added to deliver the change.

For the examples I've used I'll admit that these could probably just have been handled in Planner - as I can't imagine our adding of text predictions justifies a complete project plan to ready users...

And in the new Project we see the other task turned to a plan - in this case in a different environment than the default using the new flexible deployments option.

The Flow was pretty basic adding these two too - just a condition driven by the label that was applied, then the Create a new Project for Project Online (as the description doesn't support HTML I didn't create the href):

and for the new Project in the Dataverse environment I used the following:

The tricky piece here was working out what the GUIDs needed to be, and I used the option to open the datasets in Excel to get a good look at the GUIDs so I could test out and confirm what these needed to be. You can do this (permissions allowing) by going to make.powerapps.com, selecting the environment, then under Data, Tables select the table of interest (set filter to "All") then use the "Edit data in Excel option (don't get too excited - you can't really edit the data for this Project stuff in Excel).

Calendar Id can be found from the Calendar column of the Work template table – in my case I only had one work template, the default – so not problem using just this one – you might need to have some way to choose if your config is more complex.

Contracting Unit can be found as the Contracting Unit column in the Project table – and again I just had one so ok to hard code – your mileage may vary (Don’t confuse it with the Contracting Unit (Lookup) field…).

Project Manager comes from the Project Manager column in the Project table, and has its origins in the User table and the User column. It is NOT the same as the AAD GUID.

Like the Azure DevOps example you'd probably want to add a few more steps to pull more information in - and I did skip a big "gotcha" on the Project Online side - as Project Online does not allow certain characters in a Project name I chose my example carefully. You'd need to swap out any occurenace of the following characters - : .(period) \ " / : ; | ? ' < > * # ~ % { } +.

Limitation of Size/Complexity of Project Plans within MS Project Online???

My company is moving from a dedicated MS Project server to SAAS MS Project Online. I am wondering if there is going to be any performance issues due to the size of some of the project plans we will be migrating over. Microsoft does not post any project size recommendations that I can find for MS Project Online. Example of a project I am concerned about. Project is approx. 5000 lines, fully resource loaded Can MS Project Online handle projects that are that big?

Why must I specify a search direction when using the search tool in Project?

Project Online ReST API fetch recently updated tasks, assignments

I want to fetch recently updated tasks, assignments from Project Online. Currently I've included a filter to fetch projects and related tasks, assignments by published date time. But when I execute it also includes newly created project and related tasks, assignments. Project, task, assignment creation module executes before update module. How this scenario can be handle? Is it possible to create a flag in the Project Online that will auto-update to 1 whenever a user makes any manual changes in the task, assignment?

How do I report (Power BI) on vacation days in Resource Calendar (Project Online)

Hi,

I'm trying to report on remaining vacation days in Power BI when connected to Project Online.

Resources report their requested vacation days via their timesheet, and once approved, their resource calendar gets updated automatically. We have a resource field which shows the annual entitlement, so as these entitlement days are consumed I want to then report on the remaining days that each resource would have available. However I am really struggling to find the right data in the tables that would provide me with the approved vacation days taken/booked so far. Any advice greatly appreciated. Thanks

Calendar templates in Project for the web

I'm trying to find out what realy happen with calendars in Projet for the web. I accept that 9-5 is the default and that I can't do anything about that. Just like the desktop version. So I have to set up my own default calendar template. I know the whole routine to add a new calendar template. So I don't need help with that. However, when I try to set up a new template I also have to change the time zone. Often I have to do this more than one time. (When I create the calendar resource and when I add it to the template) Also strange, the time zone I have to change from can be different. From Casablanca time to Beograd and even UTC. Where can I find the place where the time zone settings in Project for the web are located? Where are all this things connected. These problems seems a little odd to me. Please, anyone?

Differences between Project XML and MPP files

I am using Project Standard 2016 (Version 1908 Build 11929.20300)

I have experienced an issue where I am getting differences in data between an original *.mpp file, and an *.xml that I exported from that mpp file. The differences then continue to occur if I then save the first XML file as an XML file again.

I have attached the 3 Project files in the .Zip file.

These are my steps:

Opened the "Sample.MPP", and took a screenshot of the first 23 tasks
Saved the file as "Sample.XML".
Opened that "Sample.XML" file, selecting 'Import as New Project' when prompted. Took a screenshot of the same Tasks.
Saved that as a second XML file "Sample_2".XML (no changes were made to it).
Opened that "Sample_2".XML file, selecting 'Import as New Project' when prompted. Took a screenshot of the same Tasks.

I compared the screenshots between all 3 files, and noticed that Dates and Durations were continuously changing from the original MPP file (see attached file Differences.png)

I checked the Calendar Options and Working Time settings after each file is opened, and they seem all the same: https://www.screencast.com/t/7RdF3B0BdW

I also check what the Calendar Options were for 'New Projects' and they were slightly different: https://www.screencast.com/t/3DOPdG9y

What is causing these differences?

Does the XML Export have certain limitations / not support certain settings?
Is there something else that is adjusting the dates when the XML file is being opened/imported as a new Project?

Updates:

I also tested in MS Project 2019, and the issue still happens.
I think it may be related to the fact that the project is using the '24 Hour' calendar. I had another 2 Project files which were exporting / loading XMLs fine, but as soon as i changed the calendar in the MPP files to use "24 Hour", and then exported the XML, once that XML was opened in Project again, the dates/times changed.

Project hyperlink minimize behavior

Hello,

When I click a hyperlink from the hyperlink field, project immediately minimizes while opening the browser link. If I right click the hyperlink field, select Hyperlink, then Open in New Window, Project does not minimize. I've searched on the topic and normally the answer is pointed to browser or OS settings. It's a pain. Is there anyway to modify the behavior of the click on the hyperlink within project to simply do the same thing that the right click procedure does? It would be most beneficial.

Project online: Status Manager Field

Upon deleting resources, I got this message "The resource is the assignment owner for .... and cannot be deleted." I am unable to query Status manager unlike other custom fields. This allows me to see info. I need across all projects and know where to go and replace old resource/status manager with new person.

Currently, I query using task name which is time consuming and not productive.

How do I query Status Manager and whether this is searchable. Thank you.

Basic Question - "Cost Variance" always equals "Cost"

Apologies if this is a dumb question, but I'm fairly new to Project. I've noticed whenever I have a task that takes less time to complete than is scheduled/specified (actual duration vs duration) it always changes the "% complete" fields and my cost variance is always listed as the same as my "cost".

For example, User John has a task scheduled for 3 hours that only ends up taking him 1.5 hours to complete. At his rate of $190 per hour, the planned cost ("cost") for his task should be $570 but since it only took 1.5 hours the actual cost is $285. So far so good, except that when I display the "Cost variance" field Project lists my CV as $570. And worse, when I change the "actual duration" it automatically thinks the task is no longer at 100% completion.

So I kind of have two basic issues:

1. I want to be able to mark tasks at 100% completion even if they take less time than originally planned. And I want the actual time spent on that task to NOT get reset if I manually mark a task as 100% complete.

2. I need to figure out how the cost variance works in the sense that all my attempts thus far have never shown anything other than "cost variance" always being the same as "cost".

I am very new to Project for the web. I don't understand why I see other projects, with someone (not me) and the project lead for which there are no members, in my Shared with me list of projects. Why would something appeared shared with me when my name is not mentioned anywhere in the project or its tasks?

I have a Project Plan 3 license. We have a PWA/Project Online site collection but I'd really like to not have it anymore and only have Project for the web.

Project Online ReST API Http Errors

Hello Everyone,
 
I'm trying to update an existing project using ReST API call as mentioned in:

When I try to execute it I'm getting "Exception calling "GetResponse" with "0" argument(s): "The remote server returned an error: (412) Precondition Failed.""
Another error occurred when I tried to create a new project resource as well as when I try to delete existing tasks http://<SITECOLLECTION>/<SITE>/_api/ProjectServer/Projects('projectid')/Draft/Tasks('taskid')/deleteObject()
I was getting 409 Conflict error.
What can be the reason of these issues?

Project Online - How to filter projects in powershell?

Hello Everyone,

I want to filter projects on LastPublishedDate in power shell. How to include $filter query string in the endpoint.

For example,

https://example.sharepoint.com/sites/pwa/_api/ProjectServer/Projects?$filter=LastPublishedDate -ge datetime'28-01-2021'

When I open my URL with same format in browser it works fine. But when I include it in the power shell, all projects are returned.

MS Project Timeline Displaying Incorrectly

Project Server Permissions: Project Team Read/Write Own Project and Read-Only Other Projects

Hello,

We are in the process of configuring our Project Server PWA permissions. We currently have the Project Server permissions enabled. There have been many references on Technet referring to the website below, but it returns a "403 Forbidden"

We would like to be able to assign a project team to a project (project manager, team members, etc) and this project team would be able to edit projects assigned to them. This project team would also be able to view (read-only) all other projects. I have seen references to editing "Categories" and "My Organization", but I am not sure where to start.

Is there a comprehensive set of instructions we can follow? Below is the website returning 403 forbidden:

We are using Project Server 2016, and hoping to move over to Project Online within 6 months.

Access Denied when making Project Online API call

Hi All,

I'm able to get a access token. But when I try to make an Project Online API call using that token, I get "Access denied you do not have permission to perform this action or access this resource". Kindly let me know if I'm doing something wrong or missing anything or correct way to do it. Here are the details that I'm using for authentication:

Client ID = ########################
Tenant ID = #######################
Client Secret = #####################
Scope = https://graph.microsoft.com/.default
Grant type = client_credentials

Subprojects in Project Online - Possible Without Server?

I have Project Plan 3, so I don't have the ability to publish a desktop Project to a Project Server, so I create Projects directly in Project Online. Is there a way to set up master and subprojects directly in Project Online? I can't find an explainer on this anywhere...any tutorials or tips welcome!

Select View in Project Details Web Part via URL (Server 2019)

We want to embed the Project Details Web Part in a SharePoint application so when it opens, it shows the project with a specific view showing only milestones.

We know how to select the project to show (with ProjUID parameter). We don't know how to select the view.

but it's about Project Center and not Project Details.

Project Online resource engagement is smoothed after being reassigned

Can anyone tell me if this is expected behaviour or if there is any what I can stop it from happening?
We ask PMs to request generic resources and use time-phasing to specify how much resource they require each week/month. We have found that in the web app, when a resource manager reassigns a time-phased engagement to a named resource, the committed work row in the time-phased view auto-populates with the max units for the request, smoothed rather than time-phased. This results in over-booking if the resource lead doesn't spot it and remember to copy the proposed work row and copy it into the committed work row.

For example:
PM requests a resource for 5 days in week 1, 3 days in week 2, 0 days in week 3 and 5 days in week 4
Resource lead sees this engagement in time-phased view and can see the uneven profile
Resource lead reassigns the engagement to another resource. Project online automatically enters 5 days per week for entire engagement.
Resource lead has to copy the uneven profile in the proposed row and paste it into the committed row before accepting the engagement.

Milestone Finish Date is 3 Months after Start Date (2016) - probably related to upgrade

Hello,

In the below screenshot we have a task that is supposed to be a milestone. It has 0 duration and Milestone column has "Yes". However, Finish date is 2.5 months later than start date. How can this be?

This happened in the context of a server upgrade - from 2010 to server 2019 (with professional 2016).

In 2010, everything is OK (finish date is 18/08/21). This is still weird since project professional should have calculated finish date correctly (we even tried F9), even if the data was migrated from 2010 erroneously.

Any explanations?

MS Project 2016 & Multi User (Business)

We are currently using SmartSheet and we are currently testing MS Project. We our an OEM and currently have our fabricators click each day on their assigned task. It appears with our testing and research that there is not an easy way to get real time updates on our project file with multiply users.

PWA: Group/Category & Project Permissions -in relation to- SharePoint: Read vs Edit Access

Good morning,

I am hoping someone in the community can help steer me in the right direct… and hopefully help me make sense of the nuances of getting permissions/Groups/Categories setup correctly.

Basic Setup

When a new Project is created, it kicks off a corresponding Teams Team and a SharePoint site. The owner of the Project then opens the Project in PWA, and uses Build Team to add users/resources, and then uses ‘Project Permissions’, which seems to be ‘the key’ in giving certain levels of access to the Documents in the SharePoint site.

We currently have 2 main ‘Groups’ that are used when setting up a new User/Resource in Project Web App:

Project Managers – In PWA: Have a Project license, work with publishing the Schedule. In Project SharePoint: Upload documents into various ‘Focused Libraries’ (folders for specific types of files.
Foreman – In PWA: A few have an Essentials license, which is likely unnecessary. In Project SharePoint: View any documents that have been uploaded.

Note: Not sure if it matters (it might!), but when initially getting a new Project going, the PM will open the Project in PWA, and go into ‘Project Permissions’. Currently, they assign ‘Project Permissions’ with 2 configurations…

PMs/Admins: Open the project within Project Professional or Project Web App. Edit and Save the project within Project Professional or Project Web App. Edit Project Summary Fields within Project Professional or Project Web App. Publish the project within Project Professional or Project Web App. View the Project Summary in the Project Center. View the Project Schedule Details in Project Web App. View the Project Site.

Foremen/Superintendents: Open the project within Project Professional or Project Web App. View the Project Summary in the Project Center. View the Project Schedule Details in Project Web. App View the Project Site.

GOAL: What I am looking to do is setup a 3rd Group, between these 2 Groups, which would basically be setup as such:

Superintendents – In PWA, like Foremen, really don’t do anything. In Project SharePoint: View all documents, with the ability to mark-up (edit) documents. This group needs the ability to ‘edit’ so that they are able to highlight and make notes on Design Drawings.

QUESTION: Where exactly would I need to make changes to get the Superintendents edit access in SharePoint?

Specific toggle(s)/permission(s) in a Group? Category? Security Template?

Specific toggle(s)/permission(s) when utilizing ‘Project Permissions’?

Ich habe in einem Masterplan(Portfolio) 2 Unterprojekte, die mit einem Basisplan versehen sind und füge diese in Einen Masterplan ein, um Den Fortschritt meines Projektportfolios an einer Stelle zu überwachen.

Würden Sie die Basispläne in den Unterprojekten erstellen und diese dann in den Masterplan einfügen? Oder würden Sie die Unterprojekte ohne Basisplan in das Gesamtportfolio einfügen und dann einen Basisplan in dem Masterprojekt erstellen?

Die Vorgangsaktualisierung über die Maske „Vorgang aktualisieren“ oder die Tabelle „Überwachung nehmen sie in den Unterprojekten oder im Masterplan vor?

Für Ihren Ratschlag bin ich Ihnen dankbar.

Resource Group Can from Edited by Checked-Out Resource Pool but not PWA, PSI or CSOM (2019)

Hi,

We upgraded from Sever 2010 to Server 2019.

We had a development on 2010 that replaces the Group coming from AD Sync with a mapped value that we managed.

In 2019 this development doesn't work. We checked out and found:

Trying to change Group to an enterprise resource with CSOM did nothing for an enterprise that is synched with AD
Same with PSI
When selecting this resource in PWA and clicking Edit Resource - the Group field is grayed out
However, when clicking Open (to open in Checked-Out Enterprise Resources), I can edit the Group field to the resource and save it again

Is there a way to enable editing the Group field programmatically?

Project Server 2019 Schedule.aspx Load Error only in edit mode

Hi All,

I have a problem with Project Server 2019 - Project Web App sites in both test and production farms. The problem is when I try to open any project in edit mode and navigate to schedule.aspx page, I get a message saying "Sorry, we were unable to open your project..." gives you an option to click OK and takes you back to the project center.

BTW Everything was working fine in both test/production env till last week or so. I believe the customer IT department made some changes but I don't know what It might be. What I tried so far to find a root cause is listed below. As I said both environments have the same issue, so the problem could be related to some security policy blocking something that affects both farms.

edit: editing and publishing schedule works fine through MS Project Professional

reached the web services through VPN, receive the said error,
used RDP to connect to a local virtual machine in the customer network, receive the same problem
tried Chrome, Edge, Internet Explorer, received the same problem
tried to access PWA sites from directly host servers, received the same problem
checked for script load fails using developer console network tab, but didn't find any failed loads

I did check the ULS records and here is what I found:

How to reference a list of projects from within a Project Site

I'm hoping someone can help me out. I want to create a Project Site template (which I know how to do). But within this Site Template will be a custom list and I want to be able to select from a list of existing published projects in this list. In this way it would be possible to select a project and add notes to the list to indicate the relationship between the current project and any other projects within the PWA instance. I know how to create a list, but I haven't found a way to add a list of projects to a SharePoint list in the project site/site template. Any advice around a solution would be greatly appreciated.

calculating how far behind a task is

I use the project status date and progress lines a lot to visually inspect a plan to quickly identify tasks which are tracking behind or ahead of where they "should be" based on the expected level of completion at the status date. This is a useful way of focusing the team's attention and challenging them with "based on your progress how are you going to recover the delay and hit the planned finish date".

I would like to be able to calculate in MSP what my eyes can see - i.e. that based on the current expected progress (is this "complete through"?) minus actual % complete we're 2 weeks behind schedule. In this way I can then add this onto the finish using a custom field and indicate when tasks will complete using the current burn rate.

Create a custom field with Project creation date

In Project Server, I'm trying to build a view and in this view, I'd like to group my projects by date of creation (MM/YY), so to that, I write a foncion but I'm not able to use the [Created] with my custom field, I performed some tests with Year([Created]) but it returns empty value all the time,

so in my custom field formula I just added: [Created] and the result is the same, it returns no value

But where this thing is pretty weird is when Iadd the column created in my view, I have some data inside, I did some tests with other dates and everything is working, I'm just meeting this issue with the Creation data of Project

Any idea of what I'm doing wrong?

Project Online custom formatting text

Hi everyone,

I have an issue in that I need to display a custom text field as if it were a number. To give some background we have a global currency set to GBP in our Project Online environment. However we want to have a custom field that shows a conversion to USD based on the value in another field which is the conversion rate (ROE). We can't use another cost field and a number field doesn't allow the display of "$" symbol. So I thought it might be possible to show this in a Text field concatenating the "$" with the calculated value.

"ROE" is the Rate of Exchange Value (typically 1.3)

"OV Budget (£)" is a custom cost field for entering an overall budget value (in GBP)

"$" & ([ROE] * [OV Budget Estimate (£)]) is the formula I am using in another custom text field to display the converted value in US dollars.

However, the format doesn't show the number of decimal places correctly and it doesn't show the "," in the same way that a normal cost field would. And that's where I am getting stuck and need some help! How would I resolve this please ?

Conditional Font formatting on Reports

I am a long time MS Project user but I have to admit I have never bothered to look at the Reports feature as I simply found it easier to use views.

But now I'm looking at a report which was easily created with a table. The issue I'm having is that in a view I can have text formatting that is conditional upon the task being on the critical path (or a milestone, etc). I haven't found a way of doing this in a report, so is there a way of doing this?

Project Owner Keeps Reverting

I'm using Project Online and have a PWA site site up that holds all our projects. I have one particular project that I created and I am the Status Manager on all the tasks. Every week or so, the project owner gets changed to another PM (the same one each time). I login to our PWA site and have to manually change it back to me. Has anyone ever seen this?

Import Project Desktop files to Project for the web API

You can now use an API through Powershell to import .mpp files into Project for the web!

The instructions below will use your credentials to create a project from the .mpp file.

Instructions:

1.Download these files (link) and put them under one folder
2.Open Powershell and navigate to that folder

3* .Run this command Import-Module .\ProjectImport.psm1

4**.Run this command ImportProject -InstanceId your instance ID -FilePath "Your full filepath” *

When Project has finished importing your .mpp file, you will see a success message with a URL to your new project. From here, your imported project will behave exactly like any other project in Project for the web.

**To find your Instance ID:

a. In the Dynamics 365 Administration Center, select the default instance, and then click Open.

b. On the PowerApps setting page, look at the first part of the URL to determine your Instance ID value. In the graphic below, the Instance ID value would be https://orgde6d15d8.crm.dynamics.com.

FAQ, Tips, & Tricks

Q: Can I import tasks from my .mpp file into an existing project?

A: We do not currently support project updates through .mpp import. Importing a .mpp file will create a new project.

Q: Are there any limits on what .mpp files I can import through the API?

A: The normal Project for the web limits apply to imported .mpp files. If you attempt to import a .mpp file that violates these limits, you will see an error when importing. You can find these limits here.

Q: I’m seeing an error when I try to run the first Powershell instruction. What should I do?

A: If you’re seeing an error, try unblocking the dll files then run this instruction again.

To unblock a file:

Right-click the file and open the Properties pane
Scroll to the bottom of the pane to the Security section
Toggle the ‘Unblock’ toggle in this section
Click Apply

Once you’ve unblocked both files, you should re-attempt to import your project.

Q: Some of my data wasn’t there when I opened my imported project. What’s going on?

A: Project for the web has does not support all features included in Project Desktop. To make it possible to import .mpp files into Project for the web, some data must be dropped to fit into the new environment.

Report Builder fails to open outside the server

I can execute Report Builder from inside the server and edit the reports successfully, but when try to open the report builder from my PC (I am in the admin group of the project server), I am facing below error logged in logs.

We are considering switching from Smartsheets to using Project for the Web for same project mgmt. functionality. (Smartsheets is increasing our legacy pricing by 200%)... We currently use Office 365 and everyone has Project for the Web. Has anyone done this? Any pointers? Would Project for the Web offer close to the same functionality as Smartsheets?

Why does each task take up an entire day, even if it's work-driven with an amount of work set at 1h?

I'm new to this. My tasks are auto-scheduled, and the ones in questions are work-driven, each with an amount of work set at one hour. I have my scheduling set to enter duration in hours, but they are all displayed in days. The two tasks in question have a FS relationship. The first task takes up an entire day, forcing the 2nd to be on the next day, even thought they could go one after the other on the same day since they are each only one hour of work. Is there some way to change this behavior?

I would have attached my project file, but this forum will not allow the file type, even though this is a forum for Project, run by the people who make the software, and they should know that people would want to exchange and share files of this type.

Resource overallocation error prompt

I'm using Project 2019 Pro now, and for some reason, the software indicates to me that there is an overallocation of resources in the identification column (but there is no overallocation). I have tried to allocate resources, but nothing has changed. The only way to solve this problem is to change the time distribution option to other conditions and then to the original normal distribution in the task allocation, which can sometimes be solved (the red prompt for identifying columns disappears). But after this operation, I save the file and open it again, but the original red prompt will still appear. Please help me solve this problem, thank you.

MS Team Members View Only without Project License

We have multiple projects set up in MS Teams for collaboration and information sharing. These projects have plans and schedules with some in MS Planner, some in P4W, and others in Project Online (PWA). I have a few users that would need P4W licenses and a few users that would need PWA licenses. However, I have a large group of users that do not need licenses since they don't create or manage plans and schedules. They do however need to be able to view tasks, assignments, schedule dates and Gantt charts as information only. All these users have Office 365 licenses. I keep reading that Office 365 users have view only capability with Project but I can't find out how to get this set up. Additionally, those with P4W licenses will need view only access for the PWA projects.

How do I set this up so that my Office 365 users can view only all projects???

New baseline - BCWP issue

I am experiencing a particular issue in MS Project related to the setting of a new baseline during the progress of the projects. I have carried out some attempts obtaining the following results:

For the task which need a variation, I set a new baseline by overwriting the old one using roll up baseline options. The result I get is that the overall BCWP value is correctly updated, while the time series value (Task Usage View) disappears in all the summary tasks which contain that task, including the project summary task. While, BCWP cumulative value related to the single task shows a wrong value not coincident with the overall BCWP

While, the BCWP cumulative time series value (Task Usage View) is not coincident with the overall BCWP for both, tasks and summary tasks. Can someone tell me what is the cause of this problem? How can I solve it?

Enterprise Global not loading after migration to Project Server 2019

Great to see so many people upgrading to the latest - but one issue we have heard is that the Enterprise Global template (EGT) cannot be opened in Project Server 2019 after the migration. The problem appears to be that the Project UID for the EGT is changed - then it cannot be found under its new GUID. Often this is seen to be happening when migrations start at an earlier release - like 2010 or 2013, but from the reports we have the problem only occurs at the final stage - and the EGT opened just fine in 2016.

The solution requires a bit of work in SQL Server, so if you are not comfortable working in SQL then either work with the database administrator for Project Server - or of course open a support ticket. Always best too - if you either take a SQL backup before making any changes - or make the changes just after your normal backups occur - in case you need to revert.

To detect the issue you would first run a query like this one - substituting your content database name for dbname:

use dbname

select PROJ_UID, PROJ_NAME from pjpub.msp_projects where proj_name like '%eglobal%'

This may return a result similar to the following:

If the EGlobal has a different UID, then it’ll need to be updated to use the proper one.

For example, suppose the returned result looks like this:

Use the GUID (in this example starting 'DF59,,,' that is the incorrect GUID returned from the previous select statement.

If this doesn't solve the problem - or if the GUID looks to be ok, then you have a different problem and would need to open a support ticket.

My suspicion is that this is a 2019 client issue - as just changing the GUID to try and repro the issue in 2016 does not give any problems - the EGT opens just fine whatever GUID it has...

Export your entire project to Excel

Project for the web comes with some great out-of-the-box tools for keeping your team on track. App features like orange and red highlights for late and overdue tasks provide you with visual cues for quickly finding tasks that need attention. There’s also Power BI reporting, which gives you visually rich report pages for your portfolio, resource and and project overviews.

And now we have added Export to Excel as it was one of your top requests we have received over the months. You can now export your project to Microsoft Excel where you can customize the data in whatever way your team finds most useful.

To export a project, simply click on the overflow menu at the top right corner and then click the Export to Excel button.

This feature is also available in Project Teams app.

When to export a project to Excel

There are multiple scenarios for Export to Excel, here are some to help you get started:

For reporting: You will now be able to use the data you export from Project to create charts, pivot tables and more in Excel. You can quickly sort the task by their finish dates or filter information to find out the completed tasks. You can then share this information with your team or drop into presentations. Microsoft Projects timeline not working correctly?

Hey there,

I have been looking high and low for an answer on this, but cannot seem to find an answer anywhere. I have set non-working times in my calendar. They are showing in the timeline but activities are still being scheduled over these periods, and I cannot get this to work correctly. I have created and set a new project calendar, and allocated the correct days as exceptions. In the calendar these days are marked as non-working days. I have applied these to the timeline and these days are grayed out in the timeline window, in the Gantt portion. No matter what I try, the activities are still scheduled to be completed in this period and I cannot get them to be affected by the non-working days, they just sequence themselves back to back, regardless of the calendar or timeline settings.

Anyone know why this is happening?

J'ai un projet sur MS PROJECT sur lequel il y a plusieurs phases qui se déroulent soit en parallèle soit à la suite. J'ai ajouté un saut de page entre chaque phase afin de pouvoir faire une impression de chaque phase indépendamment.

Pour imprimer mes phases (en PDF), je sélectionne "imprimer les dates et pages personnalisées".

Sur l'aperçu, rien d'anormal.

Lorsque j'ai édité mon PDF, je me retrouve avec en arrière plan les tâches de mes autres phases qui se déroulent en parallèle. Cela pollue mon PDF et il devient illisible.

Y a-t-il une méthode pour ne pas avoir les tâches des autres phases/pages sur mon impression ?

App + User authentication and Project Online development

With the most recent updates to the SharePoint client object model (CSOM) libraries it is now possible to authenticate to SharePoint and Project Online with the MSAL libraries rather than ADAL - and this opens up the use of .NET Standard rather than needing the .NET Framework. This DOES NOT however mean that Project Online supports App ID only authentication. SharePoint Online does support app only - but the additional authorisation level in Project to understand who the user is and what they can do requires app + user. See more information here - https://docs.microsoft.com/en-us/sharepoint/dev/sp-add-ins/using-csom-for-dotnet-standard and the API permissions you can choose are shown here. Im my example I've just selecting the Project.Write which allows me to create and update a project.

API Permission Options for Project Online

You application would need to reference the Application (Client) ID associated with these permissions when requesting token - but would also need to pass in the credentials of a user with permissions and license to Project Online. This could be an interactive login - or using a securely stored username and password (not recommended) or using a stored token that is refreshed periodically. Attempting to connect by with the application ID will fail with an "unauthorized" response.

As an example, the following code would get the token and set for project context to make further CSOM calls:

- using the latest MSAL (Microsoft.Identity.Client v4.22) and Microsoft.ProjectServer.Client from Microsoft.SharePointOnline.CSOM 16.1.20616.12000 at the time of writing. These will also work with legacy auth disabled which is a setting that may break some existing custom applications.

To check if legacy auth is disabled you can open the SharePoint Online Management shell, connect to your admin Url and run Get-SPOTenent. Look in the returned properties for:

LegacyAuthProtocolsEnabled : False

which in my case shows that legacy auth is disabled.

Hopefully we will get the sample on Github updated with this latest information.

Master Project have a subproject to colaborate with Project for the web, on my case there are user with different licenses.
- Technicians (Plan 1 - Project for the Web) and Project Manager (Plan 3 - Project Online).

Project Manager (Plan 3) : Create a Master Project and have a Subproject (Project for the web) to be updated from Technicians

Technicians (Plan 1) : Update Master Project from Project for the web, and automaticly updated progress on the Master Project

Problem with constraint "as late as possible" .....

Dear community,

I am hosting a project plan in which I have a strange behavior when I am using the contraint "as late as possible".

I have e.g. a fridge where someone (Person A) is doing some work on and I am the next person (Person B) in the row to work on that. For my work, I need to prepare some documents which I want to prepare as late as possible, of course.

So the person has a part of the plan with his tasks which are summarized in a task called (ready for (next Step). The beginning of my manual work on the fridge might be called "point X" :)

So wthat I have done is, that I have linked the summarizing task from Person A to Point X with a end-to-start constraint.

Now, the documentation preparation for point X should be as late as possible, so I give all the preparation tasks the constraint type "as late as possible" and all the tasks downstream from Point X "as soon as possible".

what now happens is, that Point X moves forward in time. It is no longer the end date of the Person A, but seems to be about 14 days later. This should not happen as I really want to take Point X as the fixing point for preparation work. And yes, Point X is a variable date, dependent on when Person A finishes his work.

When I set the constraint "has to start on ..." for Point X, everything works fine.

So, who knows what I am doing wrong? Maybe someone of you might assist me in a short video call as I am not sure If I was able to cleary describe what I am doing ;)

Duration field data issue in Sql tables in Project server 2013.

I want to add duration column to the my SSRS report, But the data was showing wrongly in the sql server pwa table.

when i open project from ms project the duration was showing as 109.88 days but in the MSP_EpmProject_UserView or any other project tables the project duration was showing as 1359.5.

Can any one please help me which table and column name i need to take for the duration.

my environment is project server 2013 with latest August 2020 CU.

I'm looking for a way to show the lag that is resulting from a constraint that has been set.

Task 3 has Task 2 as predecessor. Since task 2 ends 2020, Nov 10th, task 3 would start the next working day, being 2020, Nov 12th.

But a constraint has been set on Task 3 so it can start no earlier then 2020, Dec 1st.

Now I'd want to show the number of days Task 3 is being postponed because of the constraint that was set.

Is this possible ?

what are the possibilities to edit the file stored online in the Project App and not in the Web App?
Can two or more people work on it at the same time?
What is the best way to set up read-only access to project plan for our sub-project managers (who are currently planned in project plan as "team resource" but not as personalized resource)?
The Team Planner view from the local APP is especially helpful for sub-project managers.
How can we best make this available to the sub-project managers?

PWA report to Power BI on risks - can I import the date the risk / issue was created?

Q: I cannot change the Microsoft 365 group assigned to my project once I've set the group. Is this correct?

A: Right now, you can’t change the project group once it has been set. This is known functionality, and there are no present plans to change it.

However, when you copy a project, your group is not copied. If you need to assign a new group to a project, the best way to do that is to copy the project & assign the new group.

Q: Can I add projects to private channels in Teams?

A: Currently, you cannot add projects to private channels as private channels are not integrated with M365 groups.

Team members can create new projects or roadmaps, or open existing ones, in Microsoft Teams and keep communications within the context of work and collaboration within Office 365. The Project and Roadmap apps can be added as tabs in any channel by selecting the “+” icon at the top of a channel. Anyone who has access to that channel can also access that tab.

You can create a consolidated timeline view of projects from Microsoft Project and Azure Boards and plan larger initiatives across all of them - complete with key dates and milestones - so that all the work is visible.

Note: All Office 365 users will be able to view Projects/Roadmaps shared within Teams in a read-only mode. Users with appropriate Project for the Web licenses to create and edit Projects/Roadmaps will be able to do the same from within Teams as well. Q: What type of Projects can I add through the Project app in Teams?

A: Project app integrates with Project for the Web and hence allows you to add projects created using Project for the Web as a tab. It does not support projects created on PWA (Project Web App) or Project client (MPP files).

Q: Which projects show up in the existing list of the Project app?

A: When you add a Project to a Team's Channel tab, you can find all the Project for the web projects in the existing list which are shared with the Team (i.e the underlying Office 365 group).

Project Center Default View Deleted so now Project Center doesn't load for users

Project Center Default view was deleted by mistake, so now Project Center doesn't load for users. However as Site Collection Admin I am the only one who can see all the new views created, and don't get the "Loading" message in the view iFrame. Also the users have the "project" banner "greyed out". I have everything working well ...

I can't find any solution to this on the forums.

When sorting by resource in the calender view, some items do not appear. in 1 instance, i can see that it is lapped over top of another. in other areas, not shown at all. 2 items appear in the overflow tasks.... how can i get all to show in a 1 week format?

PWA-SharePoint - Access Rights / Settings

I am absolutely struggling to wrap my mind around settings for User Access involving PWA and the individual SharePoint Project sites.

In our solution:

1. We are using 'Project Permission Mode'

2. When a new Project is created, we have a Flow that creates a corresponding Team and SharePoint, and establishes a User selected while setting up the Project as the 'Owner' of the Team/Group for the Project.

3. Once the Project is created, in the Teams app, the 'Owner' will add Members to the Team for a specific Project.

4. Each Team has tabs which link to various document libraries (drawings, specifications, contracts, etc) in the SharePoint site for the Project.

The Issue:

When the Owner adds an employee to a Project Team, the employee is able to see that Team in their Teams app...

However, some employees, when they click on a Tab that corresponds to a SharePoint document library, they get presented with "You need permission to access this site / Request Access".

My main struggle is that not every employee experiences this issue, and I cannot find any sort of consistency.

Any advice?

Additional Information:

1. Not all users need any sort of access to PWA or the PWA Project Site. The users that do need access to PWA are assigned (at minimum) a Project Essential license.

2. All users, when added to a Team, need (at minimum) the ability to Read the SharePoint site for the Project, and the files stored there.

Add resources to a task that affect the duration of the task, but not the cost?

Objective: We would like to add resources to a task that affect the duration of the task, but not the cost.
Constraints: Project costs cannot change up or down.
Example: Task with multiple resources assigned.
• In this hypothetical, three resources of different rates have been calculated to form a unique blended rate per hour.
• Additional resources must be added to compress the timeline.
• We would like the behavior of a “Cost Resource” (static cost) but function like a Work Resource (affect duration as well as start / end dates.

Can it be done?

Question: Tasks - Planner - Resources - Licenses [Project Web App]

Greetings,

I am seeking clarification on a specific issue, involving a handful of dynamics that I can't seem to find a clear answer on. (We have a custom implementation of Project Web App.)

Scenario:

1. A Project is created, which simultaneously creates a SharePoint and Teams Team for the project.

2. The Owner/Project Manager assigned while setting up the Project adds Users to the Team, giving them access to SharePoint files and other basic resources.

3. The Project Manager begins to develop the Schedule for the Project, which includes assigning Resources/Users to Tasks, assigned to a Planner Bucket, with Planner Sync enabled.

4. Most end users (Superintendents, Foremen, etc.) interact with most aspects of their Project via Teams, on an iPad, at a remote job site. Each Team has Tabs setup for various resource, including a Tab for Planner. (They have no need to interact directly with the PWA Project Site.)

5. When the Project Manager updates/publishes the Schedule, the Tasks are pushed into Planner, which the end users interface with within Teams.

6. The end users use Planner, within Teams, to update the progress of their assigned Tasks.

Obviously, for a Project Manager to assign a Resource (end user) to a Task, they must be setup as a Resource...

Question: For a Resource (lower level end user) to be able to be setup as a Resource AND interact with assigned Planner Tasks... Do they need to have, at bare minimum, a Project Essential license?

Or... Can they be setup as a Resource, without a license, and still have the ability to interact with Planner Tasks?

What is possible here / best practice?
